PROJECT MANAGEMENT ASSISTANT EMPLOYED (APRIL 2008-PRESENT)

Duties Include:
Operations Department: Assist all Project Manager’s with current work & the
acquisition of new projects. Engaged in projects from the point of initial set-up until the
job is closed out. Responsible for supporting PM’s with monthly customer billings,
project documentation, preparing/maintaining spreadsheets, taking meeting notes,
ordering/tracking materials for jobs, download field cabling test results from
Corning/Fluke testers, interacting with customers/suppliers, compiling
submittals/manuals for customers/contractors, and other miscellaneous tasks as needed
Service Department: Answer calls and set-up service work orders for customers as
needed, dispatch field technicians to job site locations, submit RMA’s and repair tickets
for materials, enter monthly billings, and supervise the Service Department in the
absence of the Service Manager
Purchasing Department: Enter vendor packing slips, invoices, credit memos, change
orders, submit credit applications to vendors
Job Cost Department: Set up newly acquired jobs into Timberline Software and assign
them with a job number, enter change orders, and set up warranties
Accounts Receivable Department: Set up new customer accounts into Timberline
Software, run credit card payments and keep a log of transactions, enter daily bank
deposits
Permits: Collect all necessary information and then apply with municipalities for all
electrical permits needed before we begin each job, maintain all electrical
accounts/licenses, and call in inspections as needed
Assist office executives with business and/or personal-related tasks as needed including
travel arrangements, appointment scheduling, etc
Take incoming calls through a multi-line ShoreTel phone system and direct calls as
necessary
Order office supplies
Co-manage annual charity golf and poker tournaments and company lunch functions
Training new staff as needed

Filling out client health notes, physician progress notes, and general client information.
Ensure the safety and welfare of all clients.
Transport clients safely.
Accounting for part of the client’s finances (money handling).
Member of the Community Living Safety Team – Responsible for conducting fire,
tornado, and earthquake drills, keeping track of first aid supplies, functioning fire
