 Putting the readers’ interests foremost in
the writing
 Highlights what the readers want to know
To create Readers’ Benefits the
writer should:
 Empathize and think from the readers’
perspective
 Determine what they will want to know
 Identify the feelings, fears, and needs that may
motivate your reader.
 Identify and show how the reader can meet his
or her needs with the features of the policy or
product.

Reader Benefits allows readers to:
 feel satisfied and appreciated which in-turn
help the business to maintain goodwill.
 Improve their attitude and actions
Example of Reader’s Benefit
Instead of saying:
Dear Mr. Jones,
I am happy to inform
you that we have
approved your loan.
You would say:
Congratulations!
Your loan is
approved.
Protecting the Reader's Ego
Reason?
 You want the reader to continue doing
business with you.
 To keep the reader calm
 Form of Respect
 Expresses appreciation
Tips for Protecting the reader's ego
 Avoid "you" when it criticizes the reader.
Not: You failed to sign your cheque
But: Your cheque arrived without a signature.
Please stop by today to sign your cheque.
Tips for Protecting the reader's ego
 Avoid "you" when it limits the reader's
freedom.
Not: You must get approval from the Director.
But: All personnel must get approval from the
Director.
Tips for Protecting the reader's ego
 Focus on solutions.
Not: You cannot get a loan because you owe so
much on your credit cards.
But: You can get a loan if someone co-signs the
loan with you.
ULTIMATUMS
What is it?
 A threat in which a person or group of
people are warned that if they do not do a
particular thing, something unpleasant will
happen to them.
ULTIMATUMS
 Ultimatums are usually the last and most extreme in
a series of actions taken to bring about a particular
result
 Ultimatums should be avoided unless they’ll benefit
the reader and has the readers interest in mind.
Examples of Ultimatums
 You need to send us
your overdue balance
of $500 or we will be
forced to disconnect
your service.
 Please settle the
overdue balance of
$500 to avoid service
interruptions. If you
need help making this
payment, please
contact our credit
department.
Instead of saying: You could say:
IMPERATIVES
What is it?
 Commands or directives given, leaving no
option for questions or feedback.
Eg. “Stop talking”, “Don’t be rude” etc.
Unnecessary imperatives should be
eliminated from business communications
in order to avoid condescension – talking
down to or disrespecting someone.
IMPERATIVES
AVOID USING THE PRONOUN ‘YOU’ IN
THE BODY OF BUSINESS DOCUMENTS.
Why?
 It is insulting to the reader
 It may also irritate the reader
EXAMPLE OF AN IMPERATIVE
SENTENCE:
 “This memo is to give you a training on good
communication practices, which will make you
a better business writer. You must attend this
training so that you can stop losing our
important clients.”

  • 4. WHY THE YOU ATTITUDE?  Trying to convince someone to perform a service, purchase a product, pay a bill, or accept an offer.  Creation of friendly atmosphere  Establishment of mutual trust  Create favorable outcome even in a bad-news situation  Enhance goodwill of the firm
  • 5. WHY THE YOU ATTITUDE “A Me-First plan sends a clear signal that the writer’s priorities are misplaced. What matters more than great technology or a great idea is the problem or pain that the new solution or technology resolves.” -John W. Mullins

  • 8. READER’S BENEFIT  Putting the readers’ interests foremost in the writing  Highlights what the readers want to know

To create Readers’ Benefits the writer should:  Empathize and think from the readers’ perspective  Determine what they will want to know  Identify the feelings, fears, and needs that may motivate your reader.  Identify and show how the reader can meet his or her needs with the features of the policy or product.
  • 10. . Reader Benefits allows readers to:  feel satisfied and appreciated which in-turn help the business to maintain goodwill.  Improve their attitude and actions
  • 11. Example of Reader’s Benefit Instead of saying: Dear Mr. Jones, I am happy to inform you that we have approved your loan. You would say: Congratulations! Your loan is approved.
  • 12. Protecting the Reader's Ego Reason?  You want the reader to continue doing business with you.  To keep the reader calm  Form of Respect  Expresses appreciation
  • 13. Tips for Protecting the reader's ego  Avoid "you" when it criticizes the reader. Not: You failed to sign your cheque But: Your cheque arrived without a signature. Please stop by today to sign your cheque.
  • 14. Tips for Protecting the reader's ego  Avoid "you" when it limits the reader's freedom. Not: You must get approval from the Director. But: All personnel must get approval from the Director.
  • 15. Tips for Protecting the reader's ego  Focus on solutions. Not: You cannot get a loan because you owe so much on your credit cards. But: You can get a loan if someone co-signs the loan with you.
  • 16. ULTIMATUMS What is it?  A threat in which a person or group of people are warned that if they do not do a particular thing, something unpleasant will happen to them.
  • 17. ULTIMATUMS  Ultimatums are usually the last and most extreme in a series of actions taken to bring about a particular result  Ultimatums should be avoided unless they’ll benefit the reader and has the readers interest in mind.
  • 18. Examples of Ultimatums  You need to send us your overdue balance of $500 or we will be forced to disconnect your service.  Please settle the overdue balance of $500 to avoid service interruptions. If you need help making this payment, please contact our credit department. Instead of saying: You could say:
  • 19. IMPERATIVES What is it?  Commands or directives given, leaving no option for questions or feedback. Eg. “Stop talking”, “Don’t be rude” etc.
  • 20. Unnecessary imperatives should be eliminated from business communications in order to avoid condescension – talking down to or disrespecting someone. IMPERATIVES
  • 21. AVOID USING THE PRONOUN ‘YOU’ IN THE BODY OF BUSINESS DOCUMENTS. Why?  It is insulting to the reader  It may also irritate the reader
  • 22. EXAMPLE OF AN IMPERATIVE SENTENCE:  “This memo is to give you a training on good communication practices, which will make you a better business writer. You must attend this training so that you can stop losing our important clients.”
