PAYROLL & TIME OFFICE MANAGEMENT:
• Salary & Wages preparation through payroll system & related interaction with
bank, online monthly PF & ESIC Challan Preparation, PF & ESIC related
correspondence and solving the employee’s grievance, Settlement of PF
Withdrawal, Transfers and pension related claims, full and final settlement of
left employees.
• Update day to day attendance record through Isha System, Maintain let
coming, shift schedule entry, Identify vacancy. Prepare job description and
prepared the organogram, Leave Management like PL, SL, CL & C. Off. Update
personal file of all employees.
• Arrange interviews, conducting interview, Taking Care of Joining formalities of
the Employees, Co-ordination with the new jonnies of the internal
environment, Prepare Induction, Issuing the Offer Letter, Appointment letter
and explain the salary details, Employee Relationship, Handling Exit Interview.
Industrial Relation and Admin activities:
• Preparation of Contract Agreements and Deeds for Contractor, Renewal of
Factory license.
• Acting as a mediator between Management and employees. Maintaining
discipline in factory and taking disciplinary action.
• Organizing Training Program by Internal/ External Faculty, Employee
Counseling, Identification of Training Needs
• All welfare activities of the plant including Medical facilities, EHS, Transport
Services.
• The entire day to day administration activities of the plant, Contractor
manpower management.
AUDITS AND DEPARTMENTAL STATUTORY COMPLIANCES.
• Prepare and conduct trial audits in HR using an audit trail and checklists.
• Responsible for preparation of CAPA and CCP with minor and major
deviations.
• Responsible for SOP Preparation, revision, Training identification,
Hygiene records.
• Maintaining all formats like House Keeping, Training and Pathology
reports.
• Preparation of JR, organogram and List of employees.
• Apprenticeship work, Labour Welfare work.
Responsibilities: -
• Manpower Planning:- Identification of manpower requirements, Analyzing the
available manpower, identification of gap between the present and projected
manpower, Manpower Costing. Suspension .Transfer, Promotion details.
• Recruitment:- Short-listing prospective candidates for required positions,
Preparation of interview schedule, Joining formalities, Induction programme,
Maintaining data bank, Organizing walk – in interviews.
• Training & Development :- Training need identification of employees,
Identifying Training Faculties (Internal & External), Preparation of Training
Calendar, Preparing training proposals, Coordination for training programmes,
Training feedback, Daily Training Report & Maintaining Training history Records
of all employees.
• Performance Appraisal & KRA :- Identifying employees due for performance
review, Preparation of Employee Merit Rating Forms, Analysis of performance
of employees. through KRA - performance review.
• Statutory Compliance & Legal :- Ensuring compliance to various statutory
requirements viz: PF, ESI, Factory Act etc, Bonus, LW Fund, Contractor Audites
and returns, Liaisoning with Labour office, health & Safety Dept. Labour welfare
dept. Keeping Track of Employee information & activities and maintaining
complete database of employees.
• Office Administration :- Ensuring that rules are properly followed by the
employees, Identifying requirements at Office level, Housekeeping of Office,
Ensuring Safety procedures followed by employees, Arrangements for
external/external guest visits in plants, Maintaining notice boards.
• CSR Activities : Garden Cleaning, Tree Plantation, Seminar on Various health
issue-(Tobacco control/HIV), Safety Day –Seminar on Traffic Rules in Traffic
garden,
• Industrial Relation with Contract Labor Management
Ensuring prompt resolution of employee grievances to maintain cordial
management- employee relations and achieve dedication by the workers.
