Indoor/outdoor Facility Management
MindMap Overview Process Summary
Facility Management services comprise Space & Infrastructure and People &
Organization services.
The aim of indoor and outdoor facility management (FM) is to enable the site
to be managed at normal status by handling specific services under
controlled conditions, i.e. scheduled, budgeted and approved.
Gaps in Facility Management can shorten the life expectancy of the site,
cause incidents and failures or prevent access to the site, e.g. lacking snow
removal. Incorrect procedures could lead to health and safety risks or
compliance violations, e.g. ineffective pest control.
When FM services are performed within building constructions, these are
split between services performed within the Net Floor Area (NFA) and those
performed outside the Net Floor Area.

Lessons learned / Customer experiences
“When we decided to have separate service providers for regular cleaning and
technical cleaning it was very important for us to clarify which parts within the
Net Floor Area of the building should be covered by which type of cleaning.
By relying on the commonly accepted definitions we could take the floor plans
and simply map out our Primary Area and Technical Areas, where we wanted
the high-end technical cleaning to be performed, while regular cleaning was
kept for Circulation Areas, Amenity Areas and Partition Walls and all areas
outside the Net Floor Area.
Five years ago we would not have been able to clarify to our different
suppliers who was responsible for which areas, and the Border List would have
been very much open for interpretation…”

• Border Lists are critical to ensure that all areas are
serviced and no gaps exist
• Do not underestimate the value of clearly defined
Facility Management KPIs and service levels, e.g.
meeting Health & Safety standards or automatic
triggers for snow removal to ensure access to a site
• On-site works should always include updating and
finalizing related documentation and service records

  • 5. Indoor/outdoor Facility Management MindMap Overview Process Summary Facility Management services comprise Space & Infrastructure and People & Organization services. The aim of indoor and outdoor facility management (FM) is to enable the site to be managed at normal status by handling specific services under controlled conditions, i.e. scheduled, budgeted and approved. Gaps in Facility Management can shorten the life expectancy of the site, cause incidents and failures or prevent access to the site, e.g. lacking snow removal. Incorrect procedures could lead to health and safety risks or compliance violations, e.g. ineffective pest control. When FM services are performed within building constructions, these are split between services performed within the Net Floor Area (NFA) and those performed outside the Net Floor Area. Lessons learned / Customer experiences “When we decided to have separate service providers for regular cleaning and technical cleaning it was very important for us to clarify which parts within the Net Floor Area of the building should be covered by which type of cleaning. By relying on the commonly accepted definitions we could take the floor plans and simply map out our Primary Area and Technical Areas, where we wanted the high-end technical cleaning to be performed, while regular cleaning was kept for Circulation Areas, Amenity Areas and Partition Walls and all areas outside the Net Floor Area. Five years ago we would not have been able to clarify to our different suppliers who was responsible for which areas, and the Border List would have been very much open for interpretation…”

Final notes • Border Lists are critical to ensure that all areas are serviced and no gaps exist • Do not underestimate the value of clearly defined Facility Management KPIs and service levels, e.g. meeting Health & Safety standards or automatic triggers for snow removal to ensure access to a site • On-site works should always include updating and finalizing related documentation and service records
