Career Highlights
I have considerable experience in the field of Document Control and M a n a g e m e n t . I h a v e learnt
how to manage Document controller activities for a wide spectrum of projects including Ports, Power
station, housing, public buildings, infrastructure, small industries and healthcare. In my career history I
have successfully developed document control system (both electronic and shelf filing) for
projects. I am dealing and managing complex documentation procedure for projects with Clients,
Project Managers, and Consultants.
Following are the highlights of my working
 Control and upkeep all project related documents such as incoming and outgoing correspondences,
submittals, requests , drawings, instructions, revisions, meeting minutes, RFI, different reports and other
documents from the Client and the Contractors.
 Familiar to Electronic Document Management and control system (Microsoft Share point) in order
to save/ upload and archive soft copies of the documents of projects.
 Ensure the compatibility of the system in viewing the volume and significance of the project and updating of
the system whenever required.
 Define and use of a document codding system for all incoming and outgoing documents of project in
order to arrange them in a systematic order which helps in the filing record and prompt access.
 Keep and maintain logs and registers of all incoming and outgoing project documents and
correspondences.
 Make sure all the documents/ correspondences, drawings and faxes are coded and logged in/ registered
once we receive or when send out.
 Stamp and register all incoming and outgoing documents and correspondences in order to confirm that the
documents arebeinghandledthroughproper channel.
 Make sure that the documents meet the Company quality requirements before they are filed
and liaising with internal departments and external parties to ensure that documents contain
correct and understandable information in regards to their categorization.
 Scan and Prepare soft copies of all incoming and outgoing documents/ submittals/ Drawings/ RFIs to
upload on EDMS in order to get prompt access.
 Maintain a proper shelf filing system in record archiving room to keep and archive the hard copies of all
incoming and outgoing documents/ correspondences and drawings.
 Keep the record of contract documents/ drawings in terms of soft copy and hard copy. Make sure that
required one is readily available on demand.
 Preparation of transmittal sheetsfor all out goingdocuments andcorrespondences.
 As requiredtransmissionof thedocuments and correspondences physically orelectronically.
 Preparation of action requisition sheet for all incoming documents and correspondences, in order to hand them over
totheconcernedpersonnel for their comments andaction.
 Tracking, monitoring and follow-up of the Client/ Contractor submitted submittals/ documents in order to be
submitted/ responded within the contractual agreed time period to avoid delays.
 Ensure that accurate and reliable information is readily available, wherever and whenever required.
 Maintain an organized system for locating documents; adhere to security and confidentiality guidelines.

 Review reports, files and other documents for the purpose of ensuring accuracy, completeness and
conformance to standard procedures.
 Responsible for tracking and monitoring the distribution of documents and reconciliation of process
or reference.
 Maintain filing system up to date and take regular backup of the document controlling and management
system daily/ weekly, as required.
 Keep the record all the revisions of submittals/ drawings and make sure that most recently updated one is
readily available by keeping a side of the older one.
 For the successful close out and hand over of documents, keep on chasing and follow up of all open
submittals
 Providing inputs for weekly/ monthly progress report.
 Coordinate in multi tasks and share knowledge on document control processes and procedures with the
team
 Coordinating the management and staff, by transmitting memos, instructions and assignments and
following up on their status.
 Clerical support to project team.
 Drafting & Typing of letters (English & Arabic) and reports on behalf of the organization
 If required help in recording and preparation of minutes of meetings.
 Perform individually and with a team as situation demands.
 Operate office equipment such as photocopiers, facsimile machines, switchboards, and computers.
 Keep the stock and record of office stationary and pantry room.
 Participate, and take pleasure in team work, with colleagues, as an aid to greater company effectiveness
