Job Description
Job Title: PA & Project Support Manager (Maternity Cover)
Reports to: Managing Director
ISS Division: ISS Facility Services – Private Sector - Cleaning
Location: Bishops Court Birmingham or South Quay Plaza with UK travel
Context:
ISS Facility Services – Private Sector - Cleaning provides cleaning and facility services to a
range of prestigious customers, in a variety of sectors. The Personal Assistant & Project
Support Manager will work closely with the Managing Director supporting all aspects of the
business.
Job Purpose:
To provide highly effective, efficient, proactive and confidential support to the Managing
Director delivering a professional executive service and promoting a positive image of ISS
Facility Services – Private Sector - Cleaning at all times. To play an active part in a number of
projects across the Division including customer and employee engagement and oversee
Corporate Responsibility programmes and initiatives.
People Responsibility:
Two direct reports
Key Responsibilities:
 Understand the key corporate decisions and strategies and the Managing Director’s
working style and priorities in order to provide the appropriate level of support
 Ensure an effective flow of communication between management teams, customers,
suppliers and other business sectors and at all times be an exemplary ambassador for
Private Sector - Cleaning
 Screen and organise the Managing Director’s telephone calls, written correspondence and
emails as required, following up where necessary including responding on behalf of the
Managing Director where appropriate
 Effective management of the Managing Director’s electronic diary, prioritising of
appointments and reallocation as necessary
 Plan and organise meetings, events, conferences, travel arrangements, employee
functions, customer hospitality and Senior Management Team events including sourcing
and viewing venues
 Research, prepare and collate information for an extensive range of meetings
 Oversee the annual Customer Experience Survey for Private Sector – Cleaning
 Analyse annual Employee Survey results ensuring key actions across Private Sector –
Cleaning are collated
 Actively participate in management meetings ensuring specific agenda items are
addressed plus compile, distribute and follow up on Action Trackers
 Provide motivation, leadership and direction within Private Sector – Cleaning to ensure
achievement of targets
 Draft companywide communications on behalf of the Managing Director
 Oversee Senior level recruitment requests and act as the point of contact for all applicants
 Attend nationwide meetings as instructed by the Managing Director
 Oversee, implement and/or participate in projects and one-off assignments; drive forward
these projects to deliver the outputs in the Private Sector – Cleaning Strategy document
 Make decisions where appropriate and prioritise strategic matters to maximise the
Managing Director’s time
 Develop and maintain good working relationships with internal and external customers
 Coordinate and process expense claims on behalf of the Managing Director
 Input monthly mileage details on behalf of the Managing Director
 Travel to other ISS offices to attend meetings and work alongside colleagues
 Coordinate annual leave for Managing Director’s direct reports
 Carry out visits to key customer sites to engage with frontline employees
 Promote Corporate Responsibility across Private Sector – Cleaning
 Attend Business in the Community Ready for Work Steering Group meetings and support
the Managing Director in his role of Chair of this group
 Act as a member of the Community Working Group
 Provide line management to Facilities & Services Co-ordinator and Communications &
Corporate Responsibility Executive
Skills:
 Ability to work to a demanding schedule and tight deadlines
 Ability to effectively manage individuals
 Excellent interpersonal and communication skills
 Excellent organisational skills with the ability to prioritise own workload and multi-task
 Ability to filter information and assess priorities
 Excellent attention to detail, including proof reading skills, with the ability to maintain a
high level of accuracy
 Ability to work using own initiative
 A good level of negotiation and influencing skills
 Ability to think and plan ahead and anticipate needs before they arise
 Proficient with IT applications including Microsoft Outlook, Word, Excel and PowerPoint
 Flexibility around working hours in order to ensure the needs of the business are
continually met including the ability to attend off site meetings at short notice
 Able to command respect and credibility with a wide range of people
 Ability to exercise discretion in dealing with confidential or sensitive matters
 A high level of flexibility and a positive attitude to innovation and change
 Commitment to the ongoing success of the business
 An awareness of the market within which the business operates
