Handled multifaceted administration tasks (e.g., data entry, filing,
records management and billing) as the assistant to the Head of Ops
office in Dammam Container Terminal in Saudi Arabia, Coordinated travel
arrangements for Ops Director, maintained database and ensured the
delivery of premium service to nearly 1100 staffs. Quickly became a
trusted assistant known for “can-do” attitude, flexibility and high-quality
work.
Highlights:
Communicated effectively with multiple departments to plan meetings and
prepare welcome packages for new students. Established strong relationships
to gain support and effectively achieve results.
Entrusted to manage office in the supervisor’s absence. Provided timely,
courteous and knowledgeable response to information requests; screened
and transferred calls; and prepared official school correspondence.
Preparing Overtime and taking approval from Ops Director, for around 1100
ops staffs in our department.
Monthly employee schedule preparation for around 300 staffs, indicating
either reporting in day shift or Night shift.
Updating about 1100 staff’s duty schedule in the Time Management System
ensuring they report on duty in right shift
Drafting email, taking notes in meeting and preparing minutes of meeting
and distributing through email to all concerned including Top Management.
Preparing/arranging vacation schedule for about 1100 staffs ensuring our
department is not getting affected staff’s leave.
Independently managing the office of a Top management director with
individual filing system, for about 1100 staffs.
Preparation of employee’s performance report on daily/monthly/yearly as
desired by the ops Director.
Handling/ taking approval from directors, sending the concerned department
for payment processing.
3. Assist and providing full support to the administration department for
appropriate meet and greet service arrangement,
Ability to handle all kind of machine required for Office Management.
Compose, type translate and create various letters/formats as required and
directed by the Head of Ops,
Provide Extra pair of Hands during rush hours jobs
Perform all other official jobs as and when directed by the Director.
