1. SUMMARY OF QUALIFICATIONS
ADMINISTRATIVE SUPPORT
Calendar management - resolve conflicts; foresee scheduling issues; communicate
commitments and changes in “real time”; acting as “gatekeeper”, ensure executive’s schedule
is respected; send and respond to invites on behalf of the executive
Travel arrangement – research and book complex, multi-destination domestic and international
travel; arrange flights (including corporate jet), lodging and ground transportation while
ensuring the most efficient use of the executives’ time; provide detailed itineraries and
agendas; compile pre-reads for travel-related meetings
Expense reports – prepare complex expense reports; perform currency conversion; organize
receipts; respond to inquiries for clarification; verify credit card statements
Written correspondence – proof all documents/correspondence/presentations to confirm
correct grammar, spelling, punctuation, format; compose and prepare emails/letters/reports on
executive’s behalf, including confidential materials; compile data and create reports as needed
Read, analyze, and respond to incoming emails, phone calls, and correspondence to determine
their significance and handle accordingly; alert executive to matters that require his action
Serve as administrative liaison to the Board of Directors/ownership team as well as various
external Boards while maintaining complete confidentiality and discretion; build rapport and
strengthen relationships with administrative team to bridge gaps between various stakeholders
Act as adjunct member of leadership team – attend meetings as requested and take/circulate
minutes; maintain and track deadlines while preserving accountability; coordinate logistics of
executive team programs including meetings, workshops, conferences, teambuilding events,
etc.
PERSONAL SUPPORT
Travel/vacation assistance – research, coordinate and book travel for family members; provide
detailed itineraries and agendas for personal trips; respond to after-hours travel issues and
emergencies
Event planning – research and arrange private parties/dinners (including out of town events);
perform site visits, as required, to confirm arrangements; act as primary point of contact for
attendees, answering questions and providing logistical support
Administrative support – compose personal correspondence; respond to personal calls/emails;
manage mass mailings (holiday cards, change of address notification, graduation
announcement/wedding announcement, etc.)
Personal tasks – make bank deposits; pick up dry cleaning; purchase gifts/order flowers;
personal shopping; vehicle maintenance; chauffer family/visitors
