This is the version of my talk that will be presented at the 2017 STC Summit.
Every techcomm project includes a series of meetings. Requirements gathering and status updates are a necessary part of every project. But attending a meeting means that team members are not making progress on tasks or deliverables. How can we ensure that we make the most of this necessary evil?
This presentation will offer proven solutions for meeting management. Starting up front with an engaging icebreaker, gathering expectations about what should be accomplished during the meeting, and then collecting feedback at the end will make your meeting more effective and your team more productive.
This presentation will be interactive and engaging. Come prepared to participate, share, laugh, and interrupt. Bring it on!

From Fred Flintstone to George Jetson: Creating Tension in Training Increases...Viqui Dill
The objective of a good training program is adoption and excellent field execution. This presentation is about how to use a combination of traditional training deliverables and old school psychology to gain user buy-in and achieve a successful launch. We’ll talk about how my company uses cartoons and countdowns to ensure that users seek out training and have a stake in adoption and field execution excellence.
Whether we create video, user assistance, classroom training, or documentation, what we really want is a group of folks who use the product to do an excellent job with little or no effort and make no mistakes. Creating good training is less about the deliverable and more about building the right relationship.

TUTORIAL PACING
Viqui Dill, Technical Communications Leader, American Woodmark Corporation
Tutorials need to be paced carefully. Too fast and folks don't learn. Too slow and they lose interest. This presentation discusses how to find a balance so that your tutorials are both engaging and effective, so that the pace is just right. Highlights include designing for the audience: creating engaged students by giving them what they need—to See/hear/touch, time to reflect, and to know what’s next; creating well-paced material that is “sticky”.
Technical Communicators are often the face or the voice of a technical organization. When users are in trouble, they go to the online help. When we admit we had a bug and have to fix it, users find out about it in the release notes. Whether we need to say "I'm sorry it's confusing" or "I'm sorry it's broken", we need a Technical Communicator to carry the message. This presentation will discuss some of my personal experiences when technical things go wrong and several meaningful yet fun ways I found for saying "I'm sorry" and "thank you for your understanding". This presentation involves toys!
Let Me Touch It: Don’t Demo Your TrainingViqui Dill
We have long understood that most folks learn by doing. We don't want to just watch somebody else do something, we want to try it out for ourselves. Then why are we so prone to design our own training sessions as a slow death-by-PowerPoint? We have to rethink our own training programs so that students get to touch as well as see and hear. This takes a little planning but it's worth the extra effort.
The STC Leadership Program provides information about the direction of STC and it helps STC community leaders share ideas. For details about the program content, see the slides and additional handouts linked as coverage for this session. All STC community leaders are invited to attend.
We'll look at two social media success stories and discuss why each one was successful. We'll begin with a look into EdgeRank, Facebook's algorithm for prioritizing the New Feed.
Then we'll talk about a Facebook success for a 501c3. We planned a celebration for an organization of 10 people and got 100 people in attendance We'll look at another story about a group of folks who thought Facebook was either a toy or evil. We were able to get folks on board and raise money for the homeless in my town using Facebook.
We'll look at other social media outlets and introduce the Pew Research Center's internet data. We'll have a lively discussion and plenty of time for attendees to share their own successes and ask questions of the group.

communication is better than none, that your community
members understand that we are staffed by volunteers,

Enhancing Research Orchestration Capabilities at ORNL.pdfGlobus
Cross-facility research orchestration comes with ever-changing constraints regarding the availability and suitability of various compute and data resources. In short, a flexible data and processing fabric is needed to enable the dynamic redirection of data and compute tasks throughout the lifecycle of an experiment. In this talk, we illustrate how we easily leveraged Globus services to instrument the ACE research testbed at the Oak Ridge Leadership Computing Facility with flexible data and task orchestration capabilities.

Understanding Globus Data Transfers with NetSageGlobus
NetSage is an open privacy-aware network measurement, analysis, and visualization service designed to help end-users visualize and reason about large data transfers. NetSage traditionally has used a combination of passive measurements, including SNMP and flow data, as well as active measurements, mainly perfSONAR, to provide longitudinal network performance data visualization. It has been deployed by dozens of networks world wide, and is supported domestically by the Engagement and Performance Operations Center (EPOC), NSF #2328479. We have recently expanded the NetSage data sources to include logs for Globus data transfers, following the same privacy-preserving approach as for Flow data. Using the logs for the Texas Advanced Computing Center (TACC) as an example, this talk will walk through several different example use cases that NetSage can answer, including: Who is using Globus to share data with my institution, and what kind of performance are they able to achieve? How many transfers has Globus supported for us? Which sites are we sharing the most data with, and how is that changing over time? How is my site using Globus to move data internally, and what kind of performance do we see for those transfers? What percentage of data transfers at my institution used Globus, and how did the overall data transfer performance compare to the Globus users?

First Steps with Globus Compute Multi-User EndpointsGlobus
In this presentation we will share our experiences around getting started with the Globus Compute multi-user endpoint. Working with the Pharmacology group at the University of Auckland, we have previously written an application using Globus Compute that can offload computationally expensive steps in the researcher's workflows, which they wish to manage from their familiar Windows environments, onto the NeSI (New Zealand eScience Infrastructure) cluster. Some of the challenges we have encountered were that each researcher had to set up and manage their own single-user globus compute endpoint and that the workloads had varying resource requirements (CPUs, memory and wall time) between different runs. We hope that the multi-user endpoint will help to address these challenges and share an update on our progress here.

Exploring Innovations in Data Repository Solutions - Insights from the U.S. G...Globus
The U.S. Geological Survey (USGS) has made substantial investments in meeting evolving scientific, technical, and policy driven demands on storing, managing, and delivering data. As these demands continue to grow in complexity and scale, the USGS must continue to explore innovative solutions to improve its management, curation, sharing, delivering, and preservation approaches for large-scale research data. Supporting these needs, the USGS has partnered with the University of Chicago-Globus to research and develop advanced repository components and workflows leveraging its current investment in Globus. The primary outcome of this partnership includes the development of a prototype enterprise repository, driven by USGS Data Release requirements, through exploration and implementation of the entire suite of the Globus platform offerings, including Globus Flow, Globus Auth, Globus Transfer, and Globus Search. This presentation will provide insights into this research partnership, introduce the unique requirements and challenges being addressed and provide relevant project progress.

Editor's Notes
Jesus’ stories are so universal that we even have laws named after them. Harriet Beecher Stowe’s Uncle Tom’s Cabin helped carry the antislavery message that lead to the end of enslavement in the U.S. Walt Disney created a whole genre of movies and launched an entertainment empire. Fred Rogers told stories to generations of children and testified in a Senate hearing that secured $20 million for PBS in just six minutes. Bruce Springsteen told stories through his songs about the common people. Sheryl Sandberg established the Lean In community and shared the story of her grief when she was widowed in 2015, helping a community of women professionally and emotionally. Karen Kilgariff and Georgia Hardstark created a true crime comedy podcast that gives listeners a forum to share their own hometown murder stories. Alexandria Ocasio-Cortez won her primary election by going door to door, sharing her story and listening to stories of her constituents. She now continues to share her story on social media.
The point of the icebreaker, aside from waking up and engaging with the audience, is to emphasize the power of a personal story.
Stories change hearts. Stories sell merchandise. Stories win political campaigns. Stories make training sticky. Stories communicate best practice in technical communication. Let me explain.
My official title is Technical Communications Leader. I work in IT doing internal communication, training and evangelism. My client base includes 4,000 employees with system access as well as 7,000 hourly employees with no access. It is my job to help employees master the skills needed to use our software. The goal is that they are so proficient that the tool becomes invisible. One of these tools is Office 365.
Microsoft Office 365 is a suite of programs we implemented in 2016 and we’re still making struggling with it. Office 365 comes with some old favorites like Outlook, Excel, Word, PowerPoint, and OneNote. Adoption of these tools went smoothly. Office 365 also comes with newer, scarier tools like SharePoint Online, Teams, Groups, Yammer, Stream, Video, Forms, and Delve. Adoption of these tools went more slowly as employees are not motivated to learn a new tool just for the sake of exploration.
To add insult to injury, we implemented two factor authentication for Office 365. To log in, out of the office, and sometimes when you’re in your office, you must have your phone nearby. Not every employee gets reimbursed for mobile expenses so this is a sensitive subject.
So you can see that my job of getting employees to engage online and help them get over the fear of change to be able to use the tools for content management and communication is a challenging one.
That’s where the #PowerOfStory program comes in. Let me tell you what the program is about.
The program started out as “Leadership Lunch and Learns” with Key Manager (director level and above) speakers giving an overview of their functional area and how it fits into the organization as a whole. That was the stated objective. But the execution turned out to be totally different. Key Managers told their own personal stories instead. People loved it and these events typically had long waiting lists.
Then the program grew to feature employees of all levels who were brave enough to share their stories. I did the first one with another employee and the program was themed for Autism Awareness month. To date, we have done 72 sessions.
The program features an honest, first person story. There are times when I’ll get a call from HR, asking me to edit the video. I learned how to blur the faces of abusive ex-husband photos and edit out speakers flipping the bird. We cry some times. We laugh every time.
Free food
Who doesn’t like free food? Lunch is provided to attendees because they are expected to attend on their lunch breaks. This allows hourly employees to attend without having to get management permission.
Each lunch comes in a box with the employee’s name on it, with the lunch option of the employee’s choice. We learned that when we contacted the attendees to see if they had any special dietary needs, we received way too much information. Employees feel that they need to justify special treatment and we learned more than we wanted to know about how some foods cause rashes and diarrhea. We avoid the problem if we just let attendees choose from a menu.
We often order lunch from the Firefly Café and Bakery in Winchester. Firefly is a social enterprise, owned and operated by the Winchester based non-profit organization NW Works, Inc. Their mission is to enable adults with disabilities to select, secure, and sustain valued employment and training. Supporting Firefly is part of our commitment to outstanding citizenship through deep involvement in the overall betterment of the communities in which we live and work.
Scrapbook pages
Employees who are not brave enough for public speaking can tell their story through the scrapbook initiative. Employees are encouraged to do a scrapbook page of their own design, either in 12” x 12” paper format, or as a 12” x 12” PowerPoint slide. Three examples are shown below.
Wellness journal
The newest application of #PowerOfStory where I work are the personal stories in our monthly Wellness journal. Each month has a theme like weight loss, heart health, or autism. Every month, one of us will write up a personal story about the topic.
We started with the Yammer platform. Yammer is the enterprise social media platform that comes with Office 365. Some employees adopted early, having discussions and sharing photos and links. Some employees thought it was a frivolous distraction. Some managers were genuinely suspicious of a platform that would allow private collaboration or allow company secrets to get out.
We started with announcements before the events and photos after the events. We added video and marked the conversations with the hashtag #PowerOfStory so that visitors could find them more easily.
We learned that when we contacted the attendees to see if they had any special dietary needs, we received way too much information. Employees feel that they need to justify special treatment and we learned more than we wanted to know about how some foods cause rashes and diarrhea. We avoid the problem if we just let attendees choose from a menu.
We currently use Microsoft Forms to take the orders. Before Microsoft rolled out Forms, we used Excel Surveys. Before the rollout of Office 365, employees were using an assortment of survey programs including SurveyMonkey, Wufoo, and Google Forms.
Microsoft Forms is phone friendly so we do get good engagement with survey responders. We have a lot of travelers so mobility is important.
Two years into the program, we started capturing the presentations on video. Office 365 offers two options for video streaming. The older platform, Video, is more stable than the newer platform, Stream. Since some employees have trouble integrating with Stream, we post on both platforms in parallel. Yammer integrates well with both platforms.
SharePoint
The scrapbook pages offered an opportunity to increase engagement with SharePoint. Challenges with permissions interfered with engagement and this initiative did not increase adoption as well as we hoped. As an alternative, all 954 scrapbook pages were uploaded to our online employee directory.
Delve
We briefly attempted to get employees to upload their own scrapbook pages to their profiles in Delve. We abandoned the effort when it became clear that the Delve interface was confusing and the tool was difficult to find in the system.
Adoption was much more successful when we moved the signup sheets for the events to SharePoint. We purchased a plugin that automated signups and waiting lists and integrated events with employee’s calendars in Outlook. We evangelized the tool by making a series of announcements at monthly all-hands meetings.
