Professional Experience
Thales UK Limited
Project Office Administrator Sept 2018 to present day
Applying administrative support and working as part of a team for an 18 month Government
project.
• By regularly chairing weekly RAID Log meetings with the team to track and monitor all risks
raised efficiently, and to ensure that all project documentation is stored within the
departmental Sharepoint site by holding full administrative rights to ensure ISO qualification is
maintained for the annual audit. Other logs include an Action Log which is maintained daily
and an FAT/SAT Documentation Log along with a DDD Log of which this requires to follow an
internal documentation approval process.
• Other administrative support of diary management, attending and minuting meetings,
uploading certificates and weekly checkpoint reports to the departmental Sharepoint site. Also
ordering and tracking equipment and stationery required for the project with Purchasing,
organising team workshops, lunches and booking meeting rooms. This has required me to be
a strong team player within a small and challenging team. This role has also meant operating
and maintaining machinery when required until full resource has been obtained.
• I was required to undertake Fire Warden training for the department to ensure the full safety
of the department and of those around me in the event of a fire.
Talk Intelligence Limited
Telemarketer June 2018 to Sept 2018
Working as part of a team producing leads for clients.
• By using a unique database to call companies across the UK to create leads on behalf of
clients, this helped me maintain daily targets required for the department.
Ericsson Television Limited
Project Support Administrator Jan 2016 to Sept 2017
Provided accurate and detailed team results and owner of a project documentation process
across two departments globally.
• Approx. 1200 unreported hours per month were recorded due to an increase of staff within
the department globally (ie 300 to 1100 people). A quick and efficient way was successfully
executed to dramatically reduce these hours and significantly lower costs. This was achieved
by compiling, analysing and presenting time keeping data to Departmental Heads and Project
Managers and by working with individuals within an agreed time plan. Weekly meetings,
problem solving and regular informative progress updates were under taken and a result of
1000 hours was accomplished.
2. • With consistently increasing project costs the Project Managers were required to monitor and
account for all hours and equipment purchases charged to their projects. I compiled individual
project cost reports and reviewed budgetary issues with the Project Managers. Then collated
and summarised all individual reports within one departmental publicised report to highlight
common trends and project financial performances to key stakeholders. This helped detect
any occurring issues with Customers which could assist reducing time and costs in the future.
It also highlighted processes that could be adjusted within the project life cycle.
• A slow and often time consuming project closedown process that required full ownership and
guidance globally. I took ownership to achieve give quick and accurate information between
the Delivery Group and Customer Support Teams. Regular documentation guidance and
handover meetings between the Project Managers and the Customer Support Team were
undertaken following strict guidelines to increase efficiency within the department and the
process as a whole.
• Due to increased costs and lack of efficiency within the project management process I
became the project management owner, responsible for issuing updated documentation and
processes within the project cycle of the department, communicated changes to the
stakeholders, ensured compliance to the process and constantly looked at ways to increase
efficiency. This, therefore, minimised Project Managers and Engineers time spent on project
tasks, reduced time reporting costs and also ensured that with auditing this whole process I
helped retain the ISO 9001 and internal auditing verification award whereby I analysed and
shared monthly and quarterly results to the leadership team.
Ericsson Television Ltd (Formerly Tandberg Television, NDS Ltd, DMV Ltd)
Projects Administrator June 2010 to Dec 2015
Supported the Customer Support and Delivery Departments with time reporting, internal
departmental purchases and co-ordinated technical documentation to project completion.
• With another new group structure and new KPI’s to be met by the Project Managers, I
assisted with process and documentation changes which in turn also helped increase
efficiency with internal audits and costs within the Delivery Group.
• A new corporate group storage site was devised to the previous site being unreliable and
slow. I implemented a more efficient project documentation site and layout for Project
Managers and team members to access their information quickly.
• Missing timesheets and approvals were constantly excessive within the group, therefore I
defined the timesheets management process by developing reports and tracking time as
reported. This increased timesheet completion <75% to 98% which aided cost control within
the department.
• To ensure continuity of service within the team I created and updated workflow diagrams and
process documentation for the project closedown process and arranged cross-training for
other team members.
• To increase efficiency, I assisted with the ordering of inter-departmental project equipment
within a company internal system.
Tandberg Television Ltd (Formerly NDS Ltd)
Systems Integration Administrator August 2001 to June 2010
Ensured project documentation and time keeping hours were processed within the group and
provided support to the Project Support team.
3. • With a new group structure and time keeping system, we were as a department required to
time report to control costs and increase efficiency. I worked as part of a team to set up and
manage missing timesheets and approval reports and display ways of working.
• Due to the change of Company name, as a department we were required to amend all
documentation. I took ownership of this project which was executed quickly and efficiently.
• Co-ordinated the issuing of project documentation between departments and owned the
process to archive project folders.
NDS Ltd (Formerly DMV Ltd)
Group Secretary Sept 1996 to July 2001
Diary management to the Systems Integration Department Director and provided
administrative support to the Systems Integration Department
• To increase individual efficiency I managed diaries for Head of Department and Project
Managers and arranged travel, co-ordinated visas to help centralise the information.
• I ensured Project Managers and Engineers had quick and easy access to their project
information by maintaining a departmental database.
• I undertook general administrative duties to continue the efficient flow of the department
which included filing, managing minutes of meetings, followed up meeting actions and
maintained staff annual leave and sickness records for over 80 people.
