This document outlines an agenda for a workshop on moving an intranet project forward. The workshop covers developing a roadmap, setting up a project organization, creating a strategy and concept, common pitfalls, and takeaways. It discusses using an agile methodology like scrum for development and key success factors like user involvement. Attendees will work in pairs to plan the organization and strategy phase for redesigning their intranet. Common pitfalls discussed include having a technology-first focus rather than business focus. Contact information is provided for following up.
Working from home? How to keep your team aligned, engaged and happy.ProductPlan
Maintaining alignment and productivity as a remote team takes real work. And getting this right is not an easy task. We’ve seen a number of remote work best practices in the last few days that focus on things like getting dressed in the morning, establishing a routine, checking in with your team every day, etc. Although those are all good suggestions, it takes much more than that to develop a high-performing distributed team.
A brief introduction tot project management for learners, a simplified lay man introduction thet will give insight into what Project Management is all about.

This presentation was given at the 2nd openup camp in Nürnberg, Germany. It shows tools, methods and workflows of distributed teams and gives insights of our experience working in a distributed team since 2010 in the software development industry. The motivation outlines, why and when it makes sense to work in remote teams.
Talk about how we organize our work at Vincit Oy. We have 180 employees and only two managers. Work happens at team level and teams decide how they work. In this talk, I will discuss how change takes place in an organization like this. Typically, good things go viral and spread and you can try to imitate that if you want to drive change.

Taking smaller bites with PMP-Bite series - Mastering Knowledge Area & ITTOMay Wong, PMP
I was constantly overwhelmed by the 618 pager PMBOK guide. At the beginning of each chapter - as I saw the framework for that syllabus, my palms get sweaty. I dread the upcoming few hours of pouring over the dry notes.
These are the very reasons why I've create a PMP-Bite series. A compilation of 'small-bites' focusing on the more frequently asked topics, and delivered to you in 'bite-size'.
Here's a chapter to help you understand the ITTOs better & its Knowledge Area
ThiemeMeulenhoff organizes so called iLunches. During iLunch external speakers are asked to give a talk about a certain topic. I was asked to talk about using Twitter successfully and strategically. The slides are in Dutch.

Deeply Embedding UX Practices Into Your Organization by Grafting them Into Your Agile Process
Mark Ferencik's presentation from the UXPA Boston 2016 Conference
New technologies have change the way we teach and the way our students learn in numerous ways, especially in the education sector in Australia.
In this session we show how educators can confidently implement technology in your organisation and stay relevant in this digital age.
These slides were used at Coffee Jug meetup, we discussed technical initiatives:
- why do we need tech improvements
- how to work with technical improvements
- how to estimate time for implementing that improvement
For who:
- beginners who are inspired to make improvements to their project
- experienced people who wants to get to know more about estimation techniques
Relevance
Sometimes proactive beginners face a case when they have a desire to provide something new to the project, improve something but angry Tech Leads don't allow all those changes. We discussed whether Tech Leads allows nothing to change and how to increase chances for technical initiative to be implemented.
Sometimes teams give non accurate estimate and face situations when deadline is met, but piece of work is not done. We discussed how it is possible to improve accuracy of estimates
What Are the Road Mapping Essentials by former Capital One PMProduct School
Product road mapping is an art, one that requires a strong pulse on the state of the business, your customers and stakeholders. Road maps are meant to provide a clear path towards reaching the business objectives giving transparency and predictability to anyone involved on the team. But how often have you heard “Hey, we are agile, we don’t need a roadmap”; or the opposite “Hey, this feature was on the roadmap, but why haven’t you delivered?”.
In this session, Angela Govila, former Product Manager at Capital One, talked about how to handle both of these situations and everything in between, by diving deep into the basics of how to conduct road mapping sessions.
A keynote to help people involved in software product development to execute the right agile and lean practices in order to see a successful relationship among stakeholders.
Visual Paradigm enables your team to manage enterprise transformation complexity for coping with the rapidly-changing markets, technologies, and regulatory requirements. It is an ideal one-stop-shop solution for enterprise architecture planning and business transformation, project management and agile software development, so that your company can stay in control and foster growth.
The current COVID-19 climate has affected UX research in many ways, including changes to process, methods, and tools. As a field, we've had to adapt to doing fully remote collaboration and research.
In this talk, I will be walking through why now is a great time to conduct strategic research, how research has changed because of COVID, and best practices for conducting remote strategic research during this time.
I hope you will walk away from this talk feeling empowered to continue on your innovation journey!
UCISA Project and Change Management Group Toolkits Mark Ritchie
The UCISA Project and Change Management Group (PCMG) is dedicated to improving project and change management practice across HE and FE. Effective project and change management will improve outcomes and increase benefits to students, staff and the wider community. In our first three years we have developed a range of toolkits to support project and change management professionals. These are public resources that can be used by anyone.
This presentation describes PCMG and provides an overview, with links, to our toolkits.

5. Wrap-up and takeaways
9. To scrum or not to scrum
Pro’s
● Agile methodology
● Standard for software development
● Get results quickly, improve continuously
Con’s
● Intranet development is organizational change
● Not every organization is fit for scrum
● Strategy and concept are not Sprints, are they?
● Where does content fit in?
13. Who is involved?
How would you go about setting up the project
organization?
Sit together in pairs
Choose who’s intranet you will redesign
Come up with a plan for the project organization
● Which departments are key?
● What about budget and sponsorship?
● Which skills are needed?
15. The usual suspects
OVERVIEW OF WHICH ROLES ARE ABSOLUTELY
NECESSARY
Executive sponsor(s)
IT, Comms & HRM
Budget holders
Do you always need IT or Comms?
16. The next step
How to develop the governance organization out of the
project organization?
VISUAL EXAMPLE OF AN GOVERNANCE
ORGANIZATION
- KEY USERS
- LOCAL TEAMS
- CENTRAL TEAM
- FUNCTIONAL
- TECHNICAL
- HRM DEPARTMENT
20. Breaking down the process
How would you go about planning the strategy phase?
Sit together in pairs
Choose who’s intranet you will redesign
Come up with a plan for the strategy phase
How will you go about:
● the research?
● the co-creation?
● presenting the outcome?
24. What pitfalls do you know?
Take 5 minutes to write down pitfalls for intranet project
We will discuss them together
25. Pitfalls
● Technology first
● Goal/strategy defined in isolation
● No business focus
● Mono-disciplinary approach
● No support from management
● Too much at once
● Project doesn’t show results quickly
● Wrong choice of platform
● No budget for development phase and continuous
improvement
● Focus on strategy and design, content is forgotten
● Focus on project only, not on ‘go live’ phase
● Governance is forgotten
27. Key points we want to get across
● Integral approach
● Choose a platform after concepting/designing
● It’s about design, technology, content AND the user
● Changing how an organization works, is about people,
not IT
● Always use real copy
● ...
