2. Communication:
A process by which information is exchanged between individuals through a
common system of symbols, signs, or behavior.
Two-way process of reaching mutual understanding, in which participants not
only exchange (encode-decode) information, news, ideas and feelings but also
create and share meaning.
In general, communication is a means of connecting people or places. In
business, it is a key function of management--an organization cannot operate
without communication between levels, departments and employees.
3. Communication Definition By Various Authors:
• W.H. Newman and C.F. Sumer Jr.
“Communication is an exchange of facts, ideas, opinions or emotions by two or more
persons.”
• Keith Davis
“Communication is the process of passing information and understanding - from one
person to another.”
• Peter Little
“Communication is the process by which information is transmitted between
individuals or organizations so that an understanding response results.”
• Koontz and 0' Donnell
“Communication is an exchange of facts, ideas, opinions or emotions by two or more
people.”
6. Area Of Operation:
Internal Communication is sharing of information within an organization for business purposes. For
example, internal communication within a company can take place via speech, telephone, radio,
mail, paging, fax, closed circuit television, electronic mail, Internet connections and computer
networks.
External communication is the transmission of information between a business and another person
or entity in the company's external environment. Examples of these people and entities include
customers, potential customers, suppliers, investors, shareholders, and society at large.
7. Relationship:
Formal communication refers to interchange of information officially. The flow
of communication is controlled and is a deliberate effort. This makes it possible for the information
to reach the desired place without any hindrance, at a little cost and in a proper way.
Informal communications are based on the personal or informal relations such as friends, peers,
family, club members, etc. and thus is free from the organizational conventional rules and other
formalities. Informal communication is called as a “grapevine” as it is difficult to define the
beginning and end of the communication.
8. Direction:
Vertical communication is the flow of
information from superiors to subordinates
or from subordinates to superiors
According to Stoner and his associates,
“Vertical communication consists of
communication up and down the
organization’s chain of command.”
Horizontal communication is the
transmission of information between
people, divisions, departments or units
within the same level of organizational
hierarchy.
Diagonal Communication is the
communication held between different
structures of a business firm.
Cross-functional communication between
employees at different levels of the
organizational hierarchy is described as
diagonal communication.
9. Types Of Vertical Communication
Downward Communication: Superiors send information, orders, instructions, decisions etc.
for their subordinates through downward communication.
Upward Communication: subordinates convey their failings, attitudes, opinions,
suggestions, complaints etc. making use of their superiors through this communication.
10. Communication Network
A communication network is the pattern of directions in which
information flows in the organization.
