Definitions
 Request for Proposal: A notice from a
funding agency or foundation to ask for
proposals for new grant. They usually list
program descriptions (what they will or
won’t fund), deadlines and who is eligible.
More Definitions
 Grantor: the agency or organization that
gives a grant. Also known as funder.
 Grantee: Group that receives grant.
 Letter of Intent (LOI): Letter submitted by
the group to the Grantor. This tells them
you are planning on writing an application.
You are not required to complete an
application just because you send an LOI.
And More Definitions
 Letter of Support: A brief letter by an “expert” or
someone in your community that tells why he/she
thinks the application should be funded.
 Letter of Commitment: A brief letter by a
community partner that tells how they will support
the program-what part of the activities they will
agree to do.
 Letter of Inquiry: A short story that you write to the
funder. Tells the potential funder about the group
and gives them the change to see if you “fit” with
their mission.
Things to Remember
 Research, Research, Research
 Planning an application is VERY important
 Recipe is: 2/3 planning and 1/3 writing
 Getting funded takes time
 It is never too early to start
 No research or writing is ever wasted-it’s
practice!

Case Statement
 Who are you
 What do you do
 Why do you need the money
 What are you going to do with it
 How will the grantor know that you
did it
 Why should the grantor invest
 How will the grantor benefit
PROOF
 Read it out loud several times
 Double check spelling of names and
make sure job titles are correct.
 Let at least two other people proof
read it for you. See if they
understand what your request is
for.

 SMART (Specific, Measurable,
Achievable, Realistic and Time-
bound)
 Shows specific, measurable change
 Always identify a baseline from
which to measure progress
 Here is where solutions begin
Objectives vs. Action Steps
 Objectives pertain to what will happen
within the target population
 Objectives contain common elements:
 A time frame (by when)
 The target population (who is being served)
 Targeted behavior
 Amount of measurable change expected (what
and how it will be measured)
 Action Steps pertain to what the applicant
will do (means to the end or change)
 Workshops, research, education classes, etc.

Grant Writing 101 - SEAR Summit

  • 2. Definitions  Request for Proposal: A notice from a funding agency or foundation to ask for proposals for new grant. They usually list program descriptions (what they will or won’t fund), deadlines and who is eligible.
  • 3. More Definitions  Grantor: the agency or organization that gives a grant. Also known as funder.  Grantee: Group that receives grant.  Letter of Intent (LOI): Letter submitted by the group to the Grantor. This tells them you are planning on writing an application. You are not required to complete an application just because you send an LOI.
  • 4. And More Definitions  Letter of Support: A brief letter by an “expert” or someone in your community that tells why he/she thinks the application should be funded.  Letter of Commitment: A brief letter by a community partner that tells how they will support the program-what part of the activities they will agree to do.  Letter of Inquiry: A short story that you write to the funder. Tells the potential funder about the group and gives them the change to see if you “fit” with their mission.

Things to Remember  Research, Research, Research  Planning an application is VERY important  Recipe is: 2/3 planning and 1/3 writing  Getting funded takes time  It is never too early to start  No research or writing is ever wasted-it’s practice!  Follow all the guidelines and instructions.

  • 7. The Request for Applications  Who is eligible?  When is the deadline?  What is the award amount per grant?  Is there a matching requirement  Who do I contact with questions.
  • 8. Elements of Proposat  Abstract  Statemetn of Need  Goals and Objectives  Project personnel
  • 9. Information to include  Data  Does your program idea stand a good chance of being funded?  How does it fulfill the mission of the grantor?  How does it fulfill the mission of your organization?
  • 10. Case Statement  Who are you  What do you do  Why do you need the money  What are you going to do with it  How will the grantor know that you did it  Why should the grantor invest  How will the grantor benefit
  • 11. PROOF  Read it out loud several times  Double check spelling of names and make sure job titles are correct.  Let at least two other people proof read it for you. See if they understand what your request is for.

  • 17. Objectives  SMART (Specific, Measurable, Achievable, Realistic and Time- bound)  Shows specific, measurable change  Always identify a baseline from which to measure progress  Here is where solutions begin
  • 18. Objectives vs. Action Steps  Objectives pertain to what will happen within the target population  Objectives contain common elements:  A time frame (by when)  The target population (who is being served)  Targeted behavior  Amount of measurable change expected (what and how it will be measured)  Action Steps pertain to what the applicant will do (means to the end or change)  Workshops, research, education classes, etc.

  1. Read the RFP twice…look at deadline.
  2. Write your grant with the grantor in mind. Imporant to remember that you are not writing for a faceless “institution” but a handful of real peoplw ho have a lot of tough decisions to make.Look at types of grants they have funded in the past
  3. When looking for grants, DO YOU RESEARCH. Identify organizations that are a good match for what you are doing. Call the program executive or point of contact for the program and have a preliminary conversation about their RFP.When you determine it is a good fit then dig in. Read the directions: TWICEA lot of grant applications are online and there is only just so much space to anwer the question. Use only that space, don’t try and add a page. Do not leave a question blank….Be Concise: this is so important. Be direct and to the point. You may have to edit, edit edit to cut your text down to just the bare basics. Write your grant with the grantor in mind. Important to rememer that you are not writing for a faceless “institutition” but a handful of real people who have a lot of touch decisions to make.
  4. Follow instructions. If they ask for ½ page make it a ½ page.
  5. Who : it will say if it is churches, schools 501c3When: it will tell you the date it must be received byWhat: it will tell you what the maximum award it, write for what you realistically can doMatching: It will tell you if you have to have matching fundsWho do I concact? Usually there is a contact number or a Q & A page you can look at for common questions.
  6. Summary statement of the project as a whole. Statement of need: Why does your group need the money. Goals and Objectives, Who is going to run the project If you are hiring personnel have a detailed job description attached. Be Proactive: have a vision/mission statement Know who your partners are. What do you need? How are you going to sustain the project after the funds run out. Ex. Community garden…you can see some items at farmers market so you can continue having funding to keep garden going. What are the cost of tilling ground, seeds, fertilizer. What do you have in kind to help such as 4H club kids or Master gardeners who will work the landNever assume the reader knows the subject like you do, continue to ask yourself WHY. Establish your organizations’ credibility. Vision/Mission?Innovation?Partners?What do you need?What will it cost?Sustainability?Reactive – Money Driven“Chasing” MoneyApplying for funds because they are availableLeads to fragmentation within an organization – parallel programs at great risk of having little commonalityThis is being controlled
  7. Within the body of the grant give them facts, numbers, specifics: make it direct but not overly academic. Consider using bullet points. You can go to grantors web site and see what types of projects they have funded in the past. You can see their mission Ex. To prevent child abuse is there a way your project could ultimately have an effect on this. Does it also reflect on what your organization does.Tell the grantor what you are trying to accomplish. How will this money help you accomplish that. What will happen if the money runs out. Why is this a good investment? Do you have partners. Consider building in an evaluaiton /assessment process into the program.
