Why Cashless – there are some fundamental benefits to organisations that move toward a cashless environment so we can take a few minutes to review these
Barrier’s to cashless – There are always reasons not to do something and we can cover some of the typical arguments against implementing cashless
Considerations – we can review some of the considerations that need to be discussed and agreement before moving forward with a project of this nature
Scope of cashless – You have to considered the benefits to your organisation for a cashless solution but the opportunities might be larger than you think.
Howard will then take you through a general overview of the Monitor Suite of products which will highlight the many benefits covered under the scope of cashless environment and answer the question “Why Monitor”
You don’t have to centralising all points of payment in order to go cashless. Each system can have it’s own cashless balance managed via its own cashless system. However, if you are looking to implement this it’s an opportunity to review how things are current done and optimisation is crucial to delivering the maximum benefits of cashless environment. Therefore we need to ensure all the applications can at least integrate to a common system.
Understanding spending on campus is a major benefit: what, where, when and who by. It all helps when making informed decisions in regards to future investment, justifying spend and ensuring that it is going to improve the student experience.
The single system means that you get control centrally and that the data is accurate and things like reconciliation of funds are easy.
You’ll need a system that is simple and convenient for your users , they need to be able to add and access values quickly, they need to know what they have spent and what they have remaining. And this information needs to be readily available.
And if you get it right you may be surprised to know that spending within your organisation will actually increases. Most organisations see an average of 20% increase in revenues generated by applications using the cashless environment. Just through being more convenient it encourages students to spend on campus.
And finally security wise - having less cash on campus helps reduce theft. A central accounting system also reduces fraud and errors. It’s definitely a system that most Financial Directors will prefer –
There will always be reasons not to look at a cashless environment.
When you look across your organisation there will always be one application that MUST be separate and managed independently. All these separate applications have their own set of stakeholders and that is a lot of people to convince it should be changed. This doesn’t have to be that difficult.
The same can be said of your current solutions, some might even be supplied by long standing IT or contract suppliers. Changing these mid-contract would be a nightmare and cause too much additional work.
Franchises will resist this as they will no longer control the cash flow through their business
Then there are concerns over some of your users, what if they don’t have bank accounts?
Any finally – this can’t be a simple solution and who is going to manage it. I’m sure everyone in your organisation is already over-stretched so you don’t want to add to peoples workloads.
Talking about an open loop system as one where the card owner is the ‘bank’ – the funds are managed outside of the organisation and all points of payment require an EMV reader. This is common and may make sense when it comes to catering where you do expect chip and pin or contactless now at each till. It makes less sense if you were to think of all the other payment point like multi-function printer which still need to recover cost but make open loop less attractive.
So considering Closed loop. This means that the balances are held within then organisation – they are the float owner. Once the account is used for everything the total float isn’t inconsiderable which is a nice advantage for the organisation to earning interest on balance and improving cash flow
It’s worth saying that when we refer to balance being held by the organisation it’s not stored on the card – it’s in the database. Providing better security if a user loses their card they don’t lose their balance – they simply go on line to an admin point and lock the account until they are issued a new card.
The next point is one we know can cause a lot of frustration amongst students – do we have a single balance or multiple balances? We recommend a single account for adding funds to but then have separate balances for different goods and services and allow students to transfer between them – we’ll show this shortly.
The final consideration here is how much involvement you want parents to have – if you deem this important we’ll be showing some parental controls that could be made available.
Here we shows the potential for a single card – it’s scope can be a lot wider than we perhaps we expect.
We have the obviously requirements like cashless catering, or other on-line purchases, print and copy as well as physical access control but what about some of the other less common opportunities like:
Integration with local transport schemes
Laundry and vending payments
Membership & access to local leisure facilities
Attendance recording to name just a few.
The Monitor solution uses an SQL transactional database as the central engine, this is called Supervisor Net.
The concept behind the Monitor solution is to offer a full range of modules covering the large array of cashless and single card requirements or offer integration with those 3rd parties applications that must remain or are essential to your business.
The database balance can be held as a single purse for all solutions or separate for each solution (or a mixture of both if required)
The system is in use across the globe with a worldwide support infrastructure
Monitor is the ONLY system that offers such a wide array of internally developed modules for the single card / cashless environment.
I’m now going to hand over to Howard to review the Monitor Suite of products
The monitor Suite consists of Core Transactional Modules
Based around the Supervisor Net database built on Microsoft SQL.
The main Administration module is an Application based administration tool for the core database information
Web Admin Essentials: a web based helpdesk tool to view and manage user accounts.
My Monitor provides the end user with their own web based portal to view and manage their accounts with online top-ups and transfers
Express is a Kiosk based application for account top ups guest account creation and also can be used for paying fines/fees amongst other things.
The Insight web based reports can be used for accurate reporting on all the transactional data.
Additional Specific Application Modules include
Monitor Print: The print and copy management solution – supporting multi vendors with Web and Mobile print options
Point of Sale: a complete Cashless Catering application together with the online Ordering module provides a complete Point of Sale solution
Fines and fees is used in Library integration
Vending for snacks/drinks machines
Laundry Controller: Unit for integration of washer/dryer facilities with a web interface to show the machine activity in real time.
My Reservation: The computer, facilities, room and asset reservations and bookings.
