Title: Executive Assistant 1 (EXA1)
Duties Included:
 Data Gathering and Analysis: Prepared department specific status reports and metrics; gathered data from AFI Challenge Board
meeting packages and minutes to track/interpret status of specific AFI; compared meeting minute notes to a matrix to identify any
discrepancies; analyzed STARS CAP data within an Excel matrix from 7 STARS utilities; referenced data for a specific metric to
performance indicator to determine where it fell on the performance band; analyzed STARS CAP teleconference data to determine
attendance records for 7 STARS utilities; compared attendance to a performance indicator to determine where the utility fell on the
performance band for attendance; reconciled company credit card charges; data gathering and analysis from internal and extern al
sources; making final decisions/recommendations guided and supported by policies, procedures, and management direction, which
may have company impact
 Basic Clerical: Answered phones, filed, routed customer inquiries to appropriate Division or individual, data entry, mail distribution,
supply ordering/tracking, record keeping and file maintenance, word processing, spreadsheets, power point presentations, records
retention and destruction, equipment repair scheduling and maintenance, meeting attendance tracking, etc.
 Advanced Clerical:
 Acted as partner to three Executive Level Directors, providing administrative and business support, while ensuring the highest
caliber of professionalism, tact, and diplomacy in all interactions and projecting the proper image of the Executives and station
 Acted on behalf of the Executives in establishing and maintaining working relationships with internal and external staff/clients,
while also providing administrative and business support to those external staff/clients
 Managed heavy calendaring to avoid meeting conflicts, coordinated/scheduled meetings, visitors, plant visits and evaluations in
alignment with the site calendar; catering for various meetings and visits on site; admin support for visits
 Managed/distributed highly sensitive/confidential information with corporate/departmental impact while maintaining confidentiality
and remaining professional in all interactions
 Coordinated completion of projects assigned to Executives; preparing and coordinating activities/reports for the Executives
 Determined urgency of matters requiring Executive’s immediate attention; appropriate handling of confidential info when Executives
were unavailable; used combination of research/analysis/experience/judgment to make decisions regarding difficult/complex matters
 Performed high level administrative duties: project coordination, presentation assistance, responded to difficult/complex phone
inquiries/emails, while efficiently handling daily office tasks
 Composed, reviewed, and edited official correspondence on company letterhead, word documents, spread sheets, power point
presentations, and visio charts for distribution/presentation; supported presentations of official correspondence
 Proficient in preparing well researched documents for distribution, while utilizing correct grammar, spelling, and punctuation
 Worked with NOB/INPO/NRC to coordinate visits: travel arrangements and schedules, in processing (badging, fingerprinting,
training, paperwork, access levels, etc), hotel accommodations, disseminating SONGS specific policies, scheduling meetings, catering,
parking, WiFi access, and conference room reservations/set-up
 Maintained org charts in Visio, work schedules, distribution lists; data gathering and analysis, archived and maintained files/reports
for immediate and future use; reviewed files for completeness and accuracy
 Adherence to QUORUM requirements; created, maintained, tracked agendas, minutes, action items, and plus/deltas for meetings
 Coordinated travel arrangements in Concur/AmEx Travel; created and maintained expense reports via portal; maintained/tracked/
reconciled corporate credit card expenses/charges; prepared and tracked invoices; meal voucher distribution/reconciliation
 Acted as the Training Coordinator: managed and tracked training schedules and adherence to training policies; scheduled training in
SAP/LSO/T2000; generated reports in SAP and T2000, updated and archived training files.
 Budgets, payroll, and timekeeping in SAP; managed and tracked vacation schedules, retirement schedules, and leave reports
Acted as Division Computer User Rep: Created, submitted, and tracked ITREQs for computer hardware, software, VPN’s,
blackberries, facilities workstation requests; coordinated Microsoft System Upgrades; ordered materials/supplies from the warehouse,
created and tracked access orders; broad knowledge of/staying current with technology: software and hardware used on site
 Created, tracked, and managed Nuclear Notifications and Purchase Reqs/Orders for Vendor services in SAP/SAP Express
 Knowledge on the various processes within Nuclear, PI/NSC: CAP, ARC/MRC, SA, OE, Benchmarking, ECP, SCWE, SIBP
 Reviewed and processed incoming and outgoing mail including FedEx, USPS, and UPS
 Managed, prepared, planned, organized, and completed all tasks assigned in a timely and efficient manner
 Thorough knowledge of company policies, procedure use/adherence, and personnel across the station
 Customer service inquires via telephone, office, and email; follow through on inquires/requests within appropriate time frames
 Provided back up support for Directors/Assistants as needed; Multi-tasking and prioritizing
Achievements: Received ACE award-working collaboratively on team to improve productivity/commitment to Continuous Improvement
demonstrated by consistently raising performance bar (1/12); Selected to support INPO Readiness Review Team of 16 members (2/13)

 Basic Clerical Duties; Customer service inquiries via telephone and email; multi-tasking and prioritizing; front desk back up
 Managed and distributed highly sensitive and confidential information with corporate and departmental impact while maintaining
confidentiality; Badging and fingerprinting process for gaining entry into the plant using SEAS system
 Supported Executive level Plant Managers and Assistants in the OCC: Coordinated meetings, prepared reports, presentations,
word documents, spreadsheets, office supply ordering, catering, equipment repair scheduling and maintenance, maintained org
charts in Visio, work schedules, & distribution lists, gathered data & analyzed, archived files and reports, etc.
Achievements: Selected to support the OCC during the Steam Generator Outage: Supported about 10-15 Plant Managers and
Directors in a fast paced and sometimes stressful environment. I did this while utilizing a high degree of sensitivity,
tact, and diplomacy, and while functioning calmly and rationally in the sometimes stressful environment.
