OpenEduCat helps institutes to maintain their daily records and also the
records related to assets. It contains all the imperative features as per the
needs of any school, institute or any university.

3.  The main agenda of OpenEduCat is to provide an institute or school or university an
established user friendly environment to its users so that they are able to access their
academic records any where any time and in a best possible easiest way. OpenEduCat is
a Open source solution for educational institutes to completely customize applications
according o their need.
 Academic bridge is a English learning school located in Ireland. This school provides
various English language courses to the students to develop their English language skills
and to increase their confidence in using English.
 As compared to other schools after customization we find that academic bridge was
able to provide its user a much better environment for study and we customized the
module in such a way that all the requirements of school related to Attendance, Mark
sheets, academic sessions, reports etc. were performed in justified manner as per the
requirements.

4. Implementation Approach

INTRODUCTION –
The project was required for the customization related to different facilities of a school.
Some of the points that we implemented and customized for the project are like daily
attendance record of a student on percentage basis, letter creation for students,
customized dashboard for various classes and many more related to this.
We provided Academic Bridge the customization of modules of OpenEduCat in a way that
it completely fulfilled all the demand of a project.

5. First Stage –
The first is in regards to SALES/CRM module: The module is used to work in day-to-day
operations in the school. Like to have the 'customer' option available in the menu
'student'. This is because our customer has to be tracked in our system. So if we create a
new customer we will be able to view them in the 'student' and 'customer' table.
After Customization :- On to the next slide we can see that when a new student is
created it is shown in SALES/CRM as a new Customer.

7. Second Stage –
When the salesperson is inside the module of SALES/CRM , they can click on
"CREATE INVOICE " or "Validate" the "new customer" will be a "new Student“
and a new " CUSTOMER" as well , all fields beforehand .
After Customization :- On to the next slide we can see when we go for
SALES_sales to invoice and create a new customer we get all the fields required
to create a student are also shown in new customer for invoice.

9. 2.1. Regarding attendance need to know exactly what the attendance is of our student.
Customization done to show attendance on a daily basis and we will be able to show
their overall attendance in percentage of every individual student.

10. o Through customization we can see students attendance in percentage form,
i.e., percentage of student attendance related to each student present in the
classes other than the classes not conducted due to some specific reason.

11. 2.2. Student attendance on daily basis.

12. 2.3. Want to show an attendance record as well in percentage for each student we have
enrolled in the school. Enrollment dates are different. We receive new students every
two weeks, therefore, should be able to enroll them into a class and be able to count
their attendance from the date they are enrolled.

13. 2.4. Since a student's attendance is so important, have to take into consideration other
factors which will affect their attendance, which might be a possible problem, so need
help in this to solve the problem. The problems which schools face are the following:
 Holiday (students are allowed to take a month holiday during their 25 week course)
 Absent (students decide not to come to class)
 Sick teacher (cancel class)- we have teachers who get sick or go on holiday and
sometimes we are unable to find teacher to substitute those classes.
So we have to cancel the class and therefore, students should not lose attendance for
this day.
After customization attendance of all the students are calculated in such a manner that
that they don’t loose number of attendance due to the reason faculties not present or
due to some other specific reason from school side.

15. Third Stage -
Reports and Dashboards :- Would like to have it possible to create a page where we will
be able to view the information regarding all the classes. Would like you to customize
the attendance and number of students in each of these classes on one page. We need a
unique report, inside one menu that will have other options (filters) as by teacher ,
country , everything but just one screen .

18. Fourth Stage –
Requirement is about the necessity to send forms to future students. Forms are to be
filled manually and want to import this forms. This form should then be able to fill in all
the other required fields in the “table student” like that (Health, Correct address,
Contacts, Blood Type, Religion, Parents names, etc.)

20. Fifth Stage –
Kind of letter for the most variable situations, like letter for Holiday, letter for Job, letter to opening
account bank reference letter and Visa letter , like your attendance, time to class etc. For ever letter
all key fields are inside the system. We need a module that allows us to make it. Through
customization we provided them with the templates according to every kind of letter school wants.

22. o From here can select template according to the kind of letter want to send to a
student. Customization also allows the templates to be created according to need
through FACULTIES_templates_create.

23. Sixth Stage –
Requirement is two new fields in Quotations/invoices on Sales module that once fill , we
can filled the enrolment module with this information like Start Date of Course and
complete name of Student..
Customization done so that students details can be shown when the invoice is created.
