Instruction/Operational Definition
1 Grade level
2 Indicate the Beginning of School Year 2022-2023 total enrollment
by grade based on SF1 (List of Learners)
3 Indicate the number of Promotees or End of School Year 2022-
2023 enrollment, who are qualified to enroll in the current SY
2023-2024
4 Move-Out are learners from the school enrolling into a different
school between School Years (before the start of SY 2023-2024)

New entrants are learners in Kinder, Grade 7 and Grade 11 in a
school
Transferred-in are learners from different school that enrolled into
the school within the school year (2023-2024); Move-In are
learners from another school enrolling into the school between

6 Repeaters are learners who failed or left a particular grade/year
level during a given year, and enrolled in the same grade/year
level for a second (or more) time.
7 Balik-Aral are learners who went back to school and resumed
studies after years of dropping out or discontinuing studies

enrollment of SY 2022-2023
11 Drop-out are learners who left the school and have not
completed the full term in said school for reasons other than
transferring to another school.

The School Head is overall responsible.
Non-teaching personnel can help the school head in
accomplishing the form.

while accomplishing the form?
No. The form can be accomplished offline.
You need an Internet connection only when
downloading the file and submitting the accomplished
form to the SDO.

Yes. The compatibility requirement of the eSF7 is
MS Office 2016 or later versions.

separate SF7 for Integrated Schools?
The number of School Form 7 to be prepared is based
on the number of distinct School IDs under
consideration.
▪ For Integrated Schools with the same School ID,
accomplish one (1) form.

accomplish separate forms.

personnel according to position?
No. You may encode all personnel in any order.
Once you generate the summary in the View Form, the
personnel will be automatically arranged and listed
according to position.

Currently, adding rows is not allowed.
The tool has 20 rows to capture teaching loads and
ancillary tasks.
As an alternative, include the major ancillary tasks if
there are really many things to be inputted.

appearing even if the encoded data
does not exceed the prescribed time
allotments?
It is most likely an issue with the prescribed time format.
Kindly check the time entry. Use the prescribed time
format as follows:

Why is an “INVALID TIME”
prompt appearing when encoding
time allotments?
Time allotment for each learning area is automatically
validated as prescribed by DO 31, s. 2012 and DO 31, s. 2013.
Ensure compliance with the prescribed above-mentioned
DepEd guidelines. The tool will not reflect the encoded time
if it exceeds the prescribed time allotment for a subject /
learning area.

Check the encoded time. Maximum time allotment for
ancillary tasks is 4 hours per week.

Is the preparation of lesson plans
and instructional materials included
in the teaching load?
Preparation of lesson plans and instructional materials
is part of the 2-hour teaching-related tasks. Therefore,
the mentioned tasks shall not be counted as a
teaching load.

Why is the dropdown list for Subjects /
Learning areas not appearing or
displaying inconsistently?
A missing or inconsistent dropdown list of Subjects or Learning Areas
is mainly an incompatibility issue. Ensure that you are using
MS Office 2016 or later versions. You may use your DepEd account
with MS Office 365 credentials to update your MS Office.
Another possible reason for the non-appearing Subject dropdown list
is an unfilled Position/Designation of the personnel. It must be filled
out first before answering the teaching assignments portion.

Select Others in the dropdown list. After which, kindly
encode the specific subject (e.g., Robotics) in
the Description Column.

SHS-specialized subjects.

sheet, kindly ensure that all encoded data are saved
