Operates computer to retrieve data and file signed correspondence and reports.
Combines duplicate patient records submitted from patient accounts department.
Maintains alphabetic filing system by organizing patient records on shelves to ensure records are readily
accessible by all departments.
Answers calls from Clinical staff pertaining to medical records.
Completes, mails, faxes, and files physician’s transcription documentation.

Medical Records Clerk
Duties include:
Maintain the confidentiality of client/patient and relevant Health Service business at all
times
Greet and attend to patients and visitors in a courteous and efficient manner
Attend to the daily procedures of Medical Records Department
Orientation of new staff to Medical Records procedures
Effectively manage the day to day operation of the reception area
Admission and discharge procedures including printing of identification labels, interviewing
patients etc.
Clinical Coding of discharges
Register new patients in i.PM and issue Medical Record Numbers as required, prepare new
record folders and update relevant printout
Attend to requests for information including Medicolegal requests and production of
information for subpoenas and maintain register
Attend to the Outpatients Register and ensure all entries are complete
Operating of i.PM, Business Objects, webNAP, eziSuite, cris and PBRC software
Compile relevant statistics
Data entry i.e. admissions, discharges, appointments and statistics
Operating of facsimiles and photocopiers and telephones, addressing telephone inquiries,
transferring calls and taking messages when appropriate.
Maintain Medical Record filing system including archiving and culling of records in line with
NSW Department of Health Guidelines
Schedule meetings and minute taking
Use of Microsoft Office, including Word, Publisher, Excel, PowerPoint and Internet/Email
Maintain complete and accurate notes and other documentation in client/patient records
Accept Telehealth bookings and complete return
Process patient fees
Coordinate petty cash
Actively participate in the Performance Review and Development Plan process
Demonstrate an awareness of and commitment to safe working practices
Ordering and packing of stock
Sending and receiving of mail
Organising and making appointments for clients
Liaise with other Allied Health services and organisations
Travelling for further training, relevant workshops and conferences
Attend mandatory training, workshops and staff meetings
Attend to Human Resource duties as required
Relief Car Pool Manager
Relief Specialist Clinic Coordinator
Sound knowledge of OH&S and EEO policies and procedures
Undertake any other duties as required
