1. Introduction.




Information Storage And Retrieval System is the techniques of
storing and recovering and often disseminating recorded data.
Information in this context can be composed of text ( including
numeric and date data ), images, audio, video and other media
objects.
Early libraries concentrated on arranging books in some
prescribed order on shelves.
Find the document most relevant to a certain Query.

2. What is Information Retrieval ?



The information retrieval system is that part of a communication
system that contains information as input as retrieval produced
information as output, which again acts as input.
The representation and organisation of information items should
provide the user with easy access to the information in which he is
interested.
The term Information Retrieval first introduced by Calvin Moors in
1951.

3. Concept of Information Storage And Retrieval.
 Information Storage And Retrieval, the systematic process of
collecting and cataloguing data so that they can be located and
displayed on request. Computers and data processing
techniques have made possible the High-speed, selective
retrieval of large amounts of information for government,
commercial, and academic purposes.

4. Definitions.



According to Calvin Moors in 1951, " Searching and retrieval of
information from storage according to specification by subject."
According to J. H. Shera, " Information Retrieval is the process
of locating and selecting data relevant to a given requirement."
Oxford Dictionary define Information Retrieval as, " The Tracing
and recovery of specific information from stored data."

5. Need for Information Retrieval.




Search for documents that fall in a given topic.
Search for a specific information.
Search an Answers to a Questions.
Search for information in a different language.

6. Objectives.



Library and information center is to supply right information in
the hands of right user at a right time is also known as
Information Storage And Retrieval.
Information Retrieval system serve to match the writer's ideas
expressed in the document with the user's requirements or
demands for those.
Information Storage And Retrieval, the systematic of collecting
and cataloguing data so that they can be located and displayed on
request.

7. Elements.
* Information retrieval mainly consist of four elements. :-

Information Carrier.
Descriptors.
Document address.
Transmission of Information.

A. Information Carrier.


Carrier is something that carries, hold or conveys
something. On the other hand Carrier is something
that carries or store information.
For example :- Film, Magnetic Tape, CD, DVD etc.

B. Descriptor.


Term or Terminology that 's used for to search information
from storage is known as descriptor.
It is known as key words that we use for search
information from a storage device.

C. Document address.


Every document must have an address that identifies the
location of the document.
Here document address means ISBN, ISSN, code
number, call number, shelf number or file number that
helps us to retrieve information.

D. Transmission of Information.


Transmission of Information means to supply any
document at the hands of users when needed.
Information retrieval system uses various
communication channel or networking tools for doing
this.

* The main functions of Information Retrieval system is to supply
right information at the hand of right user at a right time.

A. Storage / Acquisition.




Acquisition means to collect information from various sources.
It is the main functions of Information Retrieval .
Firstly the user's collects their desired information from various
sources.
For example :- Sources may be book, document, database, journal
etc.

B. Content analysis.
 Second step of Information Retrieval system is to analyse their
acquired information, and this step they may take decision in
this document they collect is valuable or not.

C. Content presentation.


Information is a system for presenting information to the user.
Information should be presenting clearly and effectively so that
user can be able to understand them very easily.

D. Creation of file / Store


In this stage the library authority creates a new file for
storing their collected information, which is ready for
presentation.
They organize those file by some systematic way .
* Creation of search methods :-
In this stage the library authority decide what kind of search
logic they may use for searching and retrieving information.

E. Dissemination.



The last stage of Information Retrieval System is dissemination.
It is the act of spreading information widely.
In this stage the library authority dissemination information the
user by a systematic way.

* According to Lancaster in 1979, the major component of an
information retrieval system are :-

* The main objective of a Library And Information Center is to supply
right information in the hands of right user at a right time.
✓ For this they use two techniques for retrieving information more
effectively. :-
A. Traditional system.
B. Modern system / Non - traditional system.

A. Traditional system.



The main function of a Library And Information Center is to
acquisition, organising, preservation and dissemination of
materials.
For this they follow some traditional system..

Catalogue.
Index.
Abstract.
Bibliography.
Authority file.

a) Catalogue.
 Catalogue is a list of books of one or more library, by
which we can identify the location of any books. This
contains Author name, Title name, Edition, Number of
volume, subject, ISBN etc.

b) Index.


An index is an alphabetical list at the back of a
book saying where particular things are mentioned
in the book.
It is very important tool for the information retrieval.

c) Abstract.
 An abstract is concise and accurate representation of the
contents of a document. It also several as a retrieval
tools.

d) Bibliography.
 Bibliography is also a list of books, not confined to a
particular library. It act as a retrieval tools.

e) Authority file.
 It is a list of files contains call number and class
number without any specific rules. It also an important
tools for retrieving information.

B. Modern system / Non - traditional system.


Besides some traditional system, in the present time
we also use some non-traditional/modern system for
information retrieval.
It is two types :-
1] Semi-automatic system.
2] Automatic system.

It is a combination of man and machine, use for
retrieving information.
Besides the use of machines, man’s intelligence and
physical labour also needed for retrieving information.
Catalogue card, punch card, EDGE notes card, Apache
card etc.





Use of automatic retrieval tools are first introduced in late
1980s.
In this system all the retrieval works are done by the help
of computer and other related modern technologies.
Physical labours of man’s are not important here.
Some of the automatic tools are:
A)Computer. B) CD-ROM.
C) Hard Disk. D) Floppy Disk.
E) Internet.

Computer:
✓ An electronic machine that can store and work with large
amounts of information.
CD-ROM:
✓ A compact disc used as a read-only optical memory device
for a computer system.
Hard Disk:
✓ A rigid non-removable magnetic disk with a large data storage
capacity.

Floppy Disk:
✓ a flexible removable magnetic disk (typically encased in a
hard plastic shell) for storing data.
Internet:
✓ A global computer network providing a variety of
information and communication facilities, consisting of
interconnected networks using standardized communication
protocols.

11. Conclusion.



An information retrieval process begins when a user enters a
query into the system.
Queries are formal statement of Information needs, for
example search string in web search engines.
The main objective of a Library And Information Center is to
supply right information in the hands of right user at a right
time is also known as Information Storage And Retrieval.

  • 4. 4 1. Introduction.     Information Storage And Retrieval System is the techniques of storing and recovering and often disseminating recorded data. Information in this context can be composed of text ( including numeric and date data ), images, audio, video and other media objects. Early libraries concentrated on arranging books in some prescribed order on shelves. Find the document most relevant to a certain Query.

What is Information Retrieval ?    The information retrieval system is that part of a communication system that contains information as input as retrieval produced information as output, which again acts as input. The representation and organisation of information items should provide the user with easy access to the information in which he is interested. The term Information Retrieval first introduced by Calvin Moors in 1951.
  • 6. 6 3. Concept of Information Storage And Retrieval.  Information Storage And Retrieval, the systematic process of collecting and cataloguing data so that they can be located and displayed on request. Computers and data processing techniques have made possible the High-speed, selective retrieval of large amounts of information for government, commercial, and academic purposes.
  • 7. 7 4. Definitions.    According to Calvin Moors in 1951, " Searching and retrieval of information from storage according to specification by subject." According to J. H. Shera, " Information Retrieval is the process of locating and selecting data relevant to a given requirement." Oxford Dictionary define Information Retrieval as, " The Tracing and recovery of specific information from stored data."
  • 8. 8 5. Need for Information Retrieval.     Search for documents that fall in a given topic. Search for a specific information. Search an Answers to a Questions. Search for information in a different language.
  • 9. 9 6. Objectives.    Library and information center is to supply right information in the hands of right user at a right time is also known as Information Storage And Retrieval. Information Retrieval system serve to match the writer's ideas expressed in the document with the user's requirements or demands for those. Information Storage And Retrieval, the systematic of collecting and cataloguing data so that they can be located and displayed on request.
  • 10. 10 7. Elements. * Information retrieval mainly consist of four elements. :- A. B. C. D. Information Carrier. Descriptors. Document address. Transmission of Information.
  • 11. 11 A. Information Carrier.   Carrier is something that carries, hold or conveys something. On the other hand Carrier is something that carries or store information. For example :- Film, Magnetic Tape, CD, DVD etc.
  • 12. 12 B. Descriptor.   Term or Terminology that 's used for to search information from storage is known as descriptor. It is known as key words that we use for search information from a storage device.
  • 13. 13 C. Document address.   Every document must have an address that identifies the location of the document. Here document address means ISBN, ISSN, code number, call number, shelf number or file number that helps us to retrieve information.
  • 14. 14 D. Transmission of Information.   Transmission of Information means to supply any document at the hands of users when needed. Information retrieval system uses various communication channel or networking tools for doing this.

Functions. * The main functions of Information Retrieval system is to supply right information at the hand of right user at a right time.  Functions of Information Retrieval System are discussed below :- A. B. C. D. E. Storage / Acquisition. Content analysis. Content presentation. Creation of file / store. Dissemination.
  • 16. 16 A. Storage / Acquisition.     Acquisition means to collect information from various sources. It is the main functions of Information Retrieval . Firstly the user's collects their desired information from various sources. For example :- Sources may be book, document, database, journal etc.
  • 17. 17 B. Content analysis.  Second step of Information Retrieval system is to analyse their acquired information, and this step they may take decision in this document they collect is valuable or not.
  • 18. 18 C. Content presentation.   Information is a system for presenting information to the user. Information should be presenting clearly and effectively so that user can be able to understand them very easily.
  • 19. 19 D. Creation of file / Store   In this stage the library authority creates a new file for storing their collected information, which is ready for presentation. They organize those file by some systematic way . * Creation of search methods :- In this stage the library authority decide what kind of search logic they may use for searching and retrieving information.
  • 20. 20 E. Dissemination.    The last stage of Information Retrieval System is dissemination. It is the act of spreading information widely. In this stage the library authority dissemination information the user by a systematic way.
  • 21. 21 9. Components. * According to Lancaster in 1979, the major component of an information retrieval system are :- ① ② ③ ④ ⑤ ⑥ Document selection subsystem. Indexing subsystem. Vocabulary subsystem / Terminology subsystem. Searching subsystem. Subsystem of mutual interaction between user and system. Matching subsystem.

Techniques. * The main objective of a Library And Information Center is to supply right information in the hands of right user at a right time. ✓ For this they use two techniques for retrieving information more effectively. :- A. Traditional system. B. Modern system / Non - traditional system.
  • 24. 24 A. Traditional system.    The main function of a Library And Information Center is to acquisition, organising, preservation and dissemination of materials. For this they follow some traditional system.. For example :- Such as a) b) c) d) e) Catalogue. Index. Abstract. Bibliography. Authority file.
  • 25. 25 a) Catalogue.  Catalogue is a list of books of one or more library, by which we can identify the location of any books. This contains Author name, Title name, Edition, Number of volume, subject, ISBN etc.
  • 26. 26 b) Index.   An index is an alphabetical list at the back of a book saying where particular things are mentioned in the book. It is very important tool for the information retrieval.
  • 27. 27 c) Abstract.  An abstract is concise and accurate representation of the contents of a document. It also several as a retrieval tools.
  • 28. 28 d) Bibliography.  Bibliography is also a list of books, not confined to a particular library. It act as a retrieval tools.
  • 29. 29 e) Authority file.  It is a list of files contains call number and class number without any specific rules. It also an important tools for retrieving information.
  • 30. 30 B. Modern system / Non - traditional system.   Besides some traditional system, in the present time we also use some non-traditional/modern system for information retrieval. It is two types :- 1] Semi-automatic system. 2] Automatic system.
  • 31. 31 1] Semi-automatic system.    It is a combination of man and machine, use for retrieving information. Besides the use of machines, man’s intelligence and physical labour also needed for retrieving information. Catalogue card, punch card, EDGE notes card, Apache card etc.
  • 32. 32 2] Automatic system.     Use of automatic retrieval tools are first introduced in late 1980s. In this system all the retrieval works are done by the help of computer and other related modern technologies. Physical labours of man’s are not important here. Some of the automatic tools are: A)Computer. B) CD-ROM. C) Hard Disk. D) Floppy Disk. E) Internet.
  • 33. 33 Computer: ✓ An electronic machine that can store and work with large amounts of information. CD-ROM: ✓ A compact disc used as a read-only optical memory device for a computer system. Hard Disk: ✓ A rigid non-removable magnetic disk with a large data storage capacity.
  • 34. 34 Floppy Disk: ✓ a flexible removable magnetic disk (typically encased in a hard plastic shell) for storing data. Internet: ✓ A global computer network providing a variety of information and communication facilities, consisting of interconnected networks using standardized communication protocols.
  • 35. 35 11. Conclusion.    An information retrieval process begins when a user enters a query into the system. Queries are formal statement of Information needs, for example search string in web search engines. The main objective of a Library And Information Center is to supply right information in the hands of right user at a right time is also known as Information Storage And Retrieval.
