What was it actually like?
The Prep
• Allocate someone to coordinate – this doesn’t necessarily need to be the screening coordinator and
sometimes having someone more senior can be helpful. Capacity to collate the information needs to be
considered.
• Engage your senior team and the numerous teams / specialities involved in the screening pathway so
everyone is very clear what is required.
• Get your rooms booked, try to get them in the same area if you can so its easier to move from interview to
interview
• Have a clear action plan of what is needed, from whom, when by and who is responsible for getting it
• Don’t be frightened if you identify gaps or have been trying to deal with them - transparency and honesty
are essential to get maximum benefit from the visit process. There is not an expectation to be perfect, this
would be suspicious as none of us are, the purpose is for service development and improvement
• Ask QA if you have any queries / need to clarify anything, they are working with you and not against you!
• QA will decide how they structure their questions based on the evidence submitted. Don’t be scared of
this, the more accurate information you send the more it supports both QA and yourselves for the
interviews
The visit day(s)
• ITS NOT AS SCARY AS YOU THINK IT WILL BE!
• Be open, be honest
• Have as many people as present for the
feedback, its so useful to hear straight away
the good practice identified and the areas of
concern
The Report & recommendations
• You get a draft report and recommendations to look at. It is
ESSENTIAL you share this with everyone who was interviewed and
get structured feedback. We did this with a template that had to be
completed and returned. Its your chance to check for factual
accuracy
• Look at your recommendations, put them into a draft action plan
and start thinking about what actions are needed
• Don’t be despondent or worried about the report, it can support
escalation in your organisation
• Once the final report is received don’t forget your internal
governance arrangements to get sign off of the action plan before
you submit to NHS E who will monitor progress monthly
• QA ARE THERE TO SUPPORT YOU
Top Tips
• 1) Don’t wait to be given a visit date to start “getting your house in order”
• 2) When you get the visit date get buy in from your senior team
• 3) Prep prep prep
• 4) Use the abundance of support available to you from your QA lead
• 5) Engage with your screening commissioning manager
DON’T BE SCARED OF THE PROCESS:
USE THIS AS A POSITIVE OPPORTUNITY TO SHOW CASE ALL THE GREAT WORK
YOU DO AND DEMONSTRATE THAT YOU KNOW YOUR GAPS AND HAVE A PLAN
IN PLACE.

Our experience of the QA visit

  • 2. What was it actually like?
  • 3. The Prep • Allocate someone to coordinate – this doesn’t necessarily need to be the screening coordinator and sometimes having someone more senior can be helpful. Capacity to collate the information needs to be considered. • Engage your senior team and the numerous teams / specialities involved in the screening pathway so everyone is very clear what is required. • Get your rooms booked, try to get them in the same area if you can so its easier to move from interview to interview • Have a clear action plan of what is needed, from whom, when by and who is responsible for getting it • Don’t be frightened if you identify gaps or have been trying to deal with them - transparency and honesty are essential to get maximum benefit from the visit process. There is not an expectation to be perfect, this would be suspicious as none of us are, the purpose is for service development and improvement • Ask QA if you have any queries / need to clarify anything, they are working with you and not against you! • QA will decide how they structure their questions based on the evidence submitted. Don’t be scared of this, the more accurate information you send the more it supports both QA and yourselves for the interviews
  • 4. The visit day(s) • ITS NOT AS SCARY AS YOU THINK IT WILL BE! • Be open, be honest • Have as many people as present for the feedback, its so useful to hear straight away the good practice identified and the areas of concern
  • 5. The Report & recommendations • You get a draft report and recommendations to look at. It is ESSENTIAL you share this with everyone who was interviewed and get structured feedback. We did this with a template that had to be completed and returned. Its your chance to check for factual accuracy • Look at your recommendations, put them into a draft action plan and start thinking about what actions are needed • Don’t be despondent or worried about the report, it can support escalation in your organisation • Once the final report is received don’t forget your internal governance arrangements to get sign off of the action plan before you submit to NHS E who will monitor progress monthly • QA ARE THERE TO SUPPORT YOU
  • 6. Top Tips • 1) Don’t wait to be given a visit date to start “getting your house in order” • 2) When you get the visit date get buy in from your senior team • 3) Prep prep prep • 4) Use the abundance of support available to you from your QA lead • 5) Engage with your screening commissioning manager DON’T BE SCARED OF THE PROCESS: USE THIS AS A POSITIVE OPPORTUNITY TO SHOW CASE ALL THE GREAT WORK YOU DO AND DEMONSTRATE THAT YOU KNOW YOUR GAPS AND HAVE A PLAN IN PLACE.
