The university is migrating faculty and staff email accounts from an on-premise Exchange 2007 system to Office 365 in the cloud. This will increase mailbox sizes from 300MB to 50GB. FREQUENTLY ASKED QUESTIONS
What is the Email Migration to Office 365 project?
The objective of this project is to migrate the current Exchange 2007 environment locally hosted at UCO
to the Exchange Online environment in the Microsoft-hosted cloud. The Exchange Online environment
is part of the overall Office 365 solution. This project will affect all UCO faculty and staff, but students
will not be affected.
What is Office 365?
Office 365 is a subscription-based online email and office solution which provides hosted email and
social collaboration capabilities.
Why is UCO making this change?
The current Exchange environment hosted at UCO is close to its end-of-life. To continue supported
email operations, UCO IT evaluated two options: upgrade the current system and continue hosting on
site or migrate to a cloud-based solution. UCO selected a cloud-based solution because it provides
many benefits to include reduction of the number of on-site servers and the maintenance costs for
those servers. The Office 365 solution specifically provides additional storage space for email accounts,
cloud file storage and social collaboration to meet UCO user requirements. UCO is only deploying the
email solution at this time.
What do I get from this upgrade?
The top benefit from this migration is the increased mailbox size. Mailbox size is increasing from 300MB
to 50GB – almost 170 times the current size! Other collaboration capabilities may be available at a later
date, but UCO is only deploying the email solution at this time.
Do I need to learn a new email system?
No. With Office 365, you can continue to access email from your desktop the way you do today. Outlook
Web Access (OWA) will have a slightly different look and feel (Figure 1) but all the same functionality.

How do I register for a training class?
Optional training sessions are available to learn more about the email migration and tips for success
using Office 365. Register for training classes in the Learning Center – search for Office 365.
What about students using gmail?
Students will continue to use gmail for their email solution.
Will my email address change?
No, your email address will remain the same.
Will I need to remember another password?
No. If accessing your email from a UCO desktop, you will continue to access your email through the
Outlook client. If accessing your email through a web browser using OWA, you will use your network
username and password. As we progress through the migration, the login page for OWA may look
different than the previous one. If you have any questions about the authenticity of the page, contact
the Service Desk.
When will my account be migrated?
Unless contacted by OIT about being in an early migration group, the general schedule is as follows:
Staff & Organizational Mailboxes
From Dec 12th at 5pm to Dec 15th at 8am
Faculty Mailboxes
From Dec 17th at 8am to Dec 21st
Do I need to do anything to prepare for the email upgrade?
For a successful account migration, faculty and staff must complete the steps outlined in the pre-
migration checklist by December 5th. After your initial completion of the checklist, continue to monitor
your email for any incoming messages that are 25MB or larger and follow the checklist instructions for
managing these messages. The PC and Mac versions of the checklist, along with other project details,
may be found on the project website. Instructor-led training is available on Office 365 and the pre-
migration checklist. You can register for training in the Learning Center by searching for Office 365.
What will I notice when my mailbox is migrated?
For the most part, the migration should be transparent to the user. If you are using Microsoft Outlook
when your account migration starts, you will be able to continue working offline during the migration.
Once the migration is complete, you will receive a pop-up notification asking you to close and restart
Outlook. You may have to complete this action more than once. If you are using OWA when your
account migration starts, OWA will disconnect or logoff once the migration completes. You should log
back in to continue working.

What if my mailbox migration fails?
If your mailbox migration fails, you will continue to have access to your email account. If the error
causing the failure is due to a file 25MB or larger or more than 5000 items in a folder, an administrator
will contact you to address the issues. Once the fixes are made, the account will be scheduled for
migration again.
What about my email archives or .pst files? Will they be migrated to
Office 365?
The migration of your account will only include messages in your Exchange account. In Microsoft
Outlook, these are the folders listed under your email address. Email archives or .pst files are saved on
your desktop or a file share and not on the Exchange server. Don’t worry - you will NOT lose these files!
You can still access them through Microsoft Outlook like you do today. After the migration is complete,
we will request that you move your archived messages into your Exchange Online account since the
increased account size will allow more messages to be stored. A benefit of moving archived messages
back to your account is that you will have access to them from any location you access your email.
What is the Office 365 retention policy for deleted items?
Deleted items will be kept in the user’s Deleted Items folder until manually deleted by the user or until
automatically removed after 30 days. When an email is manually deleted from the Deleted Items folder
or automatically removed, it will be kept for another 30 days in a folder called Recoverable Items. After
the final 30 day period, those items are no longer recoverable.
What are the web browser requirements for Office 365?
Office 365 is designed to work in Internet Explorer (IE) Version 10 or 11 for the best experience. Office
365 also works in the latest versions of Firefox, Safari or Google Chrome. If you have issues with
accessing your email through a web browser, please contact the Service Desk at 405-974-2255 or

What are the desktop client requirements for Office 365?
For Windows systems, Office 365 requires Outlook 2010 or higher. For Mac systems, Office 365 requires
Outlook 2011 or higher. If you have issues with accessing your email through a desktop client, please

What happens to my mobile devices that connect to my mailbox?
After your account has been migrated, you will need to reconnect all mobile devices that connect to
your mailbox such as a phone or tablet. Here are the instructions for connecting to these devices:

Can I still get to my email from UCONNECT?
Yes, you can still access your email through UCONNECT if your web browser meets the Office 365
requirements. After logging into UCONNECT and clicking on email button at the top right of the screen,
you will be redirected to the Office 365 OWA login page where you will enter your network username
and password.
