Project Manager - Volvo India PVT LTD, Bangalore

Key Responsibilities:
- This is just a role change on papers but on reality, I am part of project management group since December 2012
handing part of the project’s activity or pre-study or assist Project manager.
- With the new role, I am being entitled to handle projects of my own and take the learning on Project management to
a different level of personal competence development.
- As part of the role change, I have been pipelined with different training on Project management and planning.
Projects handled:
1. IT Manager for Group Trucks Operations (Cab & Vehicle Assembly) (July ‘15 – Till the date)
• This is an Development and operational role for Group Trucks Operations (Cab and Vehicle Assembly) to
develop and manage IT operation and processes for the organisations.
• Due to hire freeze on IT as part of strategic review of Volvo IT, a project manager is been assigned.
Key Responsibilities:
• IT Asset and facilities management.
• Resource boarding and debording process improvements.
• IT equipment procurement, invoicing and contract management.
• IT stock and store management.
• IT supports coordination.
• Industrial project support on IT perspective.
This is a new assignment and it’s quite early to describe on the activities and achievements as I am just finished
shadowing phase and starting to plan sub projects on process iteration and development.
Assignment Leader - Volvo India PVT LTD, Bangalore
Dec’12 – May ‘15
Key Responsibilities:
- Assignment Leader works either on a part of a project or an independent assignment, in the frame of a proof of
concept or a pre study.
- Assignment leader is responsible for all deliverables agreed between the assignment requestor and / or the line
manager with no accountable for the assignment results.

- Assignment Leader will not have any financial responsibilities/accountability. He shall be accountable only when
assigned as Project Manager for an End to End project.
- Coordination with the project managers to complete the projects deliverables.
- Act as Assistant Project Manager handling Project End to End delivery under Project Manager guidance and
reporting.
- Work with project team members, clients and vendors to coordinate activities, provisioning, environment setup,
installation, and integration testing.
Achievements:
- Awarded as best performer on first project handled (DDI Migration).
- Many appreciation mails from Program organisation on the activities and initiatives handled (JITIP).
- Couple of appreciation mails from Program Manager and Project Managers for the support and accuracy (JITIP).
Onsite Experience:
- 20 months working experience onsite in Japan for program as PMO since April 2013, but not stationed in Japan.
- Travel to Japan on regular basis in an interval of 2-4 weeks and extend based on requirement.
Projects handled:
2. Cross DRS Support (Jan ‘15 – Till the date)
• This is an Run time assignment from DRS (Development and Runtime support) Business office to
administrate on couple of activities within Business office of the organisation.
Training courses portfolio management:
• Complete ownership of ILT course portfolio.
• Coordinate with course teachers on event creation, bookings and evaluation post training.
• Extract monthly report on invoicing for completed events of the courses in the portfolio.
• Manage course portfolio and edit courses on changes required/ suggested.
• Analyse the completed course event trend reports and assist business office on management team
meeting reports.
Communication strategy for DRS:
• Build communication strategy for the organisation.
• Building communication strategy involves complete analysis of the functions within the organisation, its
KPIs, objectives, and goals.
• Conduct workshops with communications team and work on 7 step model of communication strategy.
• Conduct stakeholder analysis and identify the type of information each group will needed to be
communicated with.
• Conduction workshop with business office and functional leaders upon communication strategy draft.
• Finalize the communication strategy.
3. PMO for Japan IT Infrastructure program (JITIP) (April’13 – Till the date)
• For JITIP I am a supportive PMO handing multiple roles within the Program organisation. JITIP is a
program to update the new site in Japan (UD Trucks Corporation).
• Working for the program gives me chance to coordinate on complete site remediation and
implementation of new infrastructure to be compatible for 2 of the Trucks After-market and design tools
in Japan.
• Working in Japan onsite, gave me good exposure to Japanese culture and good knowledge of working
with multi cultured Program organisation (Sweden, China, USA, France).
Financial reporting: As a PMO of the program I am SPOC for financial reporting and analysis.

- Publish financial reports every week extracted from SAP.
- Based on the cost spent in the previous quarter, prepare Budget forecast draft for next quarter.
- As part of the activity developed a tool in Excel that can compute financial results with the data
extracted from SAP.
- Excellent knowledge on SAP report analysis.
- Prepare year end reports and escalate unidentified and unusual cost reporting from time to time.
- Coordinate with Infrastructure portfolio management team for WBS management.
- Quarterly meetings with Business controller to track on Cost Vs. Price of the project WBSs. Report
the same to Program Manager. Monthly report to Business and Financial controller.
Program Newsletters:
- Coordinate with Project manager for Weekly status update report and program newsletters.
Present the same to stake holders.
- Coordinate with the PMs on feedback and questions from stake holders and have the dialogue/setup
meetings as required.
Project Documentation:
- Analyse and monitored the project reports to sort out issues in documentation section.
- Prepare necessary documents and communication material.
- Maintained and documented reports; progress, schedule, budgeting and forecasting.
Project Delivery Co-ordination:
- Handle deliveries for the projects within the program. Deliveries such as Server Decommission,
Firewall rules Decommission, Create new servers and services, WAN Link upgrade.
- I am also assigned projects Delivery coordinator to setup a Volvo Trucks Aftermarket Call centre in
Japan. This involves coordination with WAN Link implementations, LAN construction at the site, IT
Equipment order and delivery, Voice solution implementation and Agent training on call centre
operation.
Program status report to DMC:
- Coordinate and present Program status report on monthly basis to Program DMC along with Program
Manager and maintain the record of the minutes.
Program Master Time plan Management:
- End to End responsible for Program Master Time plan management. This includes creating the time
plan (MS Project) and conduct Bi-weekly meetings to identify dependencies and update on any
changes. Report the same to DMC.
Project Office Matters:
- End to End responsible for Project office related activities like Project catalogue update, Project
portfolio update and Project Dashboard updates. Coordinate with DQMs of different projects in the
Program and assist project managers on quality analysis.
Facilitating Workshops:
- Based on the request and requirement, facilitate workshops for the Project managers and also assist
for the whole workshop.
Project Gate meetings:
- Be part of Project Gate meetings and assist project managers to adhere with the Volvo Project
control model. Capture and manage the minutes.
TAC coordination:
- Be part of Technical Architectural Committee meeting to assist the Lead Architecture on technical
lags of each project. In return contact project manager and bridge the information, invite PMs as in
required and maintain the minutes.

Along with the above mentioned roles, I will have to handle adhoc requests from PMs and
Program managers as in required subjected to availability of time.
4. Project Assistant for DDI Migration (Dec’12 – July’13)
• Assistant project manager for DNS and DHCP upgrade for Global sites of Volvo and consolidation of
existing services.
• Complete responsible for project deliverables and managed the End to End global delivery of the
product.
• Worked with global resources for implementation at 18 global sites.
• Worked with project team members, clients and vendors to coordinate testing and implementation,
provisioning and securing necessary change approvals, environment setup coordination, implementation
monitoring, and post implementation reports to respective line organisation teams.
• Complete planning of the testing and implementation for different based on the maintenance windows.
• Created and managed the implementation chatter.
• Proactively respond to the challenges in the Change approvals and escalate to Project manager and
Product Manager. Facilitate meetings with Management team to address challenges and get the
approvals.
• Facilitate trainings to existing users and site supervisors in new tool and hardware.
• Coordinate with Project Manager and Product Manager on implementations and be part of the
implementations meetings.
• Sent Bi-weekly reports on the project progress and contribute to the gate meeting material.
• Prepared impressive communication material on implementations. Managed responses and take
necessary actions.
• Coordinated with new service creating in request portal for global users on the new tool.
• Project is complemented successfully with 0 deviations.
5. Request Office co-ordinator (Dec’12 – April’13)
• This is a runtime assignment for Request office within Delivery Management group.
• Handling incoming requests and conduct initial meeting with requestor. Collection necessary information
and prepare requirement document. Agree with Requestor if it can be an external consultant hiring.
• Cascading the information to Line organisations and/ or External consulting companies. Facilitate
interviews and process the internal Job transfer to HR team.
• On external hiring, send the purchasing order and hiring information to IT purchasing team.
• Regular meetings with consulting companies to streamline the hiring process and to address challenges
in resume processing.
Subject Matter Expert (Service Desk Function) – Volvo India Pvt Ltd
JUN’11 – Dec’12
Accountable for providing voice based technical support for Internal VOLVO employees and dealers (limited)
across the globe on different applications like Collaborations tools, MS Office, Engineering tools, ERP. Expertise in
supporting on all windows (MYPLACE) related issues. Support network printers, and network related issues. User
admin and password support for the applications like SAP, Mainframe, I series, AD, JD EDWARDS and VLC

Handle L2 admin work for Mainframe, I series, SAP, Enterprise one and few other Volvo in-
house applications. Exposure to Organization standards and technologies like SMS (system management server).
Bridge the knowledge gap within the team by sending update mails or through a quick training.
Identify the business impact and urgency of the incidents and take necessary actions to minimize the impact.
Providing Floor support, training, take escalation calls supervise calls and Mentoring new agents.
Expertise in generating reports from Incident Management toll on SR logged by the team. Skilful

6. Access Rights Coordinator (July’11 – Dec’12)
I was chosen to be access coordinator for the team in India. Request access on-behalf of agents if required
and make sure the desk has right access on right tools. Accountable for the team access rights on different
ORS tools to help user on day to day work.
7. Alert coordinator: (Jan’12 – Dec’12)
I was Alert coordinator for site India with the existing service desk roles on 27% - 73% work
efforts distribution. I was responsible to coordinate with MI (Major Incident) Team on behalf of service desk
from India for recurring incidents and or the major incident published in HELP pages.
I was part of MI team from Service Desk and update the MY SUPPORT portal and also send an
internal communication within the team. Coordinate with the problem management for inputs from the
Service Desk. Create a technical document for the problem management team on top 5 SR’s logged by
Service Desk.
I have developed a tool using MS Excel for Incident Life cycle management which is being adopted and used by other
sites too.

Communication strategy for DRS: • Build communication strategy for the organisation. • Building communication strategy involves complete analysis of the functions within the organisation, its KPIs, objectives, and goals. • Conduct workshops with communications team and work on 7 step model of communication strategy. • Conduct stakeholder analysis and identify the type of information each group will needed to be communicated with. • Conduction workshop with business office and functional leaders upon communication strategy draft. • Finalize the communication strategy. 3. PMO for Japan IT Infrastructure program (JITIP) (April’13 – Till the date) • For JITIP I am a supportive PMO handing multiple roles within the Program organisation. JITIP is a program to update the new site in Japan (UD Trucks Corporation). • Working for the program gives me chance to coordinate on complete site remediation and implementation of new infrastructure to be compatible for 2 of the Trucks After-market and design tools in Japan. • Working in Japan onsite, gave me good exposure to Japanese culture and good knowledge of working with multi cultured Program organisation (Sweden, China, USA, France).   • 4. - Publish financial reports every week extracted from SAP. - Based on the cost spent in the previous quarter, prepare Budget forecast draft for next quarter. - As part of the activity developed a tool in Excel that can compute financial results with the data extracted from SAP. - Excellent knowledge on SAP report analysis. - Prepare year end reports and escalate unidentified and unusual cost reporting from time to time. - Coordinate with Infrastructure portfolio management team for WBS management. - Quarterly meetings with Business controller to track on Cost Vs. Project Delivery Co-ordination: - Handle deliveries for the projects within the program. Deliveries such as Server Decommission, Firewall rules Decommission, Create new servers and services, WAN Link upgrade. - I am also assigned projects Delivery coordinator to setup a Volvo Trucks Aftermarket Call centre in Japan. This involves coordination with WAN Link implementations, LAN construction at the site, IT Equipment order and delivery, Voice solution implementation and Agent training on call centre operation. Program status report to DMC: - Coordinate and present Program status report on monthly basis to Program DMC along with Program Manager and maintain the record of the minutes. Program Master Time plan Management: - End to End responsible for Program Master Time plan management. This includes creating the time plan (MS Project) and conduct Bi-weekly meetings to identify dependencies and update on any changes. Report the same to DMC. Project Office Matters: - End to End responsible for Project office related activities like Project catalogue update, Project portfolio update and Project Dashboard updates. Coordinate with DQMs of different projects in the Program and assist project managers on quality analysis. Facilitating Workshops: - Based on the request and requirement, facilitate workshops for the Project managers and also assist for the whole workshop. Project Gate meetings: - Be part of Project Gate meetings and assist project managers to adhere with the Volvo Project control model. Capture and manage the minutes. TAC coordination: - Be part of Technical Architectural Committee meeting to assist the Lead Architecture on technical lags of each project.
