Preparing contracts, offer letters and starter packs for new employees
Sending out reference requests & monitor returns
Chasing up new starter forms for electronic personnel files and payroll
Sending out probation reminders and confirmation letters to managers and staff,
escalate to HR Advisor/HR Manager where a probation period is to be extended
Maintaining efficient electronic filing of new starter documentation and ensure it is up
to date and accurate
Checking HR inbox for ‘general’ emails and action as appropriate
Answering telephones when necessary and take messages
Monitoring of new starters and processing induction invites and confirmations
Collation and storage of returned induction packs
Presentation of Induction programme
Dealing with requests for references regarding employment and mortgages/rent etc.
Providing generalist advice and guidance on HR related matters to employees and line
managers, including HR policies and procedures, performance and absence
management and escalating to HR Advisor/HR Manager where necessary.
Suggesting ongoing improvements to HR function and administrative procedures of
the department
Updating of social media platforms with relation to raising application responses.
Assisting recruitment manager and providing ideas for future social media
objectives and awareness.
Training
Assisting Group HR Director with sourcing of training courses, drafting training
programmes, negotiating rates with training providers
Managing Training Budget, processing and logging invoices and ensuring that budget
spend information is up to date.
Co-ordinating internal and external training courses, including liaising with the
conference department and external training providers in sourcing new venues and
handling any documentation
Booking and set up of training rooms for courses.
Monitoring feedback from all courses attended and assist in evaluating company’s
training programmes
Monitoring of Training Inbox and responding to course requests and questions
Updating of internal training website
Monitoring of attendance numbers and weekly promotion of running courses.
Reminding candidates manually of courses they are to attend
Sending delegate lists and full room details to trainers ahead of courses.
Payroll/ Benefits
Assisting the Payroll Manager with monthly payroll changes and checking payroll
Working closely with Payroll/Benefits manager on annual salary reviews
Responding to Season Ticket Loan requests, approving and when need be
documentation surrounding notice period extensions
Arrangement of colleague Taste Card scheme. Liaising with Tastecard company,
promoting and monitoring of figures during process.
