Office Coordinator
Purpose of the Position:
Reporting to the Executive Assistant, the Office Coordinator has responsibility for reception, for
providing secretarial and clerical support to management and staff, for the maintenance of office
supplies, equipment and furnishings, and any other duties that may be assigned by the Executive
Assistant.
Responsibilities:
1. General Program Administration/Support
• Receives visitors and answers incoming calls in a friendly, courteous manner and directs
them to the appropriate staff;
• Maintains the reception area and maintains the meetings schedule for the Board, Executive
Director and Managers;
• Collects, sorts, logs, makes copies and directs incoming mail and faxes, signs for courier
deliveries and logs and posts or couriers outgoing mail;
• Orders office supplies and calls for service on office equipment as needed;
• Maintains an inventory of all office equipment, furnishings and supplies;
• Provides support to the Executive Director, Managers and staff by:
typing, photocopying and faxing letters, memorandums, reports and other documents as
requested;
• Filing;
• Doing desktop publishing and photocopying information flyers, and ensuring that these are
prepared and distributed or mailed out;
• Making travel and accommodation arrangements for the Executive Director, Supervisors and
staff, and calculating expense claims, as requested.
2. Other Duties
Performs other duties as assigned from time to time by the Executive Assistant.
Preferred Requirements
• Office Administration certificate plus one year of related work experience
A valid class “G” driver’s license and a vehicle
Provide an acceptable CPIC with VPSS
Knowledge Requirements
• Demonstrated ability to establish and maintain paper and electronic filing system;
Demonstrated knowledge of English grammar, spelling and composition;
Familiarity with operation of a variety of office equipment;
Working knowledge of a multi-line phone system;
2. • Knowledge of the social and political framework of First Nations communities, including
their tribal and regional agencies and associations;
• Knowledge of the social and political framework of First Nations communities, including
their tribal and regional agencies and associations;
• Be familiar with existing Service Delivery policies and procedures as well as relevant
DBCFS Financial Management and HR Policies; (re: funded areas of service);
• Be knowledgeable about the cultures and the significant characteristics of the social
structures of the DBCFS First Nations;
• Solid background in computers, with specific knowledge of Microsoft Word and desktop
publishing software, email, and Internet use for booking travel and purchasing supplies.

• Work effectively with the management and staff of other programs/agencies;
• Ability to relate effectively to community members;
• Communicate effectively in writing and verbally.
