Job duties of an administrative assistant
Administration at Central Level
• The Ministry of Education, University and Research (MIUR) is
responsible for general administration at national level. School
education is organised at a decentralised level by the MIUR through
the Regional School Office, which operate at provincial level in Local
Offices
• The Ministry of Education, University and Research (MIUR) is
headquartered in Rome.
THE DIRECTOR OF GENERAL AND
ADMINISTRATIVE SERVICES (DSGA)
The administrative manager supervise the administrative and general services of the school
and co-ordinates the relevant staff.
He or she is automatically a member of the Executive Board (Giunta Esecutiva) and the
District/School Council (Consiglio d’Istituto)

We have a platform of communication with the MIUR (Ministry of Education, University and Research)
We manage:
• Supply-teachers absent for long period
• Small amount of money
• Designation of specific duties, for ex. teachers in charge to accompany students in school trips; teaching in
extra-courses etc;
• Teachers retirement procedures
• Teachers transfer to another school
All information about each teacher is in the platform so that the MIUR is informed in real time.
In particular my duties are concerned with
the management of the teachers:
• Absences
• Online register and teachers enabling to
the use of it
• Management of contracts
• Relations with the Accounting office and
the Treasury Department for payments,
contracts and appointments, absences
with shortening
• other

teachers issues.
Salaries of all staff
depend upon the same
office.
We have different departments and for each department there is a different person in charge:
• Students department
• Teachers department
• Purchasing department
• Projects department
• General affairs

Students department
We use a platform of communication with the MIUR in which there are all
information about students.
We handle sensitive documents such as student records. We act as a liaison
between the students, parents and principal.
Project department
In this department administrative assistants are in charge to manage PTOF
(Triennal educational offer plan) projects, other projects and school trips.
General affairs
In this department we manage work based learning (Alternanza scuola lavoro),
relations with Local authority in particular Provincial Authority which is directly
responsible for high schools; Provinces are assigned specific functions for upper
secondary education;
We also manage relations with the School Council and the Executive council.
