Using technology to aid global collaboration Jacky King & Zsuzsanna Ujhelyi Learning & Development at VSO International VSO’s mission is to bring people together to fight poverty: but bringing people together within VSO is a challenge. The organisation is dispersed across 22 countries, mainly in Africa and Asia; diverse in their professional and cultural backgrounds and their client bases; and “strangers” in that they must build strong, trusting relationships with colleagues we may never meet face-to face. To meet these challenges, Jacky and Zsuzsanna set themselves three goals in late 2013: to provide the necessary technology for everyone to do their jobs well; to experiment with using this technology innovatively; and to access and share information about programmes effectively. This presentation will take you through some of the ways they achieved these goals in 2014.

- Started: 1958, since then ca 80,000 people have worked or volunteered with us 2014/15 income: around £80M Areas of work: Health, Education, Secure livelihoods, Participation and governance (go through statistics on the slide from our annual report for 2014/15)

People routinely access/share programme information for the overall benefit of VSO’s mission Targets 1a All UK-based employees to have a laptop (for flexible working and global access to colleagues) 1b New collaboration software (Lync and Chatter) 2 Three initiatives using technology to increase engagement 3. Three experiments using technology to improve knowledge-sharing between UK-based teams and programme teams
- Story: Before: email for everything, phone – international calls very expensive, radio silence and silos… and “working from home” not really feasible Now: instant, short text messages and free, high quality conversations with colleagues around the world – second nature to use Lync rather than email; and enables us to work effectively from home (office move/hot desking/flexible working)
- Story: Before: In the past: one-way, lecture style information meetings, with questions at the end… biased to UK based colleagues Now: (Expand on slide) democratic, interactive, real-time, fun conversations, using whiteboard, polls… for engaging conversations Eg. First session (18 months ago): How can we use technology to end poverty – 72 hours jamming
- Story: Before: Document Management System for UK, using the VSO intranet to store key documents.. Now: (Expand on slide) knowledge sharing – by everyone and anyone for: Contributing to internal discussions: eg How are you meeting the #SDGChallenge – United Nations’ Sustainable Development Goals; Asking for help: eg “Does anyone have any contacts at this organisation?” “Does anyone have an example of a stakeholder analysis for health projects?” Sharing news alerts: eg major funding secured; major achievements in influencing government/international development policy Social/informal chat: building cameraderie within and beyond geographical divides
- Story: Before: Moodle: for inducting volunteers. Learning for employees was face-to-face (disconnected, UK-focused) or on-the-job… Now: Learning Hub for volunteers and employees, (expand on slide). Helping people see the value of on-going learning in a diverse group. Introduce “promotional video” for the International (Global) Development course

- Although we’ve come a long way in the last couple of years, we still have a lot more planned to optimise technology in our ongoing learning strategy: for example: Linking learning platforms with performance management system Massive Open Online Courses beyond VSO (other global development organisations; other charities; private/public sector organisations with an interest in global development) Volunteers and employees (past and present) learning together Learning culture: time for reflection, personal responsibility for learning It is this last area (learning culture) where we would particularly value your ideas and experiences of how to make this happen.
