3. JOB APPLICATION LETTER
īŽ You may need to write a number of
letters in connection with a job
applications.
īŽ Speculative letters. Describing and
offering you skills and experience to an
organization on the off-chance that
they may be recruiting in relevant area.
īŽ Letters requesting an application form.
The organization is not interested in
personal details at this stage. Simply

5. COMPLAINT LETTER
īŽ Complaints are situations which may
people find difficult, especially
(apparently) in England negative feelings
may get in the way of clarity and also
fairness to the recipient of the letter
(who may not be the person responsible
for the problem).
īŽ PURPOSE:
īŽ To identify problem
īŽ To express the effect of the problem

īą AUDIENCE:
īą Will want details for investigation.
īąWill be resistant to implied failure and loss.
īą May be concerned to secure your good will
and benefit.
īąWill weigh cost of leaving you unhappy with
cost of making you happy.
7. ADJUSTMENT LETTER
īŽ Adjustment is a term sometimes used
for the reply to a complaint. Obviously
there is no set content for such a
letter, since it must been seen to
respond directly to the circumstances
and stated wished of the person
complaining. You should have read the
small print and extremely annoying and
frustrating for the complaint.
8. PURPOSE:
īą To show how you have considered the
complaint seriously.
īą To soothe the complaintâs anger
disappointment etc
īą To offer redress that will be acceptable to
both parties.
īą AUDIENCE:
īą Will want to have been take seriously
īą Will be resistant to avoidance of
responsibility
īą May be cynical about sincere apologies
9. COVERING LETTER
īŽ A covering letter can be sent with goods
and documents of many kinds. It may
simply introduce the other items,
explaining what they are, who they are
from, and why they have been sent.
īŽ PURPOSE:
īŽ To introduce the enclosed items
īŽ AUDIENCE:
īŽ They may or may not be expecting
items.
10. INFORMATION LETTER
īŽ Letters containing information can be
used in a wide variety of contexts:
conveying instructions, briefings,
reports, news, product details and
availability and so on. A report style
letter may be lengthier than other
forms, if the volume of information
required is large.
11. RECOMMENDATION LETTER
īŽ A letter of recommendation is one that
offers (request or unsolicited) facts and
opinions as to why a thirty party is
eligible, suitable or worthy to received
some position or benefit a job,
promotion, grant, award and so on.
īŽ PURPOSE:
īŽ To establish context and credibility of
source
īŽ AUDIENCE:
īŽ Will be required relevance to position
12. LETTER OF REQUEST
īŽ The letter form, being short and clearly
identifying sender and intended
recipient as part of its basic elements,
is ideal for requesting information. It
can also be used informally for
requesting or ordering goods.
īŽ PURPOSE:
īŽ To elicit relevant information
īŽ AUDIENCE:
īŽ Need to know what is relevant.
13. MARKETING AND SALES
LETTER
īŽ These are the written selling messages
that aim to provide business information
that gives rise to a desire to buy. Such
letters are written to arrange the
interest of the customer to buy the
mentioned products. These letters do
not attempt to sell goods or services
directly. But the purpose is to make
friends and create good feelings
between the company and its customers.
14. CIRCULAR LETTER
īŽ A circular letter is exactly the same in
function and format as specific business
letter, expect that it is designed to be
read by a larger number of different
people. The circular may be used to give
information to a group of known
individuals.
īŽ EXAMPLE:
īŽ Informing clients or customers of price
changes or new product.
