Assume that you are a project manager in a consulting 
company. 
One of your top and strategic clients has asked to you 
include additional sections during the final presentation. 
This was not in the project scope. 
How will you handle

Can the extra requirements be satisfied with information that our firm already has, and can be provided without 
the involvement of any major additional resources (manpower & time)?

Is it an ongoing project with further 
billing in the subsequent periods?

Provide the information to the 
client, and communicate this 
effectively to indicate that this is a 
gesture of goodwill that has been 
accorded to the client

Communicate to the client 
that we are accepting their 
requests as a separate 
module and that we would 
not bill it in the current 
period, but do so in the 
subsequent period. 
• Analyse the requirements, and 
resources required. 
•Communicate to the client that it would 
not be possible to offer the client the 
extra deliverables free of charge, and 
that this is a policy driven decision. 
• However, understanding the critical 
nature of the information and the 
relationship with the client, the extra 
module would be offered at just the raw 
cost, and not the billable cost. (Another 
possibility would be not to mention any 
costs, and just offer a range of 
discounts.

One of your top and strategic clients has asked to you include additional sections during the final presentation. This was not in the project scope. Yes No Provide the information to the client, and communicate this effectively to indicate that this is a gesture of goodwill that has been accorded to the client No Yes Communicate to the client that we are accepting their requests as a separate module and that we would not bill it in the current period, but do so in the subsequent period. • Analyse the requirements, and resources required. •Communicate to the client that it would not be possible to offer the client the extra deliverables free of charge, and that this is a policy driven decision. • However, understanding the critical nature of the information and the relationship with the client, the extra module would be offered at just the raw cost, and not the billable cost. (Another possibility would be not to mention any costs, and just offer a range of discounts.
