2. •Definition of Examination record:
An examination record is defined as a
documented proof of a formal test or
transaction. This can refer to academic
activities which fall within the normal routine
of an organization
3. Record classification
Records managers use classification
or categorization of record
types as a means of working with
records. Such classifications
assist in functions such as creation,
organization, storage,
retrieval and movement of records.
4. Importance of record keeping in educational
institutions
• Record keeping is directly related to assessment and
goal setting. Consistent, ongoing documentation of
student work and progress ensures that teachers will
have evidence of year-long student growth. This
evidence becomes vitally important in teachers
communications with students, parents and
administrators as the year goes on.
5. •Additionally, student work can and should be
used when teachers have questions about
specific programs that might be needed when
referring students for special services. It is
important to begin the year with ideas for a
record keeping system that will be manageable
for teachers and their students.

7. Why there is need to have all examination
records?
• Record keeping tracks students’ progress and provides
evidence to support grading decisions. Developing good
record-keeping habits is essential for organizing, processing,
and communicating the students understanding of the
curriculum. Regardless of the strategy, experienced teachers
have established routines and procedures for keeping
accurate and detailed records of their student's progress.
These records they maintain include as well as more formal
records, such as test scores.
8. • Teachers use their records in communicating with parents
and students about their progress and it allows them to
monitor the learning taking place in the classroom. Record
keeping can be one very time consuming aspect of classroom
management. Teachers need to set up systems that will help
them keep track of all of the different records they need to
keep on each student. Once teachers do this, they can focus
on the other aspects of their job. There are many strategies
that teachers use for this purpose and to enhance their
pedagogy methods.
9. Examination register
•After examination, the marks and progress of
the pupiled entered in the register. The class
teacher should exercise great certain entering
the marks. The signature of the headmaster
should also be obtained in this register after
every examination.
10. Assessment Folders
• Assessment folders house a collection of assessments
that monitor students' progress. Keep all formal
assessments in the students' assessment folders.
Record assessment scores on the cover of each folder
for easy access. Use assessment folders in conferences
and during a referral process. Maintain these folders
yourself; the contents are confidential. Have
assessment folders accessible to administrators for
review upon resulting in examination record.
11. Checklists
• Checklists are an easy way to record scores, behavior, effort, and
participation—all of which are part of the feedback provided on
report cards or progress reports.
12. Progress Report
•After every examination a detailed report
about the progress of a student is sent to
the parents. This is done either by a
progress report card or in a school diary.
