Executive support:
• Provide support, administrative assistance and time management services to the Executive Dean.
• Manage all office operations efficiently and professionally with all stakeholders.
• Manage manual and electronic diaries effectively.
• Liaise extensively with a wide range of persons within the University, business community, the public and other
stakeholders.
• Communicate daily via telephone and email to offer information and assistance to a wide range of stakeholders.
This requires a thorough knowledge of the day-to-day working of the Faculty and University.
• Provide Executive Dean with all information available in order to prepare him for his meetings accordingly.
• Scrutinises and records details of all incoming mail and sorts into priorities of urgency, redirects inappropriately
addressed mail.
Communication:
• Draft own correspondence and type letters, memo’s and reports for the Executive Dean, internally and
externally.
• Plan and organise circulars, schedules and other documentation, and process information and materials with or
without the initial guidance of the Executive Dean.
• Deal with highly confidential HR information, both verbally and in writing.
• Keep office filing records up to date and ensure easy retrieval for future reference.
• Ensure effective flow of information amongst the Faculty and UJ Executive Management.

Meetings/Interactions:
• Organise and set up all meetings where ever required.
• Coordinating all workshops and meetings as required.
• Prepare and distribute MANCO Agendas.
• Take appropriate notes at MANCO to support in minute writing.
• Prepare in advance and ensure that the Executive Dean has all relevant information/documentation required.
Travel Logistics (International and Domestic):
• Make all arrangements for flights, accommodation, and car hire bookings and ensure that the necessary
documents are received timeously for the Executive Dean.
• Ensuring visa applications and arranging for foreign exchange and airport transfers are sorted out in advance.
• Draft the travel budget of the Executive Dean and work closely with the Faculty’s Finance Business Partner in
this regard.
Events Coordination:
• Support with specified arrangements.
Financial Administration
• Issue Travel Order forms to the Expenditure Division and issue order numbers for all flights, accommodation and
car hire, both locally and internationally.
• Complete claim forms for the Executive Dean and request S&T for international travel.
• Ensuring and monitoring correct use of funds from the relevant codes.
Office Management
• Provide an efficient and effective professional interface between the Executive Dean and all stakeholders.
• Give and maintain strategic administrative support to the Executive Dean
• Manage procurement of operational items to enable efficient operations in the Executive Dean’s office.
• Ensures office compliance with safety regulations and arranges for maintenance and repairs when necessary.
• Keep abreast of new developments in the field and effectively apply it in the office setting.
• Keep abreast of all new Computer packages that are available via the University’s Computer Division that will
help to enhance my computer performances, example latest MS Office updates.

This requires a thorough knowledge of the day-to-day working of the Faculty and University. • Provide Executive Dean with all information available in order to prepare him for his meetings accordingly. • Scrutinises and records details of all incoming mail and sorts into priorities of urgency, redirects inappropriately addressed mail. Communication: • Draft own correspondence and type letters, memo’s and reports for the Executive Dean, internally and externally. • Plan and organise circulars, schedules and other documentation, and process information and materials with or without the initial guidance of the Executive Dean. • Deal with highly confidential HR information, both verbally and in writing. • Keep office filing records up to date and ensure easy retrieval for future reference. • Ensure effective flow of information amongst the Faculty and UJ Executive Management. Travel Logistics (International and Domestic): • Make all arrangements for flights, accommodation, and car hire bookings and ensure that the necessary documents are received timeously for the Executive Dean. • Ensuring visa applications and arranging for foreign exchange and airport transfers are sorted out in advance. • Draft the travel budget of the Executive Dean and work closely with the Faculty’s Finance Business Partner in this regard. Events Coordination: • Support with specified arrangements. Financial Administration • Issue Travel Order forms to the Expenditure Division and issue order numbers for all flights, accommodation and car hire, both locally and internationally. • Complete claim forms for the Executive Dean and request S&T for international travel. • Ensuring and monitoring correct use of funds from the relevant codes. Office Management • Provide an efficient and effective professional interface between the Executive Dean and all stakeholders. • Give and maintain strategic administrative support to the Executive Dean • Manage procurement of operational items to enable efficient operations in the Executive Dean’s office. • Ensures office compliance with safety regulations and arranges for maintenance and repairs when necessary. • Keep abreast of new developments in the field and effectively apply it in the office setting. • Keep abreast of all new Computer packages that are available via the University’s Computer Division that will help to enhance my computer performances, example latest MS Office updates.
