Introduction
PDP	– project	management	input
… to	describe	an	visual/agile	approach	to	project	management
The	aim	is	to	provide	a	basic
introduction	to	project
management	and	what	it
means	for	Innovation
projects.
This	is	not	a	full	set	of	project
management	tools….
… to	show	two	projects	where	project	management	was	important
Purpose	of	this	paper
What	do	we	need	to	do	to	help	us	to	better	manage	our	projects?
Problem

Why	do	we	need	project	management?

This	introduction	to	project	management	about	the	approach	not	the	tools

Knowledge”	if	you	want	to	read	about

Context
The	focus	will	be	on	create	and	deliver
Create	Phase
- Develop	a	project	plan	(using	the	project
canvas)	suitable	for	an	innovation	project
Deliver	Phase
- Install	an	agile	project	process	(to	deliver
prototypes	quick	to	gain	new	insights)	to
ensure	efficient	and	effective	project
delivery

Project	canvas
Create	phase
The	outcomes	expected	is	to	have	a	project
plan	that	the	customer	agrees	to,	it	should
include:
- aim	and	objectives
- resources
- budget
- milestone	and	timescales

Project	aim
The	whole	team	and	the	coach	should	be
able	to	understand	the	project	aim.
”The	aim	of	this	project	is	to	deliver	a	IOT
enabled	football	to	help	football	trainers	to
monitor	and	improve	their	teams	skills”
The	aim	takes	time	to	write!
West,	2017
Project	canvas
Project	objectives
The	aim	should	be	supported	with	3-5
measureable	objectives	(critical	aspects	of
the	use	case	for	the	project)
The	aim	of	the	project	is	supported	by	the
following	objectives:
1. to	be	completed	by	1	April
2. to	cost	less	then	20CHF
3. to	be	operated	without	batteries

Deliverables	(in	this	case)
The	aim	and	objectives	are	then	supported
with	deliverables.	These	are	more	detailed
and	should	be	grouped	to	support	the
objectives.
Consider	milestones,	exams,	reports	etc.
Define	who	is	responsible	for	them	and	what
they	should	include

Organization
This	should	describe	the	team.	Who	is	taking
responsibility	for	what.	It	helps	if	you
provide	contact	details	as	well.

Risks
List	your	risks	and	post	the	top	five	risks	on
the	project	canvas.	You	will	have	more	risks
and	you	need	to	manage	them	actively.
Some	are	material,	some	are	in	your	control,
some	are	not	under	your	control!
When	you	identify	how	to	mitigate	a	risk	you
need	to	create	a	task.
Risk	management	should	not	create
”unnecessary	paperwork”

Project	canvas
Project	schedule
Group	tasks	into	work	streams,	list	out	the
tasks	(on	stickies),	show	the	critical	path,
show	who	is	responsible.
Tasks	can	be	further	detailed	out	on	task
cards.
Remember	you	will	not	know	everything
today	and	that	tasks	take	twice	as	long	as
planned!

Project	status
Deliver	phase
The	outcomes	expected	are	:
- to	deliver	on	time,	to	budget	and	to	quality
- to	deal	with	risks	and	project	changes.
West,	2017
Project	status
Deliver	phase
Hold	a	status	meeting	every	week	– all
voices	have	equal	weight!
Individual	updates	should	take	max	10	mins
The	status	meeting	should	take	15	minutes
Any	team	member	may	raise	a	flag
Update	the	project	canvas	(if	required)

Thoughts	on	technologies
Cards,	posters	and	stickies work	well
Digital	tools	can	also	help
(iphone,	OfficeLens,	Whatsapp,	Trello,
Meistertask,	Slack,	Asana,	Box,	Skype…)
Find	what	works	for	your	team	and	your
project
… it	is	about	doing	the	right	thing
