JOB SUMMARY:
Maintains and manages all important documents for the whole organization and assures that
it is easily accessible and stored. Reports directly to the Project Manager and is responsible for
accurate management and safeguarding of documentation generated by Project team,
contractors and suppliers in support of the day to day operation of the project and in a
manner that will enable all relevant parties to quickly retrieve them that includes technical
reports, correspondence and project management files.
KEY RESPONSIBILITIES:
 Coordinate all related activities to the Document Control procedure, including
technical documents, drawings, letters and commercial correspondence.
 Collecting, organizing and filing of site project documents in coordination with site
project managers.
 Maintain updated records of all approved documents and drawings and their
distribution clearly.
 Generate files/Documents in ACONEX for records and necessary purposes for the AL
Hamra Project.

JOB SUMMARY:
The Document Controller coordinates the flow of all documents related to Project
Management and Consultancy such as, but not limited to “Tender Documents”, incoming and
outgoing correspondence, invoices, ADDENDUM, Programmes, Post-Tender clarifications. He
is also actively involved in the promotion of a highly efficient workplace in accordance with
AECOM standards.
KEY RESPONSIBILITIES:
 The Document Controller is key to the establishment and maintenance of a library of
reference documents in the “info tracker” as a system to control documents on the
Project while being aware of the various record-keeping and reporting standards and
procedures.
 He ensures that documents are prepared in accordance with the applicable standards --
Aecom-style requirements or the client-prescribed style requirements as specified in the
Project Plan).
 He correlates information relating to projects and proposal records.
 He maintains documents, reports, and files and ensure proper safekeeping thereof in the
folder structure.
 He assists in the preparation of Minutes of Meetings and Agenda with the Project
Managers and the Project Director.
 He prepares transmittals for Engineering Documents and Requestor.
 He generates/uploads reports and establishes and maintains files for documents thru
ACONEX data base.
 He ensures a cohesive team work with the Project Director, the Project Managers, and
the Administrators.
 He is responsible for scanning and maintaining “hard copies” and files of all necessary
documents for record.

MAIN ROLE:
1. To ensure that the In-Gate Process complies with TransOps Standard Operating
Procedures.
2. To organize movement of the trucks, along with the proper documents, from soak to
ECP.
KEY RESPONSIBILITIES:
 Monitors in-bound deliveries (AIR and GROUND), including AIR traffic movements
thru AVIATION AND CARRIER (SILKWAY/DHL, MOVE ONE/UPS/APL, NATIONAL AIR
CARGO) and inbound delivery schedule of incoming deliveries (CONUS, MULTI
MODAL, LOCAL MARKET REQUEST).
 Provides list of all available trucks, drivers and their details to ECP 48 hours before
“in-gating”. Data will come from S&P’s schedule.
 Generates Load Instruction Report through EXCEED in order to determine the Pallet
Quantity and Customer Order.
 Generates assigned drivers and truck information thru SAP (ATMS).
 Generates Dispatch Report to PORTALS (System).
 Promotes smooth transition of contractor vehicles.
 Coordinates in the Aviation Dept. and keeps track for flight in the preparation of the
Air Inbound Delivery for Cargo to Depot.
 Prepares a Comprehensive and Detailed Report for the Outbound Delivery to
DoDAAC’s.
 Gathers all the report in the yard and the Dispatch Team for the truck movement in
relation to the inbound and the outbound delivery.
 Verifies that all documents include Truck Manifest, Waybill, Placard, and Invoice
before the go signal in the Dispatch Team for the push-out of truck for delivery.
 Upon completion of loading the assets, ensures that all documents are verified and
the mission is cleared for Push-Out.
 Tracks movement operations of the trucks via SAP tracking as to confirmation of the
assigned load, load ID, POs, Truck No., truck size, Container No., driver details, and
no. of pallets.
 Prepares checklist for the inbound and outbound deliveries.
 Prepares correspondence and reports (MEMO, Push-out Report, and Mission
Tracker).

