5. Instructions: Pre Workshop
⢠Install/Update Google Chrome in your mobile/Labtop/Computer
⢠Install/Update Google Drive in your mobile/Labtop/Computer
⢠Install/Update Google Meet in your mobile/Labtop/Computer
⢠Install/Update Google Calendar in your mobile/Labtop/Computer
⢠Install/Update Gmail in your mobile/Labtop/Computer
⢠Kindly keep 2 devices (1 for Google Meet another mobile with data for
Hands on training, games and activities).
⢠Kindly ensure that your Mic & Video are in working condition. Keep it on
whenever requested to keep it ON.
⢠Incase meeting gets cut due to network issue, do not worry, we will be
back within 5-10 mins. max. you can rejoin and wait in the meeting lobby.
6. For Meet video calls, youâll need:
⢠The Meet mobile app or the Gmail mobile app or a supported web
browser.
⢠A compatible device with minimum system requirements.
⢠A supported operating system.
⢠A broadband connection to the internet.
⢠A built-in web camera or external USB camera.
20. Google Workspace Google Meet
⢠With the Google Workspace version of Meet, there are different limits
of participants on the same meeting, depending on your Google
Workspace plan:
⢠100 participants on the Basic plan;
⢠150 participants on the Business plan;
⢠250 participants on the Enterprise plan;

ď Create a new event and select More Options
ď Click Add Conferencing and then Hangouts Meet
ď Add student email addresses under Guests
ď Select the paperclip symbol to attach optional documents,
presentations, videos, etc.

22. ⢠Every person on the guest list will receive an email
with the meeting link and all attachments.
⢠Scheduled meetings can be accessed from the email
link, Google Calendar, or https://meet.google.com.
23. How to Create an Instant Meeting
1. Go to https://meet.google.com
2. Click Start a Meeting > Continue
3. Allow access to camera and microphone
4. Click Start Meeting
5. To add participants:
âŞManually enter email addresses in the tab
âŞCopy meeting link and send it in an email, Blackboard
announcement, or Google Classroom post

⢠Go to Google Meetâs website.
⢠Click on âJoin or start a meetingâ. You will need to enter the code or
nickname of an existing meeting.

1. Click on the meeting link to instantly join or type in the meeting code
on https://meet.google.com
2. Allow access to camera and microphone

1. Press the symbol to exit
2. Click Re join to re enter
28. How to Present in a Meeting (PowerPoints,
documents, etc.)
1. Open the file(s) before or during the meeting
2. Select Present Now > A window or Entire screen > Share
⢠âA windowâ allows you to present a single file while âEntire screenâ
allows you to show multiple files on your screen without stopping
and starting a new presentation

1. Press the symbol in the upper right-hand corner
2. Type in the chat box below
3. Messages will appear on all participantsâ screens

1. Join the meeting
2. Click on the three dots on the bottom right corner
3. Select Record Meeting
4. To stop recording, click the three dots > Stop Recording
5. Allow 10 or more minutes for the recording to be generated in the
hostâs Google Drive. An email link (that can be shared) will also be
emailed to the host.

45. A thorough look at Google Meet
Changing layouts
⢠You can change the view of Google Meet according to your preferences. To
change it, click the three dots in the lower-right corner of the screen, then
select âChange layoutâ. A popup will open with four layout options:
⢠Auto: If you want that Meet chooses the layout for you.
⢠Sidebar: Only the active speaker or the presentation will be displayed on a
larger window, while some of the participants will be on the left side, in
smaller windows.
⢠Spotlight: The presentation, active speaker, or pinned feed will fill the entire
window.
⢠Tiled: You will be able to see up to 16 people when no one is presenting.
When you choose this option, you can hover the windows to see the
participant names. And if a Presentation starts, it will appear in a large tile,
and the most active participants will appear on the side in smaller tiles.

⢠At a video conference, you can perform some actions: Pin, mute, or
remove participants.

53. INSTRUCTIONS FOR THE ONLINE CLASS, (kindly
read the instructions carefully)
BEFORE THE CLASS
⢠The students are requested to download the latest Google Meet App in
their Mobile/ Laptop / Desktop or update the same if already installed.
⢠Wear a proper and neat dress.
⢠Kindly Avoid opening many applications during the class to get more
benefits.
⢠To avoid last minute rush, students allowed to join the Google Meet
meeting right time.
⢠If the students are not able to join the Google Meet class, they can conduct
to the concern staff.

55. DURING THE CLASS
⢠All the students are expected to join the class before 5 minutes.
⢠All the students are expected to switch off their video and mute
their microphone for better bandwidth management.
⢠Do not unmute your mike and camera unnecessarily.
⢠Kindly check your mike and camera while taking notes during class.
⢠In case, due to some technical problems, if the students' connections go-off
during the class, they are requested to rejoin by using the same link.
⢠Students can post their doubts and questions regarding the topic of the
class in the chat box or unmute your audio and video ask to the staff.
⢠All the students are requested to take notes during the class.
⢠All the students are requested to unmute your audio and video and give
your attendance in the class.
⢠While you using your camera be careful with the background.

57. Special Considerations
⢠Hosts/professors, please use a quiet space for meetings
⢠- Participants/students, please keep the camera and microphone off
(unless needed) during meetings for a better connection
⢠- Please do not present your screen if you are not the presenter.
⢠- Please invite students using their email addresses
⢠- When presenting in a meeting, you have the option to keep your
camera on or turn it off.
58. Netiquette
Netiquette is a set of rules describing how to behave while
online.
When you communicate with students, you must always
practice good netiquette.
Communication
Students and instructors communicate in the following ways:-
⢠Exchanging smiles,
⢠Posting on discussion boards,
⢠Providing feedback on assignments, refers to the use of proper manners on the
internet.
⢠And sometimes using a chat room.
⢠Point out the positives before the negatives.
⢠You must keep in mind that the words you would say in person may not have the same
meaning as they would if they were read in an or on a discussion board.
