Receptionist/Administrative Office Assistant 1/12- Present

 Greet all visitors
 Sign them in and ascertain their needs
 Answer phones and appropriately screen and direct calls to the necessary staff member
 Answer questions and give information in accordance with established policies, practices, and
procedures of the Center
 Collect and record information regarding appointments, transportation, attendance, etc.
 Transmit information to appropriate individuals/ departments
 Assist employment applicants and volunteers with forms and notify Human Resources
 Prepare monthly attendance files for students
 Coordinate lunch program applications, monitor lunch and attendance registers
 Complete report and invoice filing
 Photocopy, prepare and mail complete invoices
 Prepare outgoing mail, send mail daily, open mail, stamp and sort incoming mail, record incoming
checks
 Maintain confidentiality by treating all information about students, their families and co- workers in
the strictest of confidence
 Participate in staff development trainings, meetings, and special events as needed
 Uphold and enforce school rules, administrative regulations and Center’s policies
 Perform other related duties as assigned by Administration
 Translate English to Spanish as needed
 Enter Medical Day Care Clients attendance via MediSoft to generate invoices
 Make announcements as needed
 Assist with students or Medical Daycare clients during fire drills
 Make phone calls to confirm students clinic appointments with our Orthopedist, Physiatrist, and or
our Neuro Developmental Pediatrician
 Create Notices via Honeywell for school closings, delays, etc.
 Enter student information via Powerschool
 Make phone calls for Business Manager as needed
 Type emails and or letters for the Principal and Director
 Request buses for school trips
 Create spreadsheets Via Microsoft Excel

 Processed all information via Calyx Point software and TMO
 Processed verifications of mortgages and employment, insuring all stipulations are met before
final sign off. Setting up closings with Clients
 Stacking paper work and preparing file to be shipped to our corporate processing center
 Sent out a weekly Pipeline Report Excel Spread sheet via email
 Answered phones, made and handled all phone calls which had Spanish speaking customers
