1. Create calendar format for lease signing (Ex. 1:00 pm L/S AB #1 – Smith +2)
2. Application Process: (Receive process, call back, and assign apt., set lease signing appt.) [use
stamp date]
3. Change outgoing phone message to inform of opening, date, process and website
(pictures/layout) Renewal paperwork begins (R = Renewal no changes. R/C = Renewal
with changes)
4. Create 150 envelopes w/ out return address for lease signings
Handling renewal letters received:
Take renewal response and indicate on the apartment maps/diagrams/white boards what the
response is. Example “R” for Renewal and an “A” for Available (Put the expiration date – the
date that is on the “actual lease.” Be sure to physically check the lease agreement of the unit in
question).
15th
: Deadline for lease renewal. All “A” (Available) units must have a M/O date on the board(s).
18th
: Lease signings begin (Enter new tenancies/entries/complete files) Move-In letter envelopes to be
filled out by future tenants during Lease signing.
• Schedule L/S for straight renewals (R’s).
• Schedule a meeting w/ contractors and EI staff:
(Need to define purpose of meeting and generate an agenda)

3. Make Renewal List in Excel (Use RSS layout)
4. Enter all tenant file info into Appfolio (or other layout)
-Parking (“none,” 1st spc., 2nd spc)
-Phone #’s, Guarantor info
-Assign permits (try to match 2 digits to the apt. unit)
-Write a note on the application log whether or not they request a parking space

Schedule Contractor Rehab Meeting
Update PMA MO letter now
Create Move out letter w/ pre move out inspection form in order to comply with statue
Close all “R’s” and “RC’s”- create deadline for Sec. Dep. balance due.
Rake thru June MO tenant files
Check postage amount (in-between $175.00 - $250.00)
Enter MO/MI dates in Calendar
Manager to send MO/MI list to all contractors:

Move out – get 50 moving packets from post office

* OCT/NOV is the best time to set EI up for success in the next year with move-outs. See what can be
done to eliminate any problems for December too. Handle all business with a positive frame of mind and
think on how we can do better to save money, or even spend more in the short run, to save more in the
future, and ensure the tenants satisfaction. Brainstorm, create business plans, or set team meetings to go
over research and marketing experiments to see how it affected different markets. Think outside the box!
