Running a Program Activity Report
The Program Activity Report graphically displays a real-time summary of the work status of
Authors in a DRF Program, including the number of Authors who have submitted, and the number
of Authors who have been evaluated, in specific areas of the DRF. This information can also be
exported to Microsoft Excel for further data manipulation and archiving.
To begin, click TS Coordinator from the top menu bar.
From the TS Coordinator menu, click on DRF Program Reports.
Then click Program Activity Report link from the Work Status and Author Activity section of the
Reports Menu.

1. In the Select Programs area, select which program you want to run your report on. This area
displays a list of all DRF Programs you have created OR for which you have been assigned
reporting permissions.
Below the name of each Program, you can see the DRF Template being used in the Program, the
name of the Program creator, and the date the Program was created. Inactive Programs are
labeled Inactive. Deselect the Show Program Details box to hide the additional Program
information.
2. In the Select on whom within program to run report area, choose whether you want to view:
 All Authors (runs a report on every Author within the chosen Program)
 Authors grouped with a specific Evaluator (prompts you to select an Evaluator)
 A single Author (type the name of the Author on whom you want to run the report)
 Authors filtered via Advanced Search (enables you to filter your report results by Authors
who responded to certain demographic descriptors)
Note: If your organization is not currently collecting demographic information and you are
interested in exploring this possibility for filtering your reporting data, please contact Taskstream's

additional information.

How to generate a report depends on whom you select to run a report.
 If you selected All Authors, you automatically see the report results.
 If you selected All Authors being evaluated by a particular Evaluator, the next screen
prompts you to select an Evaluator.
 If you selected a particular Author, type a name in the search field. After the report
generates, click the name of the person on whom you want to run the report.
 If you selected Advanced Search, you need to select the criteria by which you want to filter
your report results. The below image represents one example of demographics set up by
an organization. It is possible that your organization has either chosen not to collect
demographic information from your students, or that the information you have chosen to
collect is different from the representation below.
When you made your selections, click Continue.

Program Activity for All Authors
If you generate a report by All Authors, All Authors being evaluated by a particular Evaluator, or
Advanced Search, it yields a Program Activity summary page. The top of the report lists the
number of Authors who matched the search criteria, what DRF they used, and in which Program
they are enrolled. The bottom displays a colored bar graph representing the number of Authors at
various stages for each area of the DRF undergoing evaluation.

The Filter By pull-down menu enables you to filter the report by status to view a summary of
Authors who currently have the selected status, in all areas of the DRF.
In the summary view, if you click the link for a DRF area (or the magnifying glass icon), the system
displays a list of Authors, their work status in that area, the ability to view the work (if submitted),
due dates, submitted dates, evaluated or sent back dates, and the Evaluator. The detail view
displays a list of ONLY Authors with access to the category or requirement.

In the Program Activity Report for DRF Area view:
 To filter by work status, use the Filter By pull-down.
 To sort results, use the Sort By the pull-down.
Program Activity for One Author
If you click an Author’s name in the All Authors report, or if you choose to run your report on a
single Author, the system displays a Program Activity Report with details about that particular
Author’s work submissions in all folio areas accessible by the Author.
To open a new window where you can access the Author’s work submission, the completed
evaluation report, and the evaluation history for a particular folio area, click on the View
Work/Evaluation button.

The Work Submission tab shows the work that an Author has submitted to the chosen folio area,
including both artifacts created in Taskstream (such as Lesson Plans and Rubrics), and
documents that were uploaded from a computer as File Attachments. You can also see the
assignment instructions given to the Author by clicking on Directions Distributed to Author.
The Evaluation Report tab shows the Evaluation Method assigned to that folio area, and how the
Evaluator for that Author’s submission scored the work based on that method.

The Evaluation History tab shows a timeline documenting when the Author’s work was submitted
to a folio area and when the Evaluator scored it.
