The missionof the Conference Services Department at the Universityof NewHavenis to provide outside groups that choose to host their meeting
or event at the Universityof Newhaven withsuperior customer service, attention to detail anda wide range of services to meet their needs. Our
goal is for everyguest to have a positive educationalexperience in a dynamic welcoming environment. In pursuit of this missionwe will seekto:
Provide supportive services inthe area of facilities, overnight accommodations, dining, safety, technology, andmarketing.
Work collaborativelywithbothinternal andexternal vendors to enhance the conference experience.
Promote and market the Universityas a premier location to host an event andfurther your education.
DATES OF EMPLOMENT: May 18th - August 14th, 2015
HOURS: Fulltimeand may includeevening and weekend work. Very flexibleand depending on larger events.
COMPENSATION: $11.00/hour, and UNH housing(Housingis May 18th – August 14th).
TERMS OF EMPLOYMENT:
SCCs residein a residence hall roomassigned by the Officeof Residential Life. If a staff member leaves the position,s/he
must move out of the staff room and will berequired to move off-campus unless other arrangements aremade.
SCCs may engage in other paid employment, volunteer activities,or take classes as longas itdoes not interfere with the
performance of job responsibilities.
SCCs report directly to the Director of Conference Services.
RESPONSIBILITES:
Assist with the coordination of day-to-day operations of summer conferences and camps, and provide quality customer service to
sponsors and participants
Assistwith pre/post camp/conference room inspections including,butnot limited to, residence halls,meeting space,
athletic facilities.
Assistin conductinglinen inventories and prepareand placelinen packets in rooms.
Placeappropriatedirectional and informational signsfor conferences.
Assistwith conference check-in and check-out: handlekey & maintenance problems,act as an information source.
Maintain detailed,accuraterecords of room and key assignments to ensure proper clientbilling.
Maintain daily contactwith sponsors or their representative to check on any possibleneeds or problems as required.
Followup on all sponsor requests in a complete, efficient, and timely manner.
Provideassistanceto conference sponsors and participants after normal workinghours if necessary or obtain appropriate
assistancefor them.
When needed - monitor useof dininghalls by participants to include:greeting customers, assistingwith attendance count,
regulatingtraffic flow,confirmingmenus, and identifyingproblems and taking appropriateaction.
Perform administrativeand officetasks as needed.
Deliver paperwork to various campus offices and run other errands as needed.
Conduct key checks and prepare key packets.
Followup with facilities on maintenanceissues.
Contact conference representatives when necessary to ensure we are providingthe best serviceto their group.
Attend all staff meetings and trainingprograms as scheduled,includingthoseprior to the official appointmentdate.
Promptly and efficiently perform required administrativeduties such as check-in,check-out, work orders, key handling,
room condition reports, linen duty, and the distribution of mail,posters,and bulletins with careful attention to detail.
Prepare the facilities asnecessary for each incomingconference group. This may includesuch duties as checkingrooms for
cleanliness,additional cleaning,and placingsupplies in roomif these functions have not been adequately performed by the
housekeeping staff or if there is insufficienttime between groups for housekeeping to complete all necessary work.
Be knowledgeable in the area of University policies and procedures and be ableto appropriately explain and implement
them.
Be knowledgeable in the area of Summer Conferences, University, and community resources,events and services.
Provideassistancewithin limitsof capability and trainingin an emergency.
Assistin the development of Summer Conference policies,procedures,and services.
2. Assistwith opening classroomspacefor conference groups.
Conduct oneself in such a manner that provides a positiverolemodel on behalf of University of New Haven to conference
guests.
Perform other duties as assigned.
ON CALL DUTIES:
Serve in on-call rotation throughout the summer.
Respond to problems that may ariseafter normal business hours such asmaintenanceissues,lockouts,etc.
Contact Director of Conference Services when necessary for assistance.
Maintain an accuratelogof after-hours problems that occur.
Communicate effectively with the Sodexo staff,Facilities,and the Conference Services staff to receive and providedaily
updates.
Perform other duties as assigned.
REQUIREMENTS:
Currently enrolled University of New Haven student. Must be entering either sophomore or Junior year in Fall 2014.
Ability to perform minimal physical labor.
Personal qualities thatindicatea high potential for success in the position.
