The Importance Of Communication And Effective...
Success in any environment is built around efficient and effective communication. Successful
communication requires clear, concise and correct information being delivered in a form which
cannot be misinterpreted or misunderstood. Through communication, we attempt to convey thoughts
and objectives to others, with the intention of achieving successful performance.
Communications can only be successfully understood when both sender and receiver comprehend
the same information and in current times with industries technology progressively developing and
at a fast pace it has become increasingly important for individuals to have good communicational
skills.
For section 1 of the module I will be identifying and explaining the relevance of the effective
communication in management, this will be achieved by analyzing the relevance of the
communication cycle by understanding the key importance of using both the 5 C's of
communication and selecting the correct tone, language and level of formality for management
communications. This process will be assessed in both verbal and written communication methods.
For the second section of the module I will reflect and develop effective communications skills. I
will develop criteria and create a questionnaire to evaluate my own abilities in verbal and written
communications. Using the feedback received from my colleagues I will identify strengths and areas
which require improvement.

Telephone calls is a major way that we communicate at TSL as we can contact most people
automatically and get what we need quickly. An advantage to this method is that there is a way to
contact every member of staff within the office or in the field by calling them. It is also a good way
for service users and other professionals to contact the office when they need information regarding
our service or when something needs to be passed on straight away. A disadvantage to this method is
that people may not be able to talk straight away and someone might take a message for the person
we are trying to contact to call back straight away, sometimes the messages are not passed on in the
correct manner.

Feedback easily obtainable – Immediate feedback can be sought to ensure the communication was
understood or conversely the recipient can request clarification.
Promotes networking – Verbal communication allows Informal communication to develop which
promotes networking or the relationship building.
Conveying emotion – Verbal communication provides the medium to express emotion such as
excitement or disappointment.
Verbal disadvantages
Limited dialect – the words we use reflect our experiences and may incorporate colloquialism or
jargon, which the recipient does not understand.
Language barriers – Our audience is dependent upon the languages we can converse in. This could
limit an audience.
Misinterpretation –how something is said often determines what the listener hears. Cultural
differences could cause confusion or offence.
Disabilities/speech problems – verbal communication is not suitable if the intended audience has
hearing problems or the communicator has speech problems.
Non–Verbal Advantages
Disabilities/speech problems – depending on the communication to be conveyed this may range
from a simple hand shake and smile greeting to written communication.
Impression management – a conscious effort can be made to project a desired image by presenting
oneself in a way which we determine will have a positive impact, depending on the desired

Diverse environments, such as at work or school can also be a challenging place for effective
communication. Working and communicating in a group can be difficult enough without adding any
other variables. When diversity is applied to the group, communication can become a sizeable
challenge. Ribbink (2003) states, "different cultures like to receive information–and trust
information they receive from different sources–in different ways" (para. 6). Individuals from some
cultures prefer to receive information or be taught by the leader of a team or a trusted coworker
rather than a manager (Ribbink, 2003). Accurate and effective communication is extremely
important to ensure the message perceived as intended and not misunderstood, causing confusion or
complications. By applying strong, passive non–verbal communication skills, the information can be
perceived without questionability. However, remember that not all cultures communicate the same;

Verbal communication is communicating with another person using speech or written words. We
communicate verbally using tone, pitch and the speed of our spoken words. These usually indicate
different emotions. For example a high pitch and fast paste speech can indicate excitement. Verbal
communication is used in a health and social care environment to make sure that we understand
clearly what the client or patient wants or might need. These environments can be in a chemist,
doctors, hospital, school or any public facility.
Within verbal communication there is a speech cycle. This speech cycle can help the process from
an idea occurring to the other person receiving the message successfully. This cycle was called
argyle communication cycle. The steps in this cycle are:
1. An idea occurs, you have an idea of what you want to say to the other person.
2. Message coded, you think through the idea and decide on how to say or write the idea down.
Message sent, this is when the message is coded correctly that you may speak, sign or write the

In a health and social care setting there are two different types of communication and those are
verbal communication and non–verbal communication. Verbal communication is the way you talk to
someone and non–verbal communication is your body language towards someone.
Verbal Communication
There are many different types of verbal communication. One is whether you have clear speech.
Having clear speech means that someone will be able to understand what you are saying without
having to ask you again. It depends on whether you pronounce words correctly with the right
sounding at the end of words and what your voice sounds like so, if you have a sore throat then your
speech may be too quiet and not clear to understand.
Another type of verbal communication is selection of appropriate language. This is the use of formal
language, informal language, avoiding slang or regional word as appropriate. If you were just
talking with your friends or colleagues then you may use informal language because you are
familiar with the people but, if you were talking to a service user or client then you would use
formal language because you have to be professional within the workplace. You would not use slang
with them or regional words because they may not be able to understand what you are saying and it

There are different types of protocols police officers must consider and exhibit when communicating
with others in a variety of situations. For typical police situations, officers must consider whether
they are emergency or non–emergency situations. Other common places in which officers are
required to exhibit different forms of protocol for communication include in correctional facilities
and in courtroom settings. In all of the situations, officers must be aware of both their verbal and
non–verbal forms of communication, the latter of which is just as valuable as the former in
conveying messages to others (Server, no date).
In non–emergency conventional police situations, it is extremely advisable for officers to convey a
sense of relaxation and amicable helpfulness in both their demeanors as well as in their voices.
One's posture in these situations should be comfortable, and change positions at discreet intervals to
demonstrate a sense of relaxation. Similarly, the officer's voice should offer some degree of
fluctuation, and not come across to loud or commanding. For instance, it would be acceptable for an
officer to wave to whomever he is communicating with when first getting that person's attention,
and to speak in easy, reserved tones without raising his voice too loudly. Failure to follow this
protocol could result in undesirable consequences, the most likely of which could be a lack of

This study seeks to investigate the non–verbal communication strategies used by doctors in doctor–
patient interactions during the initial consultation in a clinical setting. Non–verbal communication
can be conceptualised as any form of communication that does not use the written or spoken word.

Successful communication requires clear, concise and correct information being delivered in a form which cannot be misinterpreted or misunderstood. Through communication, we attempt to convey thoughts and objectives to others, with the intention of achieving successful performance. Communications can only be successfully understood when both sender and receiver comprehend the same information and in current times with industries technology progressively developing and at a fast pace it has become increasingly important for individuals to have good communicational skills. For section 1 of the module I will be identifying and explaining the relevance of the effective communication in management, this will be achieved by analyzing the relevance of the communication cycle by understanding the key importance of using both the 5 C's of communication and selecting the correct tone, language and level of formality for management communications.
