• Responsible for setting up document control files for engineers and suppliers

• Expediting the Vendor through e-mail reminder messages for document submission.
• This document provides instructions for the distribution, recording, archiving and retrieval of
Project and Engineering documents issued by CONTRACTOR. An Electronic Document
Management System (EDMS) called Project Data Base (PDB) is established to manage and control
all documents. PDB enables an electronic recording of any Project and Engineering documents and
provides systematic distribution of documents and corresponding follow-up and expediting
actions.
• Project and Engineering documents are Job specifications, Data Sheets, Drawings, Material
Requisitions and Standard drawings, Calculation Notes, Project Procedures, and Equipment List
etc.
• Document Controllers are under the responsibility of Engineering Manager. They are
responsible for:
• Receiving documents from Disciplines after the Project Management approval
• Recording documents in PDB received through PDB Mail Box from DDB.
• Checking that the electronic files received are identical to the signed paper copy.
• Preparing the transmittal note

3. • Distributing documents
• And any work assigned by Engineering Manage
• The Document Controller will receive electronic transmission of documents in PDB mail box and
shall export data to PDB. He shall ensure that the data and files received are correct. All documents
will be recorded with ‘pdf’ and native files formats.
• DC will prepare a transmittal and assign distribution according to Project Distribution Matrix
attached in Appendix-5 (A and B).
