I will show you how you can overcome the issues and not have to resort to clunky, complex encrypted e-mail systems
So ….. A quick reminder of the problem and deadline …….. GDPR does not allow the sending and receiving of client details by e-mail ……….. The deadline is 25th May
mi-Zone at its basic level replaces all the facilities you use e-mail for …… so as well as Clients ….. Introducers (such as Estate Agents, solicitors, accountants and so on) …… and other companies you may share Client details with too
In this overview I am going to concentrate on the communications between you and your Clients …… that is mi-Zone and the Client Portal …. mi-World
Naturally, the first thing to do is to add the Client on your mi-Zone …… to do this simply click the “New Client” button ….. Complete the details and save them
That adds takes care of adding them …. Now to give them a mi-World Portal ….. Click the button, click send …… and your new Client will automatically receive an e-mail giving them access
Amy (the new client) will receive the e-mail and click the link to the Login screen …….. Then login to her very own mi-World Portal you have provided her with ….. more about Amy’s mi-World Portal in a moment
Next on mi-Zone you need to set up a “Worksheet” for the product you are advising them on ….. in this example a mortgage ...... Just the basics are needed at this stage
From the Worksheet you can communicate with your client ….. In this case we are sending a Terms of Business document to Amy
As soon as the “Submit” button is clicked Amy gets an e-mail telling her she has a new mi-World communication ….. She clicks the link to open her Portal and sees she has a new document ….. She then opens it
Clients are very likely to be picking up your messages on their ‘phones ……. No problem there is a facility in the message to open them on their ‘phone
Amy has been sent a Factfind to complete by her Advisor through mi-Zone ……. She completes, attaches it and clicks “Add Document” to send it ….. This automatically sends an e-mail to let them know
The Advisor clicks the link in the e-mail and will see the new document ….. They click on it to open the document
A “Timeline” feature in both mi-Zone and mi-World allows both the Advisor and Client to see exactly what has happened and when …… giving another huge advantage over using encrypted e-mails
GDPR brings greater challenges around providing Subject Access Requests – Not a problem with mi-World ….. it provides the client with access to their information any time they want to look at it
