INVENTORY TAKING
• The Supply Officer/School Property Custodian is
required to take a physical inventory of all the
equipment of the respective offices at least once a
year.
• The inventory of supplies and materials in stocks shall
be made every six (6) months (June 30 and
December 31)
• The inventory of textbooks, armchairs, desk and
tables shall be undertaken at the end of the school
year.

the physical inventory taking conducted by the

8. For control and monitoring purposes, the Property/Supply Unit
shall maintain stock and property cards
The Stock Card is a form used in the Supply and/or Property
Division/Unit for each type of supplies to record all receipts and
issues made. It shall be maintained by fund cluster.
The Property Card shall be maintained in the Supply and/or
Property Division/Unit for each class of PPE. The Supply and/or
Property Custodian shall record promptly the acquisition (based
on the IAR and other supporting documents),
issue/transfer/disposal and the description/information about the
asset. It shall be maintained by fund cluster.

RIS shall be used by the Requisitioning
Division/Office to request supplies/goods/
equipment/property carried in stock and by the
Supply and or Property Division/Unit to issue the

there is a change in custodianship/user of property.

During inventory taking we use different forms… hopefully this will be used and implemented in school.. The forms like the stock card and property card..
