This document provides instructions for setting up a manual template in Adobe InDesign, including creating master pages for different document elements like the cover, table of contents, chapters, and index. Before you begin
1. Ask the instructor whether they want:
• Headers or Footers
• Booklet or Manual style.
• A tutorial for the Table of Contents and/or Index.
• Go to Start > Computer > Scratch (P:) > “Orientation Files” >
“7. indesign manual diagram.jpg”
• Ask students to open Adobe InDesign CC.
o Go to Start > Programs > Adobe InDesign CC
OR
o Double click on the Adobe InDesign CC icon in your taskbar.
• Explain the manual diagram to students.
Specifically, the location of page numbers and headers.
Also, explain the purpose of fly pages.
• Inform students that this orientation will create a template for future
booklets/manuals.

Part 1: Document Setup
Set units and increments
Create a new document
1. Go to Edit > Preferences >
Units & Increments to open a
preferences dialog box.
2. Change the Horizontal and
Vertical Ruler Units to Inches.
3. Click OK to close the
preferences dialog box.
4. Change your workspace to
Advanced.
1. Go to File > New > Document.
2. Change the Number of Pages to
19 Confirm with the instructor
whether they want the manual or
booklet format.
3. Set Page Size:
For manual: Letter size
For booklet: Legal-half (switch
page orientation back to portrait)
4. Click the chain icon to unlink the
margins if you need to change
one margin. The chain icon
should “break.”
5. For manual, change all margins
to 0.5 in.
6. For booklet, change all margins
to 0.25 in.
7. Click OK.

If the instructor wants footers
instead of headers, leave the top
margin at 1 in. and change the
bottom margin to 0.5 in.
The manual is 8.5 in. X
11 in.

Part 2: Master Pages
Master Page A: Cover Page1
• Master pages allow you to create
templates and assign those
templates to the pages of your
document.
• Master pages won’t appear in your
exported or printed versions of the
document.
• When you assign a master page to a
regular page, anything on the master
page will appear on the regular
page.
• Only put content on master pages
that you want to appear on multiple
pages: for examples, (running)
headers or footers and page
numbers.
1. Explain the difference between
regular pages and master pages.
2. Click the Pages panel on the right
side of the screen.
3. Right click on one of the two
A-Master pages.
4. Select “Delete Master Page” You
will now have one A-Master page
5. Click OK when the error message
appears.
6. Right click on A-Master.
7. Select “Master Options for
A-Master” A “Master Options”
dialog box will appear.
8. Change the name to “Cover”
9. Click OK to close the dialog box.

1. Click the Pages panel on the right
side of the screen.
2. Click the Panel Box Menu in the
top right corner of the Pages panel.
3. Click “New Master”
4. Change the Name to “Table of
Contents”
5. Change the Number of Pages to 1.
6. Click OK.
Page Numbers and Headers: TOC3
1. Select the Text tool from the toolbar on
the left side of the screen.
2. Click and drag from the upper-right
corner inside the margin to create a 0.5
X 0.5 inch textbox.

3. Go to Type > Insert Special Characters >
Markers > Current Page Number.
4. Highlight the “B” in your text box.
5. Click the right-align button in the control panel
at the top of the screen.
6. Draw another textbox from the top left corner
all the way over to the page number box on the
right. (See screenshot)
Part 2: Master Pages
The letter“B”should appear in
the box and will be left aligned.
7. Type “Table of Contents” in
the new textbox.
New Paragraph Style: Header4
1. Navigate to the Paragraph Styles panel
2. Click the panel box menu in the top right
corner.
3. Create a new paragraph style named “Header”
4. Select Basic Character Formats in the menu on
the left.
5. Change the Font to Arial.
6. Change the Font Size to 12 pt.
7. Click OK to close the dialog box.
8. Highlight the words “Table of Contents”
9. Click the “Header” style in the paragraph styles
panel to apply the style

Master Page C: Introduction5
1. Open the Pages panel on the right side
of the screen
2. Rick click on B-Table of Contents
3. Select “Duplicate Master Spread B-
Table of Contents”
4. Right click on C-Master
5. Select “Master Options for C Master”
6. Change the Name to “Introduction”
7. Click OK.
8. Highlight and replace “Table of
Contents” with “Introduction” in the
header textbox.
Master Page D: Fly Pages6
1. Click the Panel Box Menu in the top
right corner of the pages panel.
2. Select “New Master”
3. Change the Name to “Fly Page”
4. Change the Number of Pages to 1.
5. Click OK.
Fly Pages do not need headers
or page numbers.

1. Right click on “C- Introduction”
and select “Duplicate Master Spread
C-Introduction” in the Pages panel.
2. Right click on E-Master.
3. Select “Master Options for E Master”
4. Change the Name to “Chapter 1 Odd”
5. Click OK.
6. Highlight and replace “Introduction”
with “Chapter 1” in the header text box.
Create Master Page F for Even Pages8
1. Right-click on “E- Chapter 1 Odd” in
the Pages panel.
2. Select “Duplicate Master Spread E-
Chapter 1 Odd”
3. Right click on F-Master.
4. Select “Master Options for F Master”
5. Change the Name to “Even”
6. Click OK.

Change header for even pages9
1. Click on Master Page F-Even.
2. Click on the Selection Tool in the toolbar on the
left of the screen.
3. Click and drag the page number textbox into the
upper left corner
4. Click and drag the header textbox into the upper
right corner. We are switching positions of the
page number box and the textbox.
5. Select the type tool and highlight the letter F.
6. Click the left-align button in the control panel at
the top of the screen.
7. Replace “Chapter 1” with “Title of Manual”
8. Highlight “Title of Manual”
9. Click the right-align button in the control panel at
The Selection Tool is the black
arrow at the top of the toolbar.
The textbox should remain
inside the margins.
If the page letter hasn’t changed
to F, go to Type > Insert Special
Characters > Markers > Current

Create Master Page G for Ch. 210
1. Right click on “E-Chapter 1 Odd” in the Pages panel.
2. Select “Duplicate Master Spread E-Chapter 1 Odd”
3. Right click on “G-Master” and select “Master
Options for G Master”
4. Change the Name to “Chapter 2 Odd”
5. Click OK.
6. Highlight “Chapter 1” in the header textbox.
7. Replace “Chapter 1” with “Chapter 2”

1. Right click on “G- Chapter 2 Odd” in the Pages
panel.
2. Select “Duplicate Master Spread G- Chapter 2 Odd”
3. Right click on “H-Master”

5. Change the name to “Index”
6. Replace all instances of “Chapter 2” with “Index”

1. With the Pages panel open, click and drag
the following Master Pages to Pages

Part 4: Page Numbering
Set up front matter numbering1
1. Click on Page 1 in the Pages panel
2. Go to Layout > Numbering and Section Options.
3. A “Numbering & Section Options” dialog box will
open.
4. Select “Start Section Numbering at Page” 1
5. Change the Page Numbering Style from Arabic
numerals to lowercase roman numerals.
6. Click OK. Page 1 should change to Roman
numeral i in the Pages panel.
Set up body matter numbering2
1. Click on Page 7 (vii) in the Pages panel.
2. Go to Layout > Numbering and Section
Options.
3. A “Numbering & Section Options” dialog box
will open.
4. Select “Start Section Numbering at Page” 1
5. Change the Page Numbering Style from
lowercase Roman numerals to single Arabic
numerals.
6. Click OK.
All the pages after page 7 should
have Arabic numerals underneath
them in the Pages panel. Pages 1
through 6 should have lowercase
Roman numerals underneath them
in the Pages panel.
If the teacher does not want a Table of Contents or Index, skip to Part 7 -
Exporting and printing.

1. Select the Type tool from the toolbar on the left of the screen.
2. Draw a text box in the upper-left corner of each fly page in
your document (not the master fly page).
3. Type “Chapter One Title” into the textbox on the fly pages.
4. Open the Paragraph Style panel on the right of the screen.
5. Click on the Panel Box Menu in the upper-left corner of the
Paragraph Styles panel.
6. Select New Paragraph Style…
7. A “New Paragraph Style” dialog box will open.
8. Change the Name to “Chapter Heading”.
9. Click Basic Character Formats in the menu options on the left
of the dialog box.
10. Change the Font to Arial.
11. Change the Style to Regular.
12. Change the Font Size to 18 pt.
13. Click OK.
14. On each fly page, apply the “Chapter Heading” paragraph
style to the “Chapter One Title” text you wrote in step 3.
15. Click the textbox so it is selected.
16. Right click and select copy.
17. Double click to arabic number page 7.
This is our second fly page
18. Right click and select paste in place.
19. Change the title to “Chapter Two Title”

2 Set up the Table of Contents
1. Go to Layout > Table of Contents...
2. Choose the TOC Title in the Style.
3. Highlight Chapter Heading in Other Styles.
4. Click “Add”
5. Click “More Options” on the right toolbar.
6. Click “Between entry and number” under the “Style:
Chapter Heading” section.
7. Delete (^t).
8. Click the arrow next to (^t).
9. Select “right indent tab”
The “Between entry and number” will now be (^y)
10. Click OK. Your cursor should be loaded with text.
11. Click to roman numeral page (iii).
This is our Table of Contents page
12. Click under the Table of Contents textbox to drop the
text.

Make a style for TOC text
1. Open the Paragraph Style panel on the right side of the
screen.
2. Click the Panel Box Menu in the upper-right corner of the
Paragraph Styles panel.
3. Select New Paragraph Style…
4. A “New Paragraph Style” dialog box will open.
5. Change the Name to “Table of Contents”
6. Select based on “No paragraph style”
7. Click “Reset to base”
8. Click “Tabs” from the left menu.
9. Double click the right justfiied arrow.
10. Drag the ruler so you can see the 8 inch mark.
11. Click in the gray bar above the ruler
12. Click around the 7.45 in. mark
The right justified arrow should appear
13. Type a space then a single period (.) in the Leader field.
14. Click OK

Apply paragraph styles: TOC
1. Open the Pages panel on the right of the screen.
2. Scroll to your Table of Contents page (iii).
3. Click in the body of the Table of Contents with
your type tool.
4. Highlight the Table of Contents body text.
5. Open the Paragraph Styles panel on the right of
the screen.
6. Click the “Table of Contents” paragraph style.
InDesign will apply the style to the Table of

Add an Index1
1. Go to Window > Type & Tables > Index
2. Drag and drop the Index panel box into the workspace
on the right side of the screen.
3. Open the Pages panel.
4. Double click on “page v”
5. Select the Text tool.
6. Draw a text box anywhere on the page.
7. Go to Type > Fill With Placeholder Text.
8. Highlight a word that you want to use in your Index.
9. Open the Index panel.
10. Select the Panel box menu
11. Select “New Page Reference”
12. Click Add All.
13. Click Done.
Generate an index2
1. Click on the “Generate Index” button at the
bottom of the Index panel box.
2. Click OK.
3. Open the Pages panel.
4. Double click on page 13
5. Click in the upper left corner to place your
index.
Your cursor should be
loaded with text.

Export documents as a PDF
1. Go to File > Export….
An “Export” dialog box will open.
2. Change the File Name to the title of the manual.
3. Make sure that Save As Type: is set to Adobe PDF
(Interactive) (.*pdf).
4. Click Save.
An “Export Adobe PDF” dialog box will replace
the “Export” dialog box.
5. Change from spreads to pages.
6. Click OK.
The “Export Adobe PDF” dialog box will close.
The PDF version of the document should open
shortly after.

.PDF file before printing.

2 Print the PDF (for manual layout)
1. Open the PDF version of the manual.
2. Go to File > Print.
3. A “Print” dialog box will open.
4. Select the printer you want to print from.
Remind students that with anything they
print, select the printer first. Otherwise, the
settings will reset.
5. Check the box beside Print on both sides of
paper.
Tell students to watch, not follow
along and print.

Print the PDF (for booklet layout)3
1. Open the PDF version of the manual .
2. Go to File > Print.
3. A “Print” dialog box will open.
4. Select the printer you want to print from.
5. Click the box next to Print on both sides of paper.
6. Change the print orientation to flip on the short
edge.
7. Click Booklet under Page Sizing & Handling.
8. Click Print
