What Is Communication Communication is the ability to share information, feelings and ideas with people  and to understand that what information the others are conveying .
Purpose Of Communication To get your message across to other people – This involves both the sender and the receiver.
Effective Communication An exchange of understanding. It is often taken for granted not given due attention not taken care of by circumventing the communication barrier.
Why Do We Communicate? We communicate because communication fulfills our basic needs Security Social Needs Self Esteem Sustenance Social needs are specially fulfilled through communication at least half if not all.  HARMONY - AFFECTION - LOVE - FRIENDSHIP

The Seven C’s Of Effective Communication Completeness Provide all necessary information. Answer all questions asked. Give something extra, When desirable. Conciseness Eliminate wordy expressions Include only relevant material Avoid repetition.
Consideration Focus on “You” instead of “I” or “We” Show audience benefit or interest in the receiver. Emphasize positive, pleasant facts.
CONCRETENESS Use specific facts and figures Put action in your verbs Choose vivid, image – building words.
CLARITY Choose precise, concrete and familiar words. Construct effective sentence and paragraphs. COURTESY Be sincere tactful, thoughtful and appreciative Use expression that show respect Choose  non discriminatory expression.
Correctness Use the right level of language Check accuracy of figure, facts and words Maintain acceptable writing mechanics.
Objectives Of Communication The single most objective of communication is not the transmission but the reception. The whole preparation should not be geared to the speaker but to the audience. For e.g. A perfect project plan can be a failure if the audience doesn't understand it The main problem with this objective is that most of the people have a very small attention span. Your main goal during communication is to go through this mental fog and get that attention
The Plan It is difficult estimate the importance of a careful preparation. Five minutes on the  floor in front of a senior management can decide the acceptance of a proposal. As a rule of thumb 5 minutes of presentation requires one hour of practice.

Keep to the time allowed If you can, keep it short, its better to under run then overrun Stick to the plan and don’t digress. Leave some time for discussion & it can be increased if some interesting question comes up. At the end of your presentation you must ask if tehre are some questions.

Visual aids Visual aids must be relevant o what you say. Poor design or use of Visual aid can get in the way of presentation
Keep it simple though Complex set of hardware results in confusion Be sure how to use the equipment. Use some technician/operator with you. Always check visual aids for the typographical mistakes, fonts and layouts. Should contain minimum information. Use colors on slides except Yellow/Orange. Room lighting should be considered.
