 Acceptance and Action
Steps in the Communication Process:
Scope of Communication
○ Communication in Managerial Relations

executive communication.
○ Communication in Employee Relations
- is the type of communication that generally
receives great attention and emphasis.
○ Communication in Public Relation
- includes the whole community whose
boundaries are unlimited.
Thank You For Listening 
METHODS OF
COMMUNICATION
1. Verbal Communication
2. Non-Verbal Communication
Verbal Communication
- Is a two-way process between persons.
Words
-as instrument of communication that convey
facts, purposes , feelings or attitudes.
Non-Verbal Communication
-describes the process of conveying meaning in the form
of non-word messages.
Non-verbal cues can be shown in the person’s:
1. Appearance
2. Body Language
3. Silence, Time, Sounds
Appearance
Body Language
MEDIA OF COMMUNICATION
Written and printed communication
-includes letters, periodicals, magazines, journals,
bulletins, pay envelopes, reprints advertisements,
memos and etc.
Visual Communication
Numerical
Electronic Communication
-very important method of communication, the use of
computers.
Oral Presentation
 -are assemblies which include mass meeting,
small group meetings, training conference,
personal interviews and others.
Parties, picnics, dances and other
forms of recreation
-are informal, desirable communication media because they are
built around the social relationship of all members of the
organization.
Barriers to communication
Everybody expects to be successful, that there would
be no breakdown. But breakdown does happen. WHY
?
Most breakdowns in communication have been
attribute to anyone of those communication barriers.
*Communication is fruitful only if the
messages sent by the sender is
interpreted with same meaning by
the receiver
*Any kind of disturbance blocks any
step of communication, the message
will be destroyed
Major communication Barriers
 Perceptual and language differences – Perception is generally
how each individual interprets the world around. All generally want
to receive messages which are significant to them.
 High load of information – it is essential to control this information
flow else the information is likely to be misinterpreted or forgotten.
As a result communication is less effective.
 Inattentive – At times we just not listen , but only hear. Messages
should be ignored for effective communication
 Time pressure – The targets have to be achieved within a
specified time period, the failure of which has adverse
consequences. In a haste to meet deadlines, the formal channels
of communications are shortened/ not completely transferred.
Thus sufficient time should be given for effective communication.
Common internal
communication problem in
organizations
 If I know it, then everyone must know it
 We hate bureaucracy--- we’re lean and
mean
 I told everyone, or some people, or …..?
System Design – Organizational
structure which is unclear and
therefore makes it confusing to
know who to communicate with
- Lack of supervision, clarity in roles
and responsibilities which can lead
to staff being uncertain what is
expected from them
Attitudinal barriers – Factors as poor
management , lack of consultation with
employees, personality conflicts which
can result in people delaying or refusing
to communication.
Autocratic Communication
 Autocratic Communication – is from the
boss directly to each individual.
- in this network the leader is a
middleman.
Advantage :
 Is main advantage is SPEED
 It is a fast system, to be used when you’re
under pressure
 It allows employees to have one task, and
that is to work, which could mean that the
employees master their tasks and become
proficient enough to help grow the
company.
Disadvantages :
 According to Money Zine, "The communication style
of an autocratic leader is usually described as one
way. They tell you exactly what they want done." This
can be frustrating if the boss talks to the employees
only when they make mistakes, and little praise is
provided.
 In addition, it can generate a company of zombies
with no fresh ideas. This autocratic style can create
an environment of fear and resentment, leading to
high turnover and absenteeism, which can hinder
progress.
Democratic Communication
Democratic communication
 The flow of communication from the boss/leader is
a two way affair
 This means that the democratic
leader/communicator not only communicates with
group member for purposes of asking question ,
making , suggestion , passing along information
but also make it possoble
Advantage :
 the participant can result in high motivation of group
members.
 The knowledge and experience of group members can be
used in decision making.
 Members may feel more committed to group goals and less
resistant to managerial actions.
 Individual abilities can be developed through participation.
 Group may be better informed as a result of two way
communication.that is from the group members to the leader
and also from the leader to the members
Disadvantage :
 This aproach can be very time consuming
for the leader because of the use of two-
way communication
 Subordinates may view leader as
incompetent to handle the job
responsibilities.

•A significant test for the success or failure of a
communication system is the nature of its
outcomes.
•Similarly successful communication develops an
attitude of confidence among executives toward
employees and the public and toward each other.
•And finally, communication as a medium of public
relations undertakes to win the confidence of the
community in the company and its management to
merit continued support and goodwill.

Today software can turn a computer into a television, second
player, edit and replay video images, fax and phone messages.
This mass digital substitution is what Glovers Ferguson,
director of research at Andersen Consulting .
It’s recreation, like the virtual image you see in a mirror, of the
“real world “. He calls it “Virtualization” .
In Silicon Valley in California, a group of electronic companies
is sponsoring a model for a virtual business environment called
commerce net .

He stressed that whoever controls
information and its dissemination
has power. The high- quality
power comes from the application
of knowledge.

"Sometimes being the best means being the least.
Be good even after you make a mistake."
"Everyday is a struggle to be just better. Being
good is what keeps us to be who we are."
"It's not the easiest but that is probably the best
legacy that a person can leave behind.. To believe in
goodness and just become a good person."

  • 52.
  • 53. Barriers to communication Everybody expects to be successful, that there would be no breakdown. But breakdown does happen. WHY ? Most breakdowns in communication have been attribute to anyone of those communication barriers.
  • 54. *Communication is fruitful only if the messages sent by the sender is interpreted with same meaning by the receiver *Any kind of disturbance blocks any step of communication, the message will be destroyed
  • 55. Major communication Barriers  Perceptual and language differences – Perception is generally how each individual interprets the world around. All generally want to receive messages which are significant to them.  High load of information – it is essential to control this information flow else the information is likely to be misinterpreted or forgotten. As a result communication is less effective.  Inattentive – At times we just not listen , but only hear. Messages should be ignored for effective communication  Time pressure – The targets have to be achieved within a specified time period, the failure of which has adverse consequences. In a haste to meet deadlines, the formal channels of communications are shortened/ not completely transferred. Thus sufficient time should be given for effective communication.
  • 56. Common internal communication problem in organizations  If I know it, then everyone must know it  We hate bureaucracy--- we’re lean and mean  I told everyone, or some people, or …..?
  • 57. System Design – Organizational structure which is unclear and therefore makes it confusing to know who to communicate with - Lack of supervision, clarity in roles and responsibilities which can lead to staff being uncertain what is expected from them Attitudinal barriers – Factors as poor management , lack of consultation with employees, personality conflicts which can result in people delaying or refusing to communication.
  • 59.  Autocratic Communication – is from the boss directly to each individual. - in this network the leader is a middleman.
  • 60. Advantage :  Is main advantage is SPEED  It is a fast system, to be used when you’re under pressure  It allows employees to have one task, and that is to work, which could mean that the employees master their tasks and become proficient enough to help grow the company.
  • 61. Disadvantages :  According to Money Zine, "The communication style of an autocratic leader is usually described as one way. They tell you exactly what they want done." This can be frustrating if the boss talks to the employees only when they make mistakes, and little praise is provided.  In addition, it can generate a company of zombies with no fresh ideas. This autocratic style can create an environment of fear and resentment, leading to high turnover and absenteeism, which can hinder progress.
  • 63. Democratic communication  The flow of communication from the boss/leader is a two way affair  This means that the democratic leader/communicator not only communicates with group member for purposes of asking question , making , suggestion , passing along information but also make it possoble
  • 64. Advantage :  the participant can result in high motivation of group members.  The knowledge and experience of group members can be used in decision making.  Members may feel more committed to group goals and less resistant to managerial actions.  Individual abilities can be developed through participation.  Group may be better informed as a result of two way communication.that is from the group members to the leader and also from the leader to the members
  • 65. Disadvantage :  This aproach can be very time consuming for the leader because of the use of two- way communication  Subordinates may view leader as incompetent to handle the job responsibilities.
  • 66. Thank You For Listening 
  • 71. •A significant test for the success or failure of a communication system is the nature of its outcomes. •Similarly successful communication develops an attitude of confidence among executives toward employees and the public and toward each other. •And finally, communication as a medium of public relations undertakes to win the confidence of the community in the company and its management to merit continued support and goodwill. 5/2/2013 71
  • 73. The special Business Week issue of 1994 presents a comprehensive discussion of how digital technology is changing the way we work and live . 5/2/2013 73
  • 76. 5/2/2013 76 Today software can turn a computer into a television, second player, edit and replay video images, fax and phone messages. This mass digital substitution is what Glovers Ferguson, director of research at Andersen Consulting . It’s recreation, like the virtual image you see in a mirror, of the “real world “. He calls it “Virtualization” . In Silicon Valley in California, a group of electronic companies is sponsoring a model for a virtual business environment called commerce net .
  • 78. 5/2/2013 78 He stressed that whoever controls information and its dissemination has power. The high- quality power comes from the application of knowledge.
  • 80. "Sometimes being the best means being the least. Be good even after you make a mistake." "Everyday is a struggle to be just better. Being good is what keeps us to be who we are." "It's not the easiest but that is probably the best legacy that a person can leave behind.. To believe in goodness and just become a good person."
