 Employee Payroll and attendance maintains.
 Handling Visa Process (Applying new employment visa, Renewal and cancellation of the
employment visa.
 Handling recruitment process.
 Finalizing and scheduling candidates work/joining location.
 Manage the collation and distribution of relevant documentation both internally and
externally referencing new company formation.
 Making development and on-going administration of internal procedures and policies to high
governance standard.
 Assisting colleagues / consultants on initial set-up and the company formation procedures.
 Dealing with correspondence, collating information and writing reports, ensuring decisions
made are communicated to relevant company stakeholders.
 Advising members of the legal, governance and accounting team of proposed policies.
 Monitoring and understanding changes in relevant legislation and the regulatory environment
and taking appropriate action.
 Assisting with /attend to signing of contract and other document in connection with
administrative matters.
 Renewal of tenancy contract in coordination with PRO department.

 Maintain all personal related data files and ensure validity of requirements like Visa, health
cards, security pass, license, work permit etc.
 Liaising with govt authorities for trade license renewal.
 Implementing attestation of export documents such as invoice, certificate of origin, health
certificate etc. at government parties along with concerned embassy/consulate.
 Handling Marhaba System in order to apply online for official and personal visit visas.
 Keeping valid license and insurance for company vehicles such as registration, renewing traffic
test, fine settlement etc.
 Assisting in arranging the Municipality health cards and port gate pass for working staff.
 Maintains administrative staff by recruiting, selecting, orienting and training employees,
maintaining a safe and secure environment, developing personal growth opportunities.
 Co-ordinating with local utility municipality and other government offices.
 Company formation services such as Economic, chamber of commerce, postal department, labour
department, Emigration, telecom, banking, DEWA and court.
 Notary public works (Power of attorney, Memorandum, follow-ups etc).
 Visa processing for partners, employees (labour, emigration work, emirates ID and medical)
 Works related to banks & Chamber of commerce.

RESPONSIBILITIES:-
 Collecting and providing periodical updates from the government authorities on all Labour and
immigration rules to keep the HR department abreast of the changes in the rules and procedures.
 Submitting, following-up and collecting of all new employment and business visas to ensure that the
visas are processed on a timely manner to support the business.
 Dealing with general enquires regarding PRO functions promptly and efficiently to enhance the level of
department service
 Renew, update and maintain the trade licenses and other government certificates of all company’s
legal entities in the UAE to ensure that the documents are up-to-date.
 Renew and maintain all company’s leases in the UAE before its expiry, which includes offices, company
apartments.
 Assisting departments in resolving any issues related to company vehicle registration and renewals to
ensure that PRO services are provided as and when it is required.
 Obtaining visas from other Embassies in UAE for staff members for their business travel
Arranging processing attestation of employee qualifications as required
 Accurate preparation of documents according to the requirement of the legal authorities

RESPONSIBILITIES:-
 Labour Transport Scheduling
 Vehicle arrangement as per Transport Request Form.
 Review the transport and LME/HME availability, if internally not able to provide, initiate process of
external hire and issue LPO with approval from the Management.
 Vehicle Schedule for pick-ups, trucks and tippers in consultation with the Management.
 Vehicle Schedule for trailers and tankers.
 Maintaining and monitoring of external hiring schedule and also ensuring off hiring is done in time as
per schedule.
 Scrutinizing of log sheets of all vehicles.
 Monitoring and ensuring vehicle daily serviceability and check list maintained by Drivers & Operators.
 Monitoring of all company vehicle maintenance schedule and co-ordinate with workshop for timely
and periodic maintenance.
 Co-ordination with Work shop for minor repairs which were reported by operators/drivers during
serviceability check. Prepare and forward Service Request to Work Shop.

 Excellent communication and interpersonal skills, multitasking with an ability to interact with a wide
range of people. Ability to resolve multiple and complex issues and motivating staff to peak
performance
 Possesses good knowledge of administration management, business planning and analysis.
