This document provides instructions for tracking tenders in OpenERP. It outlines 25 steps for creating and approving a new tender lead, including entering tender details, eligibility criteria, related costs, chronological information, delivery components, payment terms, and special terms. The last step describes generating a tender summary and compliance report. 1. Tender Tracking in OpenERP
(module developed by Value Matrix in partnership with
MillenniumSoft Inc)
Business Case:
Many companies in India use Tender Process (also
known as RFQ or Bids in some countries) to procure
products and services. This module helps companies
create a Tender, assign and track its progress.

2. CRM & SRM Module : New tender lead
1. Click on CRM &SRM

3. 2. Click on Tender Lead option. The Tender Lead list appears.

4. 3. Click on New button, New tender lead form appears.

5. 4. Enter Tender number field.

6. 5. Enter Bid sub due date field.

7. 6. Choose the client name from list, which appeared by clicking search
button.

8. 7. Enter the Project name field.

9. 8. Enter the General Information fields like Brief scope, Submitted in,
Submitted in copy, Warranty details, Tender value, Validity of bid etc.,

10. 9. Choose Eligibility Criteria option and click on Save Parent Record.

11. 10. Next click on Create new record button.

12. 11. Enter Qualification criteria and click on update button to save.

13. 12. Choose Related cost lines option and click on Create New record
button.

14. 13. Enter Details, Amount, In Favour of, Media of Payment fields and
click on update button to save.

15. 14. Select Chronological Information and click on Create New
record button.

16. 15. Enter Details, Pre bid, for 2 parts, tech-com-bid fields and
click on update to save.

17. 16. Select Delivery Components option and click on Create New record
button.

18. 17. Enter Delivery component, PSS, Assoct/vender, Expect value details
and click Update to to save.

19. 18. Select Payment terms and click on Create New record button.

20. 19. Enter Proposed stage / Deduction and Percentage fields and
click on Update to save.

21. 20. Select Special terms and click on Create New record button.

22. 21. Enter the Terms and conditions and click on Update to save.

23. 22. After entering all the fields Click on Confirm Tender button.

24. 23.Next click on Approve tender button. Tender gets Approved.

25. 24. After clicking on Approve tender button the tender status changes to
Approved.

26. 25. For Report generation Click on Tender Summary and
compliance.
