How can we structure a formal letter?
C: I can understand that each paragraph does a different job.

When writing a formal letter, we should ensure that our
thoughts are organised to make sure that our message is
clear. Each paragraph should address a different point - that
is the reason we have different paragraphs.
When writing a formal persuasive letter stick to this
structure:
• What is causing the problem?
• Why is it bothering you?
• Suggest a solution to rectify the problem.

On the next slides, there is an example of a formal
letter written to a shop owner. Read through the slides
and note down where you can identify:
• What is causing the problem?
• Why is it bothering the person writing the letter?
• A suggested solution to rectify the problem.
Dear Mr Stevenson,
I am writing to you to express my disappointment in
my latest purchase at your shop Stevenson & Co. As I
am sure you are aware, I have been a regular
customer at your shop for many years. During this
time, I have come to expect a certain standard of
produce from your shop which I can usually rely on.
However, after my latest trip to your shop I can safely
say that there is a definite need for improvement.
After my shopping experience, I returned home as I always
do to unpack my food in my kitchen. I was disgusted to find
that the majority of the fruits and vegetables I had bought
were inedible! A horrifying stench was coming from several
items and mould could be seen on the leaves of some of the
lettuce! This is simply unacceptable. Customers cannot be
expected to part with their hard earned money in exchange
for produce they cannot use! Not only that, it is potentially
dangerous for you to be selling food like this, as it could lead
to members of the public becoming ill.
May I suggest that you invest in a new refrigerator? It seems that wherever
you are storing your products is not suitable. I would also highly recommend
employing someone to check what is currently in your shop as soon as
possible so as to avoid anyone else going through such an ordeal.
I strongly advise that you take seriously what I have said. I do not wish to
stop shopping at your store however if changes are not made I will have no
other choice.
