The use of effective communication is critical in any business. It can make or break the 
success of an organization. Communication is the cornerstone of effective relationships and 
can boost productivity. Communication is much more than just speaking face to face. Many 
facets are contained in successful and efficient communication. 
The purpose of this presentation is to discuss some of the best practices to improve 
business communication. 
During this presentation, we will cover:
Effective and Ethical Business Communication
Positive and Negative Messages
Professionalism in the Workplace
Business Reports, Plans, and Proposals
The first topic we will cover is how professionalism can impact communication

Professionalism is a key component to success in workplace communication. 
Dress/ appearance should align with organizational guidelines and if in doubt, dress up
Behavior should be conservative and muted. In most workplaces, there is little place for 
loud, boisterous behavior.
Take a moment to think before speaking. Consider what and how you will say things. 
Consider your audience. If you may need to explain something or does the group know the 
background information already.

Understand that much more that you DO NOT say is communicated than what is actually 
spoken. 
Shown here is a pie chart that demonstrates Mehrabian’s Formula (Lapakko, 1997).
As you can see very little is communicated via spoken word.
This includes, dress, body language and posture.  Nonverbal cues can impact how your 
professionalism is viewed and your message accepted. 
For example, no one will take takes fitness advice from someone that appears morbidly 
obese. In the office, someone well dress with good posture is deemed more professional 
and reputable (Gurney, Howlett, Pine, Tracey, & Moggridge, 2017) . 
As you can see, professionalism can have a major impact on communication in the 
workplace., let us dive a little deeper a look at effective and ethical communication.

Understanding the various channels are important when it comes to effective 
communication. As you may recall, very little is communicated via spoken word. Because of 
this, one must take care when communicating via channels such as texting or email that do 
not include to the ability to add tone of voice or gestures. 
Face to face communication is best as it allows for the use of words, tone and gestures. 
Phone conversations still allow for tone, but body language is no longer included. 
When writing or texting it is important to attempt ways to ensure your tone is understood.

Now that we have identified some tips towards Effective and Ethical Business 
Communication, we will now talk about how to present positive and negative 
messages

Utilize the 3x3 writing method shown here. 
For both it is best to know your audience (Adapation) to ensure he message is suited to the 
right group. 
Positive messages are generally instructions, or claims. 
Negative messages are best in person and private. 
Now that we have discussed positive and negative messages, we will now talk about

For our final topic, we will talk about reports, plans and proposals.
Reports
Informal and Formal. Based on recipient, there may need to be more information and data 
included. Also formal reports need to have analysis of data and recommendations for 
action. 
Examples: Trip report, inventory status, annual projections
Plans
Described as how a business “expects to achieve its marketing, financial, and operating 
goals” (Guffey, & Loewy, p. 473, 2015)
Examples: Annual plan, training plan, business plan for start up
Proposals
Writer is attempting to convince the reader of an idea. 
Examples: Operating procedure, budgetary request
