Paper documents and filing cabinets have been the way to organize
information in an office for decades. But that doesn’t mean they’re the
best option. Many offices worldwide are transitioning from physical
documents to electronic document management systems. Why? Well,
there are many reasons to follow steps for going paperless in today’s
modern business climate.
More and more businesses, agencies, organizations, and institutes are
realizing that paper is an expensive and inefficient way to manage their
information, and so they turn to electronic document management. But
going paperless isn’t something that happens overnight; it is a process that
takes time and effort, and many business owners are intimidated by the
prospect of making the switch. Most organizations deal with large
volumes of paper works or electronic information much of which requires
co – workers reviewed and approval. Failure to keep time sensitive
information moving through the organization can cause long delays. The
problem of long delays and inaccuracy in finance management system can
be through many reasons;
 It can be because the managers are with habit of delays ( until it is
communicated through so many offices)
 It can be the facility in the institute is slower ( like buses for
transport of managers, connection, power, et)
 It is because of there is no fast and easy finance's system software
that enables us to interface with all institute components (e.g. with
HRM, with Dean Office, with quality assurance office, with all
departments, etc.)
Paperless financial management system :
 It trans-form team from slow, cumbersome, manual document
processing in to efficient electronic document routing for review

This paper is intended to improve financial operations for our companies,
especially finance’s problem in Mekelle institute of technology. The
software improves the complex work flow activities by automating
business processes such as
 Payables, approvals, collaborations
 pass throughout reviewers and approvers before general
distribution
 Profitability and Cost Management Communications
 Planning, Budgeting, and Forecasting issues

a) Background and Justification: 4
Mekelle university has been developed many electronic systems like e-
student, e- research, e-learning etc. There is also HRM system that
takes part the attendance of each employee, which are helpful systems.
But, there is only traditional financial system which have paper-based
filing systems, which may include filing cabinets, folders, shelves, and
drawing cabinets, all of which require maintenance, equipment,

of finance or any other digital finance’s software applications become so
helpful for fast, accurate and efficient service of institute’s services.
ERP (enterprise resource planning) systems are more effective systems in
modern businesses, because in enterprise systems every system in the
university/institute is integrated in to one software. The software contains
all the components as parallel. But, implementing enterprise system in
small scale research project is not adequate as business, enterprises, and
agencies are spending less time and money on filing old systems today
but transferring their investment into ERP systems as big concern.
Going finance paperless system, which is our project aims is one of the
biggest benefits of an ERP system. The continuous integration of
information across departments, offices allows for greater storage and
analytical capabilities, which drive to good mission of the institute.
There is problem of delays and inaccuracy in Mekelle institute of
technology in finance management system. An issues of salary of an issue
of payable extra work will delayed months. It can be through many
reasons;
 It can be because the managers are with habit of delays ( until it is
communicated through so many offices)
 It can be the facility in the institute is slower ( like buses for
transport of managers, connection, power, et)
 It is because of there is no fast and easy finance's system software
that enables us to interface with all institute components (e.g. with
HRM, with dean office, with quality assurance office, with all
departments, etc.)

This made us to motivate for providing paperless finance management
system.
b) Objectives of the project: 5
Once computer data is printed on paper, it becomes out-of-sync with
computer database updates. Paper is difficult to search and arrange in
multiple sort arrangements, and similar paper data stored in multiple
locations is often difficult and costly to track and update. Implementation
of this solution eliminates the need to work with paper documents and
allows client advisors to centrally secure and manage all documents
related to a customer account. Documents in electronic form can easily be
shared with associates. Advisors are able to quickly search for and find
documents relating to a specific client account or type of document. The
majority of the payback period is quickly realized in the time saved in the
following areas;
1. Elimination of the labor intensive processes involved when
creating and managing physical files of client documents.
2. The source paper documents are destroyed, or returned to the client,
eliminating the need to dedicate expensive office space to filing
cabinets.
3. The customer advisors are able to provide an improved level of
service to customers by being able to locate client details
electronically when needed.
4. Advisors can share information between offices without the need
for couriers.

Mekelle University/Mekelle Institute of Technology is found at the heart
of Mekelle city in Tigray region of Northern Ethiopia, at 783 Kilometers
from the Ethiopian capital. Mekelle University is a government-funded
higher institution with an international reputation for teaching and
research and with collaborative understanding with national and
international sister institutions. At present MU hosts over 31,000b
students in the regular, continuing education program and summer,
evening, distance education and bin-service programs in both
undergraduate and graduate programs. It has five working campuses and
two more under construction that host 7 Colleges, 8 Institutes and 2
Schools. Mekelle institute of Technology is a specialized science and
technology institute under Mekelle University devoted exclusively to
science and technology education and research. It admits top students on
merit basis with highly competitive entrance criterion taking only 50
students per year per department. MIT has currently 5 major fields of
studies namely :

(2)Electrical and Communication engineering
(3)Electrical and Electronics engineering
(4)Computer science Engineering

Though, it is thought that MIT is center of ICT and Technology there is
no so good ERP system that facilities all the work burdens in offices. All
the components are daily work with paper based system, and there is no
proper management of files, letters, vacancies, bid, inventory, etc.
Particularly the Finance budget administer is called daily for every
process and meet every components to work over one task. Aim of this
paper is to establish working system software for finance management
system.
The study area of this research is campus wide. Considering collaborating
all stakeholders of the institute, interviewing, and data-intake processing
issues.

Paperless finance management system has to take place the paper based
finance system. The software has graphics design tools that give users the
ability to create predefined work flow templates like Payables, approvals,
collaborations, and pass through to reviewers/approvers.
It development phase contains the following phases : User interface
design  Database and table formation Document review and approval
activities (request and reply)  Document and record archiving
Each activity can be pre-configured to define task descriptions, due dates,
and reviewers or approvers that have to be complete specific work flow
tasks. Detail description of the system development is given below.
A. LOGICAL DESIGN:
The logical flow of a system and define the boundaries of a system.
It includes the
following steps:
 Reviews the current physical system – its data flows, file content,
volumes, frequencies, etc.
 Prepares output specifications – that is, determines the format,
content and
frequency of reports.
 Prepares input specifications – format, content and most of the
input functions.
 Prepares edit, security and control specifications.
 Specifies the implementation plan.
 Prepares a logical design walk through of the information flow,
output, input, controls and implementation plan.
B. PHYSICAL DESIGN:
Physical system produces the working systems by define the design
specifications that tell the programmers exactly what the candidate

participant observation, surveys etc) and how it will be done including the following points:
a) Methods and activities to be carried out to solve the problems and answer questions stated
above. Which parameters will be studied and which measurements will be take; which data will be collected and
how.
b) Criteria for choosing sites and samples, sampling methods and sample sizes. Provide source of
germplasm for life science experiments.
c) Describe your field trial design (if appropriate). In some cases you may find it necessary to
include diagram and if you do please refer to that diagram in this space.
Analysis of data: Describe the statistical methods that you will use to analyse the data

C. MODULE DESIGN:
Admin - The Administrator logs in using the admin login. In this
administrator has the full authority over the software. In this System, the
administrator has the power to add or update or delete all the details.
D. DATABASE DESIGN:
A database is an organized mechanism that has the capability of storing
information through which a user can retrieve stored information in an
effective and efficient manner.
The data is the purpose of any database and must be protected. The
database design is a two level process. In the first step, user requirements
are gathered together and a database is designed which will meet these
requirements as clearly as possible. This step is called Information Level
Design and it is taken independent of any individual DBMS.
In the second step, this Information level design is transferred into a
design for the specific DBMS that will be used to implement the system
in question. This step is called Physical Level Design, concerned with the
characteristics of the specific DBMS that will be used. A database design
runs parallel with the system design. The organization of the data in the
database is aimed to achieve the following two major objectives.
 Data Integrity
 Data independence
E. SYSTEM IMPLEMENTATION AND TESTING:

Implementation is the stage of the project where the theoretical design is
turned into a working system. It can be considered to be the most crucial
stage in achieving a successful new system gaining the users confidence
that the new system will work and will be effective and accurate. It is
primarily concerned with user training and documentation. Conversion
usually takes place about the same time the user is being trained or later.
Implementation simply means convening a new system design into
operation, which is the process of converting a new revised system design
into an operational one.
F. DOCUMENT SCANNING AND ARCHIVING:
Another big issue raised related with feasibility of this system is that
previously old files (records) especially those hardcopy tiled files must be
part of the new system. How to make old file part of new software
application?
The solution uses out-of-the-box capabilities of the document
management software. Most companies today have some form of
document scanners, stand alone or networked. The act of scanning
documents, to convert them into electronic form is as easy as making a
photocopy. Documents are simply put into a scanner and the start button
is pushed. Many companies do this and simply send the electronic images
to a general storage area.The business problem with only scanning and
storing is that the process does not classify the documents to create a
structured organized filing system. In most cases the scanning process
does not convert the text to be machine readable and are therefore the
words are not fully text searchable. This Financial Services customer
wanted more; they knew that their Client information is only as good as
their Agents ability to retrieve and work with it later on. They selected
FileHold Systems to solve this problem. FileHold helped them implement
QuickScan Pro an out-of-the-box software solution that automates
classification, indexing and filing of electronic document.
The classification is made possible by the capture of metadata or the
creation of "tags" for each scanned document. It is this classification that
makes Client documents easy to find, share or work with after they are
electronically filed. Some technologies today created separator sheets for
each type of client document and left them for re-use at the scan station.
These separator sheets have a barcode on them plus they are human
readable. There is a separator sheet for each of a typical client's document
type (checks, driver license, etc.). The agent takes the file of Client

documents (the "batch") and matches the appropriate barcode separator
sheet, with each of the document types in the Client file that need to be
scanned. These can be a single page document (driver's license) or
multiple pages (financial agreement) - each one gets the appropriate
identifying separator sheet at its top. The agent than places the stack of
documents (the 'batch'), with barcode separator sheets, into the scanners
document feeder and presses the scan button.
The scanner has the ability to read the barcode on the separator sheet and
based on that information an electronic tag is added to each document so
that the QuickScan Pro software knows exactly what each of the
documents in the batch are. The presence of the next barcode separator
sheet also tells QuickScan Pro at scan time that a new document type is
coming and to create a new electronic file.
After scanning is finished, the Agent uses the QuickScan Pro software to
add more specific information to the entire batch of documents (client last
name, initials, spouses last and first name as well as the date the
documents where signed). The QuickScan Pro software is very user
friendly and has been pre-configured to prompt the Agent to fill in certain
required fields (Client last name) but can leave other optional fields blank
(Spouse). These tag values are entered only once and are automatically
applied to all the scanned documents in the batch. The system knows that
the most important information gathered is the Clients last name and will
automatically create that Client folder and file the associated document
under that Client name in the FileHold library.
Another method of scanning: - Without any Agent involvement the
scanned documents are also OCR'd (optical character recognition) and
indexed by the document management software full text search
engine. The benefit of this additional process is that the documents can
now be searched for by any of the text in the documents in addition to the
client name or "tags" that were added in the filing process. The documents
are ultimately saved in the document management system as a searchable
PDF Image over Text files. Storing in PDF also has the advantage of
reducing document storage space.
G. TRAINING:
Once the system is successfully developed the next important step is to
ensure that the administrators are well trained to handle the system. This

is because the success of a system invariably depends on how they are
operated and used. The implementation depends upon the right people
being at the right place at the right time. Education involves creating the
right atmosphere and motivating the user. The administrators are
familiarized with the run procedures of the system, working through the
sequence of activities on an ongoing basis.

Back end : MS ACCESS for desktop application and the following tools
for web application. The web-architecture portion of the program will be
deployed using Apache’s free Tomcat server. Some of the tools to write
the actual program are outlined below:
Java Servlets A Java servlet is a programming language object that
dynamically handles requests and responses on a server. It uses the Java
programming language as its platform. The servlet lifecycle consists of
initializing the servlet object, servicing requests to and from a server, and
closing the object once it’s finished.
Java JSP: A JSP is very similar to a Java servlet. At compile time it
compiles into a Java servlet, but at the programming stage it has an
interface that is preferable for different tasks. It uses a mixture of html,
pseudo Java, and embedded packages to make programming for different
aspects easier. Usually for graphical displays and style of a webpage, it’s
easier to accomplish this through a JSP, while logic and database traffic is
better suited for a Java servlet.
CSS: CSS stands for Cascading Style Sheets. It is a language that
describes the presentation of a document. It meshes directly with the html

programming language. One of the nicest features
of CSS is providing a central location for all style aspects of a web-page.
CSS is very flexible using a priority system based on object matching.
This along with the JSPs should give the project a crisp look.
HTML: HTML stands for Hyper Text Markup Language. It is the true
programming language of the World Wide Web. It is the protocol for
communicating over the internet. It provides the basics for web
programming, but lacks many features that Java servlets and other tools
provide such as dynamic interaction. Html will be embedded in nearly
every aspect of this program.
XML: XML is short for Extensible Markup Language. It is a general
protocol for creating user defined markup languages. It is primarily
responsible for sharing structured information across various platforms.
XML ties in very nice with Tomcat and is useful for installing security
measures. This is how the project will incorporate internet encryption.
This is also how the project will include user-defined URLs, Welcome
page options, and any filtering that needs to be
done.

The project entitled “paperless Financial Management System ” which
keep the day by day tally record as a complete banking or financial
system. It can keep the information of Saver, Loaner, and Share Holder
and also managed it. The exciting part of this project is; it displays the
day book, Profit and Loss Accounts, Statistical Summary and Interest
Information.
Paper less Finance management system - project is implemented in
asp.net platform using visual Studio plug-in (VB - C# programming
language in it front end) and MS access in it back end . This project is
useful in finance and accounting sector for providing a user friendly and
easily accessible interface for performing banking transactions.

Short summary of the project: 2 Paper documents and filing cabinets have been the way to organize information in an office for decades. But that doesn’t mean they’re the best option. Many offices worldwide are transitioning from physical documents to electronic document management systems. Why? Well, there are many reasons to follow steps for going paperless in today’s modern business climate. More and more businesses, agencies, organizations, and institutes are realizing that paper is an expensive and inefficient way to manage their information, and so they turn to electronic document management. But going paperless isn’t something that happens overnight; it is a process that takes time and effort, and many business owners are intimidated by the prospect of making the switch. Most organizations deal with large volumes of paper works or electronic information much of which requires co – workers reviewed and approval. Failure to keep time sensitive information moving through the organization can cause long delays. The problem of long delays and inaccuracy in finance management system can be through many reasons;  It can be because the managers are with habit of delays ( until it is communicated through so many offices)  It can be the facility in the institute is slower ( like buses for transport of managers, connection, power, et)  It is because of there is no fast and easy finance's system software that enables us to interface with all institute components (e.g. with HRM, with Dean Office, with quality assurance office, with all departments, etc.) Paperless financial management system :  It trans-form team from slow, cumbersome, manual document processing in to efficient electronic document routing for review 1 Keep the title of the project short and simple. The title should clearly describe the basic objectives of the proposed project and be understandable by a scientist who is not an expert in your field 2 Give a short summary, maximum 400 words, of the proposed project, sufficiently informative for other scientists who are not necessarily in your field of expertise. This summary should contain a problem statement of the project, followed by the objectives and a brief description of how these will be accomplished, with expected results 2

This paper is intended to improve financial operations for our companies, especially finance’s problem in Mekelle institute of technology. The software improves the complex work flow activities by automating business processes such as  Payables, approvals, collaborations  pass throughout reviewers and approvers before general distribution  Profitability and Cost Management Communications  Planning, Budgeting, and Forecasting issues 3

Proposed Research Project: a) Background and Justification: 4 Mekelle university has been developed many electronic systems like e- student, e- research, e-learning etc. There is also HRM system that takes part the attendance of each employee, which are helpful systems. But, there is only traditional financial system which have paper-based filing systems, which may include filing cabinets, folders, shelves, and drawing cabinets, all of which require maintenance, equipment, 3 - List all your major publications, especially those related to your proposed research project. File management system of finance or any other digital finance’s software applications become so helpful for fast, accurate and efficient service of institute’s services. ERP (enterprise resource planning) systems are more effective systems in modern businesses, because in enterprise systems every system in the university/institute is integrated in to one software. The software contains all the components as parallel. But, implementing enterprise system in small scale research project is not adequate as business, enterprises, and agencies are spending less time and money on filing old systems today but transferring their investment into ERP systems as big concern. Going finance paperless system, which is our project aims is one of the biggest benefits of an ERP system. The continuous integration of information across departments, offices allows for greater storage and analytical capabilities, which drive to good mission of the institute. There is problem of delays and inaccuracy in Mekelle institute of technology in finance management system. An issues of salary of an issue of payable extra work will delayed months. It can be through many reasons;  It can be because the managers are with habit of delays ( until it is communicated through so many offices)  It can be the facility in the institute is slower ( like buses for transport of managers, connection, power, et)  It is because of there is no fast and easy finance's system software that enables us to interface with all institute components (e.g. with HRM, with dean office, with quality assurance office, with all departments, etc.) 5

This made us to motivate for providing paperless finance management system. b) Objectives of the project: 5 Once computer data is printed on paper, it becomes out-of-sync with computer database updates. Paper is difficult to search and arrange in multiple sort arrangements, and similar paper data stored in multiple locations is often difficult and costly to track and update. Implementation of this solution eliminates the need to work with paper documents and allows client advisors to centrally secure and manage all documents related to a customer account. Documents in electronic form can easily be shared with associates. Advisors are able to quickly search for and find documents relating to a specific client account or type of document. The majority of the payback period is quickly realized in the time saved in the following areas; 1. Elimination of the labor intensive processes involved when creating and managing physical files of client documents. 2. The source paper documents are destroyed, or returned to the client, eliminating the need to dedicate expensive office space to filing cabinets. 3. The customer advisors are able to provide an improved level of service to customers by being able to locate client details electronically when needed. 4. Advisors can share information between offices without the need for couriers. a) Hypothesis (Optional): 5 State the specific (short-term) objectives of the project and how they relate to the general (long-term) objectives and the questions that the project will attempt to answer 6
  • 7. b) Review of literature (optional): 6 c) Description of study area: 7 Mekelle University/Mekelle Institute of Technology is found at the heart of Mekelle city in Tigray region of Northern Ethiopia, at 783 Kilometers from the Ethiopian capital. Mekelle University is a government-funded higher institution with an international reputation for teaching and research and with collaborative understanding with national and international sister institutions. At present MU hosts over 31,000b students in the regular, continuing education program and summer, evening, distance education and bin-service programs in both undergraduate and graduate programs. It has five working campuses and two more under construction that host 7 Colleges, 8 Institutes and 2 Schools. Mekelle institute of Technology is a specialized science and technology institute under Mekelle University devoted exclusively to science and technology education and research. It admits top students on merit basis with highly competitive entrance criterion taking only 50 students per year per department. MIT has currently 5 major fields of studies namely : (1)Biological and Chemical Engineering (2)Electrical and Communication engineering (3)Electrical and Electronics engineering (4)Computer science Engineering 6 Refers to an account of what has been published on a related topic by accredited scholars and researchers 7 Describe the location, physiography, climate, geology and soils, population, production systems, etc. Contents may depend on the discipline of concern 7

(5)Information Technology beside MiT has 5 administrative components (1)Human Resource management system (2)Inventory management system (3)Registrar management system (4)General service management system (5)Financial management system Though, it is thought that MIT is center of ICT and Technology there is no so good ERP system that facilities all the work burdens in offices. All the components are daily work with paper based system, and there is no proper management of files, letters, vacancies, bid, inventory, etc. Particularly the Finance budget administer is called daily for every process and meet every components to work over one task. Aim of this paper is to establish working system software for finance management system. The study area of this research is campus wide. Considering collaborating all stakeholders of the institute, interviewing, and data-intake processing issues. d) Methodology:8 9 8 Ddescribe methods that persuade the reader that the author is an expert on the subject matter. It should provide sampling methods, research design, data collection and analysis of data 9 Research design: Provide details on your experimental design or plans for trials and observations, indicating plot layout and sizes (or equivalent information), treatments, replications and statistical methods to be used to analyse data 8
  • 9. Paperless finance management system has to take place the paper based finance system. The software has graphics design tools that give users the ability to create predefined work flow templates like Payables, approvals, collaborations, and pass through to reviewers/approvers. It development phase contains the following phases : User interface design  Database and table formation Document review and approval activities (request and reply)  Document and record archiving Each activity can be pre-configured to define task descriptions, due dates, and reviewers or approvers that have to be complete specific work flow tasks. Detail description of the system development is given below. A. LOGICAL DESIGN: The logical flow of a system and define the boundaries of a system. It includes the following steps:  Reviews the current physical system – its data flows, file content, volumes, frequencies, etc.  Prepares output specifications – that is, determines the format, content and frequency of reports.  Prepares input specifications – format, content and most of the input functions.  Prepares edit, security and control specifications.  Specifies the implementation plan.  Prepares a logical design walk through of the information flow, output, input, controls and implementation plan. B. PHYSICAL DESIGN: Physical system produces the working systems by define the design specifications that tell the programmers exactly what the candidate Research plan: Describe here what will be done (observation work, laboratory experiments, participant observation, surveys etc) and how it will be done including the following points: a) Methods and activities to be carried out to solve the problems and answer questions stated above. Which parameters will be studied and which measurements will be take; which data will be collected and how. b) Criteria for choosing sites and samples, sampling methods and sample sizes. Provide source of germplasm for life science experiments. c) Describe your field trial design (if appropriate). In some cases you may find it necessary to include diagram and if you do please refer to that diagram in this space. Analysis of data: Describe the statistical methods that you will use to analyse the data Materials: List materials that will be required for laboratory experiments, field work and computing facilities 9

MODULE DESIGN: Admin - The Administrator logs in using the admin login. In this administrator has the full authority over the software. In this System, the administrator has the power to add or update or delete all the details. D. DATABASE DESIGN: A database is an organized mechanism that has the capability of storing information through which a user can retrieve stored information in an effective and efficient manner. The data is the purpose of any database and must be protected. The database design is a two level process. In the first step, user requirements are gathered together and a database is designed which will meet these requirements as clearly as possible. This step is called Information Level Design and it is taken independent of any individual DBMS. In the second step, this Information level design is transferred into a design for the specific DBMS that will be used to implement the system in question. This step is called Physical Level Design, concerned with the characteristics of the specific DBMS that will be used. A database design runs parallel with the system design. The organization of the data in the database is aimed to achieve the following two major objectives.  Data Integrity  Data independence E. SYSTEM IMPLEMENTATION AND TESTING: 1
  • 11. Implementation is the stage of the project where the theoretical design is turned into a working system. It can be considered to be the most crucial stage in achieving a successful new system gaining the users confidence that the new system will work and will be effective and accurate. It is primarily concerned with user training and documentation. Conversion usually takes place about the same time the user is being trained or later. Implementation simply means convening a new system design into operation, which is the process of converting a new revised system design into an operational one. F. DOCUMENT SCANNING AND ARCHIVING: Another big issue raised related with feasibility of this system is that previously old files (records) especially those hardcopy tiled files must be part of the new system. How to make old file part of new software application? The solution uses out-of-the-box capabilities of the document management software. Most companies today have some form of document scanners, stand alone or networked. The act of scanning documents, to convert them into electronic form is as easy as making a photocopy. Documents are simply put into a scanner and the start button is pushed. Many companies do this and simply send the electronic images to a general storage area.The business problem with only scanning and storing is that the process does not classify the documents to create a structured organized filing system. In most cases the scanning process does not convert the text to be machine readable and are therefore the words are not fully text searchable. This Financial Services customer wanted more; they knew that their Client information is only as good as their Agents ability to retrieve and work with it later on. They selected FileHold Systems to solve this problem. FileHold helped them implement QuickScan Pro an out-of-the-box software solution that automates classification, indexing and filing of electronic document. The classification is made possible by the capture of metadata or the creation of "tags" for each scanned document. It is this classification that makes Client documents easy to find, share or work with after they are electronically filed. Some technologies today created separator sheets for each type of client document and left them for re-use at the scan station. These separator sheets have a barcode on them plus they are human readable. There is a separator sheet for each of a typical client's document type (checks, driver license, etc.). The agent takes the file of Client 11
  • 12. documents (the "batch") and matches the appropriate barcode separator sheet, with each of the document types in the Client file that need to be scanned. These can be a single page document (driver's license) or multiple pages (financial agreement) - each one gets the appropriate identifying separator sheet at its top. The agent than places the stack of documents (the 'batch'), with barcode separator sheets, into the scanners document feeder and presses the scan button. The scanner has the ability to read the barcode on the separator sheet and based on that information an electronic tag is added to each document so that the QuickScan Pro software knows exactly what each of the documents in the batch are. The presence of the next barcode separator sheet also tells QuickScan Pro at scan time that a new document type is coming and to create a new electronic file. After scanning is finished, the Agent uses the QuickScan Pro software to add more specific information to the entire batch of documents (client last name, initials, spouses last and first name as well as the date the documents where signed). The QuickScan Pro software is very user friendly and has been pre-configured to prompt the Agent to fill in certain required fields (Client last name) but can leave other optional fields blank (Spouse). These tag values are entered only once and are automatically applied to all the scanned documents in the batch. The system knows that the most important information gathered is the Clients last name and will automatically create that Client folder and file the associated document under that Client name in the FileHold library. Another method of scanning: - Without any Agent involvement the scanned documents are also OCR'd (optical character recognition) and indexed by the document management software full text search engine. The benefit of this additional process is that the documents can now be searched for by any of the text in the documents in addition to the client name or "tags" that were added in the filing process. The documents are ultimately saved in the document management system as a searchable PDF Image over Text files. Storing in PDF also has the advantage of reducing document storage space. G. TRAINING: Once the system is successfully developed the next important step is to ensure that the administrators are well trained to handle the system. This 1
  • 13. is because the success of a system invariably depends on how they are operated and used. The implementation depends upon the right people being at the right place at the right time. Education involves creating the right atmosphere and motivating the user. The administrators are familiarized with the run procedures of the system, working through the sequence of activities on an ongoing basis. The web-architecture portion of the program will be deployed using Apache’s free Tomcat server. Some of the tools to write the actual program are outlined below: Java Servlets A Java servlet is a programming language object that dynamically handles requests and responses on a server. It uses the Java programming language as its platform. The servlet lifecycle consists of initializing the servlet object, servicing requests to and from a server, and closing the object once it’s finished. Java JSP: A JSP is very similar to a Java servlet. At compile time it compiles into a Java servlet, but at the programming stage it has an interface that is preferable for different tasks. It uses a mixture of html, pseudo Java, and embedded packages to make programming for different aspects easier. Usually for graphical displays and style of a webpage, it’s easier to accomplish this through a JSP, while logic and database traffic is better suited for a Java servlet. CSS: CSS stands for Cascading Style Sheets. It is a language that describes the presentation of a document. It meshes directly with the html 1
  • 14. programming language. One of the nicest features of CSS is providing a central location for all style aspects of a web-page. CSS is very flexible using a priority system based on object matching. This along with the JSPs should give the project a crisp look. HTML: HTML stands for Hyper Text Markup Language. It is the true programming language of the World Wide Web. It is the protocol for communicating over the internet. It provides the basics for web programming, but lacks many features that Java servlets and other tools provide such as dynamic interaction. Html will be embedded in nearly every aspect of this program. XML: XML is short for Extensible Markup Language. It is a general protocol for creating user defined markup languages. It is primarily responsible for sharing structured information across various platforms. XML ties in very nice with Tomcat and is useful for installing security measures. This is how the project will incorporate internet encryption. This is also how the project will include user-defined URLs, Welcome page options, and any filtering that needs to be done. e) Expected output: 10 The project entitled “paperless Financial Management System ” which keep the day by day tally record as a complete banking or financial system. It can keep the information of Saver, Loaner, and Share Holder and also managed it. The exciting part of this project is; it displays the day book, Profit and Loss Accounts, Statistical Summary and Interest Information. Paper less Finance management system - project is implemented in asp.net platform using visual Studio plug-in (VB - C# programming language in it front end) and MS access in it back end .
