Relevant Experience
Responsible for running of the company’s Administration Department, Accounting, Human
Resource and Payroll Department for all offices ( Head Office, Centurion, Pine Town,
Empangeni, Mbombela, Polokwane, Port Elizabeth, East London and Swaziland ).
1. Office Administration:
Supervise administrative staff
• Ensure that they understand and execute their duties efficiently and effectively.
• Ensure that they have the necessary tools and that same are in working order.
• Monitor time keeping and working hours of administrative staff.
• Approve their document ( Timesheets and Leave document )
Supervise the maintenance and cleaning of the offices
• Ensure that offices are clean and presentable and that basic maintenance is carried
out.
• Ensure that computer and other office equipment is in good repair.
• Supervise and monitor all activities relating to the internal running of the office.
• Ensure that the workplace and the equipment and people therein are secure.
• Arrange for and supervise the purchase of all cleaning materials, refreshments and
stationery requirements.

2. • Supervise the use and maintenance of company vehicles.
2. Financial:
• Supervise the capturing of bookkeeping entries in Pastel and ensure accuracy of
capturing and timely delivery of reports.
• Maintain and distribute the Petty Cash – Reconcile same to Ledger
• Monitor debtors payments and assist with timely collection of Debtors
• Monitor the supplier accounts as captured and reconciled by the assistant
bookkeeper
• Monitor cashbook and do bank reconciliation for all office
• Capture the payments to the bank for release by the signatory.
• Supervise the usage of Petrol cards and maintenance of records.
3. Human Resources and Payroll:
Payroll
• Capture monthly payroll, distribute payslips, do amendments and all other payroll
related tasks.
• Do all monthly reconciliations to payroll from Ledger, staff benefit funds and statutory
returns
• Pay salaries, all statutory returns and staff benefit funds.
• Capture leave forms and maintain leave register.
Human Resources
• Ensure new staff complete all relevant forms (medical, pension, etc), and that they
have supplied all the necessary documentation for the personnel file. Maintain these
files.
• Co-ordinate the relevant documentation needed when a staff member resigns and is
dismissed and do exit interviews .
• Ensure Timesheets and Expense claims are filed in and submitted in time.
• Ensure leave forms are correctly filled in, signed by the relevant parties and submitted
on time.
4. Quality Systems:
• Monitor the administration staff adherence to the company quality procedures and
ensure that these are fully subscribed to.
• Ensure that adequate processes and systems are in place for the Administration
Department conformance to the ISO 9000 System.
